Choose based on whether the video is already on YouTube, whether you have a transcript or caption file, and whether viewers should be able to turn subtitles off.
Choose how to add subtitles

For YouTube, a separate caption track lets viewers control captions, while burned-in text stays visible in the picture. Check the destination player’s supported formats and behavior before you export.
Add subtitles in YouTube Studio
YouTube Studio provides three routes for a selected video and language: upload a caption file, auto-sync transcript text, or type captions manually. You can also add subtitles during video upload. Follow the current labels in the Studio interface if they change. YouTube’s subtitle and caption instructions describe the available workflows.
1. Open the video’s subtitle settings
- Sign in to YouTube Studio.
- Select Subtitles from the left menu.
- Choose the video, select Add language, and choose the language spoken in the video or intended for the subtitles.
- Under Subtitles, select Add.
2. Upload a caption file
Choose this route if you already have a timed subtitle or caption file. It must include the spoken text and timestamps that control when each line appears. Some formats can also carry position and style information.

- Choose the file-upload route in the video’s subtitle options.
- Select the option for a timed or untimed file that matches your file. A timed file already contains cue timing; an untimed transcript does not.
- Upload the file and save.
Accepted file types can change, so confirm that your format appears in the current YouTube interface before preparing or converting a file.
3. Synchronize transcript text automatically
Choose auto-sync when you have a transcript but not cue timings. Enter or upload the text, then let YouTube align it with the speech. The transcript must be in a language supported by YouTube speech recognition and must match the language spoken in the video.
YouTube does not recommend this method for videos over an hour or with poor audio quality. After synchronization, review both the words and their timing; automated alignment is a starting point, not a substitute for checking the result.

4. Type captions manually
Choose manual entry, play the video, and type each caption as it is spoken. YouTube sets the timings as you work. Include meaningful non-speech audio cues—for example, [applause] or [thunder]—when they help viewers understand what is happening. Review the complete track and publish it when it is ready.
5. Review automatically generated captions
YouTube may create automatic captions in the video’s default language after processing. Treat them as a draft: names, accents, overlapping speech, specialist terms, and sound cues can be misrecognized. You can edit generated captions in Studio after processing. YouTube’s creator guidance on captions also emphasizes checking generated output.
Create and export subtitles in Adobe Premiere Pro
Premiere Pro can transcribe a project, let you edit the transcript, and create a caption track aligned with dialogue. Adobe’s current instructions use Captions > Create captions from transcript; the dialog includes options such as caption preset, format, style, caption length and duration, gaps, and one- or two-line layout. Names and locations may differ by version, so use the controls available in your installed edition. See Adobe’s Premiere caption-creation guidance.

- Create or open the video project and generate a transcript with Speech-to-Text.
- Review and correct the transcript, including speaker names and wording.
- Choose Captions > Create captions from transcript.
- Set the available caption format, style, length, duration, gaps, and line layout to suit the dialogue and screen. Create the captions to place them on a separate track in the timeline.
- Review the caption track against playback, then export the caption track or export the subtitles burned into the picture, depending on the delivery requirement.
Adobe documents both a separate .srt sidecar file and stylized subtitles burned into the image. Its overview of captions in Premiere explains these output approaches, and its subtitle workflow guide provides additional export context.
Choose a separate caption track or burned-in text
Use a separate track or sidecar file when viewers should control captions
A caption track can be turned on or off in a destination player that supports it. This is usually the more flexible choice when publishing to YouTube or another service that accepts caption files or tracks. Verify the destination’s accepted formats and upload procedure rather than assuming every player supports the same files.

Burn subtitles into the video when they must always appear
Burned-in text is part of the exported picture, so it remains visible even in a player without caption-track support. Viewers cannot toggle it off, and the text cannot be edited independently after export. This can fit a fixed presentation or a destination with no subtitle support; confirm that behavior before committing to the export.

Check accuracy, timing, and readability
- Watch the full video with captions enabled and correct transcription mistakes, speaker names, and timing.
- Check that caption breaks are easy to read and do not cover important on-screen details. Premiere offers controls for line layout, duration, gaps, and style.
- Include meaningful non-speech sounds when they add context, such as applause or thunder.
- For YouTube auto-sync, make sure the transcript language matches the spoken language and is supported by speech recognition.
- Preview the exported video or caption track in the actual destination player to confirm the text appears as intended.
Fix common subtitle problems
The uploaded caption file is rejected
Check the current YouTube upload options and make sure the file type is supported. Confirm that the selected timed or untimed upload option matches the file: a timed file contains cue times, while an untimed transcript does not.
Auto-sync produces inaccurate timing or text
Check that the transcript matches the audio and uses the same supported language. Correct the resulting track after synchronization. YouTube cautions against auto-sync for videos over an hour or with poor audio quality; use manual timing or prepare a timed file if the results are not dependable.
Automatic captions mishear words or omit sound cues
Review the processed captions in Studio and correct errors, names, and meaningful non-speech audio. Do not assume generated captions are publication-ready.

Subtitles appear too quickly, break awkwardly, or cover important visuals
Adjust caption breaks, line layout, duration, gaps, or style in the editor, then watch the sequence again. If the destination uses a separate track, preview it in that player as well as in the editing timeline.
Viewers cannot turn subtitles off
The text may have been burned into the image. If viewer control matters, export a separate caption track or sidecar file and verify that the destination supports it.
The subtitle file works in one place but not another
Players and platforms do not all support the same formats or playback behavior. Check the receiving platform’s requirements, export an accepted format, and preview the result there.
