Recorded demonstrations suit repeatable tasks employees may need to revisit; live sessions help with questions and facilitated practice; a mix can provide both.
Start with the task and the learning outcome
Identify a specific task, the errors or delays you want to address, and the employees who need the instruction. Ask managers and staff where the process is difficult, then define an observable outcome tied to the role—for example, completing a named procedure correctly. Decide how an employee will demonstrate that outcome. This needs-assessment approach aligns with Government of Canada guidance on role-relevant training outcomes and gathering input on performance, skills, and knowledge: Canadian accessibility-training guidance.
Video is a format, not a complete training plan. The current instructional-video standard covers both standalone videos and video segments within larger information products, while University of Washington DO-IT recommends using multiple modes such as text, video, audio, and images. Pair a demonstration with written steps, coaching, or a practice activity when the task requires them.
Choose recorded, live, or mixed video

Video-conferencing tools may provide screen sharing, file sharing, and recording, but those capabilities also raise privacy and security questions. Compare options based on learner access, interaction, practice and assessment, flexibility, and the sensitivity of what will be shown. These are practical selection considerations, not evidence that one format always outperforms another.

Plan and produce a focused lesson
- Break the process into teachable actions. Keep each video focused on one task or a small set of connected steps. Show the task clearly and explain the decisions an employee must make, not only which buttons to click.
- Prepare a short outline. List the intended outcome, the actions to demonstrate, key warnings or decision points, and what learners will do afterward. ISO/IEC/IEEE 26516:2026 is an international standard for planning, designing, and developing instructional videos; it covers standalone videos and segments in larger information products. Its scope is instructional video for information technology systems, products, and services, so it is a useful reference rather than a universal rule for every training video.
- Protect information before recording. Remove or obscure private customer, employee, or business data from screens and surroundings. Check what notifications, browser tabs, files, and voices may appear in the recording.
- Check the recording itself. Make sure the device captures the demonstration and narration is understandable. Describe important visual information aloud. A USB microphone may help with narration, but it is optional; no particular model is required.
The ISO standard’s official abstract describes its purpose as providing requirements and guidance for effective planning, design, and development of instructional videos. See ISO/IEC/IEEE 26516:2026.
Build accessibility into the material
- Provide captions for video and a transcript of spoken audio.
- Narrate relevant on-screen information so a learner does not have to infer a key step from visuals alone.
- Use readable visuals and plain language where appropriate; do not rely on color alone to communicate a required action.
- Offer written instructions or another way to review the procedure, and adapt materials or delivery to learners’ needs.
University of Washington DO-IT provides course-design guidance on captions, transcripts, multiple learning modes, practice, and feedback: 20 Tips for Teaching an Accessible Online Course. Accessibility Standards Canada’s CAN-ASC-5.2.1:2026 addresses accessible platforms and materials, delivery, adaptation to participant needs, and plain language where appropriate. Its requirements apply within its stated scope; they should not be read as governing every small business. See CAN-ASC-5.2.1:2026.

Give employees practice and feedback
After the demonstration, ask employees to perform the procedure or show their understanding in a way that matches the job. Depending on the task, they might complete a short quiz or case study, explain a decision, or submit an example of their work. Provide feedback and a chance to correct errors. A view, attendance mark, or completion record can show that someone accessed training; it does not by itself show that they can apply the skill.
Canadian training guidance lists interactive elements such as quizzes and case studies. DO-IT recommends practice, multiple ways to demonstrate learning, feedback, and opportunities to correct mistakes. Choose the check that reflects the actual work rather than adding an assessment unrelated to the outcome.

Deliver video securely
Use an organization-approved conferencing or hosting service appropriate to the material’s sensitivity. Set expectations for meeting links, passwords, screen sharing, recordings, and access to saved videos before training begins.
- Keep meeting IDs and passwords private, use strong passphrases, enable multifactor authentication where available, and verify meeting links.
- Keep conferencing software updated and treat unexpected invitations cautiously.
- Decide what may be recorded and who may access saved material. Assume anything visible on a shared screen or included in a recording could expose private information.
- For remote access to business systems, use secure devices and connections, train employees on remote-access security, and use multifactor authentication for sensitive network access.
The Canadian Centre for Cyber Security recommends approved video-conferencing applications, private meeting IDs and passwords, strong passphrases, multifactor authentication where available, and checking links: Video teleconferencing security. The US Federal Trade Commission offers small-business advice on video-conferencing privacy and security, including recordings, updates, unexpected invitations, and workplace practices: Video Conferencing: 10 Privacy Tips. Its remote-access advice covers secure devices and connections, updates, employee training, policies, and multifactor authentication for sensitive access: Cybersecurity for Small Business. These are practical recommendations, not a complete legal analysis for every location or industry.

Check results and maintain the training
Check whether employees can perform the task after training, collect feedback about confusing steps, and revise the material when needed. Track completion when it serves a business purpose or a specific obligation, but keep completion data separate from evidence of skill transfer.
Review recordings and instructions when the task, software, or policy changes. Set a review point appropriate to the task’s rate of change and risk rather than assuming one refresh schedule fits every subject. NIST SP 800-50 Rev. 1 describes a lifecycle approach to learning programs for large and small organizations and includes suggested metrics and evaluation methods for improvement. The publication was released September 12, 2024: NIST SP 800-50 Rev. 1.

Applicable accessibility obligations and required training intervals depend on jurisdiction, organization, and subject. For example, CAN-ASC-5.2.1:2026 specifies a two-year minimum training interval within its particular accessible-service-delivery scope; that is not a universal refresher schedule for every small business. Check the rules that apply to your location, industry, workforce, and training topic.
