How to Use YouTube Live to Replay a Trade Show Presentation

Send a recorded trade show presentation to a scheduled YouTube Live event with OBS, a full rehearsal, rights checks, and a local backup.

To replay a recorded trade show presentation as a scheduled YouTube Live event, schedule the event in YouTube Studio, then send the video through an encoder such as OBS. YouTube schedules the event; the encoder plays and sends your local video file. Rehearse the whole setup, monitor the YouTube preview, and keep a local recording as a backup.

Choose the right format for the viewing experience

An encoder-driven YouTube Live event is a good fit when viewers should gather at a set time and you want a live stream experience, such as live chat or production overlays, around the replay. If the goal is simply to publish a presentation for on-demand viewing, consider uploading it as a regular video; if you want a scheduled viewing without an encoder-driven stream, compare YouTube’s current Premiere options before deciding. The workflow below is specifically for sending prerecorded video through an encoder.

Approach Best fit What to weigh
Software encoder with local media source A team that already has a computer and wants flexible playback control. Setup effort, computer and network reliability, playback control, and rehearsal time. OBS documents local media playback, and YouTube documents the encoder workflow.
Dedicated hardware encoder A team seeking scheduled prerecorded playback without leaving a computer running. Cost, setup, file compatibility, remote control, and whether the standalone workflow justifies the device. Regular video or Premiere A team whose priority is a scheduled release or shared viewing rather than an encoder-driven live stream. Whether you need live chat, overlays, or other production elements. Check current YouTube options and features before choosing.

Prepare the presentation and confirm usage rights

Check the file and audio

Play the video from beginning to end before configuring the stream. Confirm that the opening is correct, the audio is audible and synchronized, and the presentation does not contain unexpected breaks or an ending that will be cut off. Keep a local copy available for the encoder and a separate local recording for backup.

Clear all material in the program

Make sure your organization has the necessary rights for the presentation and for any third-party material in it, including music captured in a trade show hall, licensed clips, slides, and content supplied by speakers or exhibitors. YouTube’s livestream terms put responsibility for necessary rights on the content provider, including for archived content. A license may not by itself prevent a live interruption: the rights owner may also need to add your channel to its Content ID allowlist.

YouTube scans live streams for third-party matches. If identified content remains in the stream, YouTube may replace it with a placeholder, interrupt the stream, or terminate it. Review YouTube’s guidance on copyright issues with live streams and its livestream terms and conditions before the event.

Schedule the YouTube Live event

  1. In YouTube Studio, open Go Live and choose the option to schedule a stream. Follow the current Live Control Room prompts to create the event.
  2. Set the title, description and other event details, add a thumbnail, and choose visibility deliberately. A scheduled public event can appear as upcoming, allowing viewers to visit the watch page and opt into notifications; check the event’s settings and watch page after creating it.
  3. Copy the event link and share it ahead of time so attendees can find the scheduled presentation. YouTube’s live-stream promotion guidance covers sharing before the event and organizing the archive or highlights in playlists afterward.
  4. In the event’s Live Control Room, locate the stream URL and stream key required by your encoder. Treat the stream key as a password: anyone who has it may be able to send a feed to your event. Keep it private and do not include it in public instructions or screenshots.

Set up OBS to play the recorded presentation

  1. Install and open OBS. Create or select the scene you will use for the presentation. Keep the scene simple unless you need additional elements such as a title card or event branding.
  2. Add the video file. In the scene’s Sources panel, select + and choose Media Source. Create a new source, give it a clear name, and browse to the presentation file. OBS Media Source supports local video playback.
  3. Set playback behavior. For a one-time presentation, leave looping off. Enable looping only if you intentionally want the presentation to repeat. If you use a scene that is activated after another scene, check the option to restart playback when the source becomes active if you want it to start at the beginning. During rehearsal, verify that playback begins at the intended point.
  4. Connect OBS to YouTube. In OBS’s stream settings, select YouTube if available, or enter the server/stream URL and stream key shown for the scheduled event. Never use a key from a different event without checking that it is the correct one.
  5. Choose output settings appropriate to your connection and content. Match the stream resolution and frame rate to the source and your upload capacity; avoid selecting a higher output than the presentation needs. Set a bitrate your connection can sustain consistently. YouTube’s streaming tips advise ensuring sufficient upload bandwidth for the planned stream and accounting for primary and backup streams where applicable. Use the current YouTube and OBS guidance for encoder settings rather than relying on a stale preset.
  6. Start sending the feed before the scheduled time. Start streaming from OBS, then check the YouTube Live Control Room preview. Confirm the right event receives the presentation, that picture and audio are present, and that playback starts correctly. The event scheduler does not itself start a local file: OBS is the source that plays and sends it.

OBS’s Media Sources documentation describes the source’s playback controls. For a hardware route, YouTube’s verified encoder directory identifies the AJA HELO Plus and its PlayToStream feature for scheduling prerecorded media to YouTube Live without a computer. Check the manufacturer’s current compatibility and availability details before buying; the device is an option, not a requirement.

Rehearse, go live, and protect the archive

Use a full rehearsal, not just a file check

YouTube recommends setting up the encoder at least two hours before the event and starting it at least 15 minutes before the scheduled start. Use the actual computer, media file, encoder settings, network, and audio path during rehearsal.

  • Check the Live Control Room preview and watch the event from a separate device, including a phone.
  • Confirm audio is audible on the viewer device, not only in OBS. Listen for silence, clipping, echo, or a mismatch between the sound and image.
  • Verify the presentation starts at the intended point and plays through the ending.
  • Confirm your local recording is being created and that its file is growing.
  • Check that the scheduled event link opens for the intended audience and that visibility is correct.
  • Monitor the stream and network during the rehearsal. If the connection cannot sustain the planned bitrate, lower the output or arrange a more reliable connection before the event.

These lead times are YouTube’s operational recommendations, not guarantees that a setup will work without testing.

During and after the event

At the event, verify that the scheduled event is receiving the correct video and audio, then monitor playback and the connection. Afterward, stop the stream cleanly, check the archive and its visibility in YouTube Studio, and inspect the local recording. YouTube says streams under 12 hours can be archived automatically; streams longer than 12 hours may not be captured. Its archive guidance recommends making a local archive as a backup. Troubleshooting common failures

  • The event preview is blank or the wrong event is receiving video. Confirm OBS is connected with the URL and key for the scheduled event you intend to use. Check that the presentation source is visible in the active scene and that the correct file is selected.
  • The preview has video but no sound. Check the Media Source audio and OBS audio meters, then listen from a separate viewer device. Confirm the file itself has an audible audio track and that the correct output is being sent.
  • The presentation starts midway through. Restart the Media Source playback and confirm its restart behavior. Rehearse the start sequence with the same scene changes you will use during the event.
  • The stream buffers or drops frames. The outgoing bitrate may exceed reliable upload capacity. Test the real connection, reduce output bitrate or resolution as needed, and avoid competing uploads during the event. Rehearse again after changing settings.
  • The live stream is interrupted or replaced by a placeholder. Investigate possible third-party content matches, especially music or clips in the recording. Resolve rights issues and, where applicable, ask the rights owner about Content ID allowlisting.
  • The YouTube archive is missing or incomplete. Check the stream duration and archive settings, then use the local recording. Do not rely on YouTube capture for streams longer than 12 hours.
