Webcast vs. Webinar: What’s the Difference?

Webcasts are typically broadcast-focused, while webinars often invite structured participation—but the labels overlap. Compare the attendee experience, event scope, and accessibility before choosing.

A webcast usually describes a presenter-led broadcast designed mainly for people to watch; a webinar usually describes an online seminar or presentation with planned ways for attendees to participate. The labels overlap, though: check what the platform actually lets attendees do rather than relying on the event name.

Webcast vs. webinar: the practical difference

How do attendees participate? Often mainly by viewing, though some webcast formats include features such as Q&A or polls. Often through planned participation such as Q&A, polls, or chat.
Does the label guarantee specific features? No. Features depend on the platform and its configuration. No. Vendors use the terminology differently and may offer overlapping controls.

This is a useful convention, not a strict taxonomy. The U.S. Food and Drug Administration groups “Webinars,” “Web Conferencing,” and “Webcast” among names for web-based presentation and meeting services, noting that capabilities and delivery methods vary. Why the event label can mislead

Platforms can combine broadcast-style viewing with webinar functions. For example, Webex documents a “webcast view” within its webinar offering, with Q&A and polling available in that view. Audience size is not a reliable dividing line either. There is no universal attendee-count threshold that turns a webinar into a webcast; limits, where applicable, depend on the product and its current plan. Which format should you choose?

Choose a webcast-style experience for a watch-first event

A webcast-style setup may suit a documentary premiere, public announcement, interview, or other presenter-led event when most attendees are there to watch and the host or producer controls the flow. If viewers need to submit questions, confirm whether the platform supports that in the chosen viewing mode.

Choose a webinar-style experience when participation is part of the plan

A webinar-style setup is a natural fit for instruction, a moderated discussion, or a presentation where attendees need structured opportunities to ask questions, respond to polls, or use chat. Decide which forms of participation you actually want before choosing a platform; “webinar” alone does not guarantee a particular feature.

Consider an event platform for multiple sessions

A single-session webinar tool may not be the right comparison for a multi-session or multi-day program. Compare the actual attendee experience

Before committing to a format or vendor, map the event to the controls attendees and presenters will use. Features depend on the product and configuration, so verify them in the relevant product documentation or event settings.   • Participation: Will people only watch, or should they be able to ask questions, respond to polls, or use chat? Who will moderate submissions?
  • Production: Will a presenter run the session directly, or will a producer manage a broadcast flow? Check how the platform handles presenters, audience view, and transitions.
  • Scope: Is this one session, or a program with several sessions, rooms, or days?
  • Access: Is viewing open, embedded, or registration-gated? Confirm the actual platform settings and any access steps attendees must complete.
  • After the event: Decide whether attendees need a recording, captions, or a transcript, and confirm what the platform provides and how those materials will be made available.

Make accessibility part of the format decision

Attendees need to be able to receive the presentation content and use the participation options the event offers. The FDA advises organizers to arrange alternate access when someone cannot use the web interface to receive content or communicate with the presenter. Its guidance also points organizers toward accessible recordings, captions, and transcripts where applicable. FDA: Accessible Web Conferences and Webinar Best Practices

  • Check whether slides, spoken material, and any shared content can be accessed in a usable form.
  • Test how attendees will ask questions or otherwise participate, including any alternatives needed for people who cannot use the standard interface.
  • Plan captions or transcripts and an accessible replay when the event format and materials call for them.

A webcam is optional equipment for a presenter who wants to appear on camera; it is not inherently required for a slide-based, screen-share, or audio-only event.
