A reliable starting point is white text over a translucent dark background, kept to two lines or fewer. Adjust the placement when the lower center would hide a face, sign, label, or other meaningful detail.
First, decide whether you need subtitles or captions
These terms overlap in everyday use, and naming varies by locale and platform. In general, subtitles present dialogue, often translated into another language. Captions include speech and relevant non-speech audio—such as a meaningful sound effect—and can identify speakers when that information is needed to follow the video.
Captions can be open (burned into the picture and always visible) or closed (a separate track the viewer can show or hide). Open text gives you direct control over its appearance, but viewers cannot turn it off. Closed captions can offer viewer control and, depending on the player, options to adjust the text. If accessibility for Deaf and hard-of-hearing viewers is a goal, include relevant sound information, not only spoken dialogue. W3C WAI’s captions and subtitles guidance explains the distinction and notes that support for styling can vary across players.
A readable subtitle style to start with
Choose a clear face, size, and background
Use a legible sans-serif typeface and a size that remains readable on the smallest screen you expect viewers to use. Section508.gov gives 18-point white text on a translucent black background as an example default; treat it as a starting point, not a universal pixel-size prescription. The right displayed size depends on the video dimensions, player, and screen.

A stable background treatment—such as a translucent dark box or a subtle outline—helps text remain visible as the footage changes from bright to dark or becomes visually busy. Avoid decorative fonts, heavy effects, or frequent changes in styling when they make the words harder to read.
Check contrast against changing footage
Contrast matters more than a particular color combination. WCAG 2.2 sets a contrast ratio of at least 4.5:1 for normal text and 3:1 for large text, subject to exceptions in the criterion. These are contrast requirements for applicable content; selecting a certain font color or background does not, by itself, establish that a subtitle design conforms. Evaluate the text against the image as it appears in the actual video. See WCAG 2.2, Success Criterion 1.4.3.

Keep cues short and easy to follow
- Limit the block: Section508.gov recommends no more than two lines and no more than 45 characters per line; fewer characters can be easier to read. This is practical guidance, not an absolute rule for every language or platform.
- Time cues to speech: Keep text synchronized and on screen long enough to read. Avoid distracting scrolling or flashing effects.
- Keep the treatment consistent: Use a stable typeface, size, and background treatment rather than changing styles without a reason.
- Identify speakers when needed: Use a name, initials, or another clear text label if viewers cannot readily tell who is speaking.
- Describe meaningful sounds in captions: Include non-speech audio information needed to understand the video. Do not depend on color alone to distinguish a speaker or sound type.

Position subtitles without hiding the story
Lower-center is a familiar default because it often stays clear of the main action, but the footage should decide. Move the text when it covers a face, sign, label, or other information viewers need. WCAG 2.2 says captions should not obscure or obstruct relevant information in the video.

For open, burned-in subtitles, check the entire frame and consider whether likely mobile crops or player controls could conceal the text. For closed captions, do not assume that a position set in an authoring tool will be respected: positioning depends on the caption format and the playback system, and viewer preferences may affect presentation.
Style and export captions for the destination platform
Caption appearance does not travel reliably from one editor to every browser and media player. W3C WAI cautions that support for author-positioned and styled captions is inconsistent and sometimes unreliable; many web videos use the player’s default presentation, while some players let viewers change text style, size, color, and position.

YouTube’s supported subtitle and closed caption files documentation describes format-dependent support for text, positioning, and style. Its WebVTT documentation, for example, describes positioning support but limited styling, including bold, italic, and underline. Check the current documentation for your destination, export in a format it supports, and preview the result there rather than assuming your editor’s appearance will be preserved.
- Prepare the right text: Decide whether the track is dialogue subtitles or captions that also include relevant sounds and speaker identification.
- Choose a supported format: Check the destination platform’s current file-format and styling documentation before export.
- Apply a restrained style: Use readable type, consistent contrast and treatment, short cues, and positions that avoid important imagery.
- Preview the actual export: Watch it in the destination player against bright, dark, busy, and changing scenes. Check both desktop and a small screen if those are likely viewing contexts.
- Correct what the player changes: If positioning or styling is missing or different, use a format and design the destination supports, or consider open text when fixed appearance is essential.
When to use open subtitles versus closed captions

Neither approach is automatically best for every video. Decide based on viewer control, readability over the footage, risk of covering important content, portability, and whether the text needs to convey sounds and speaker identity.

Common subtitle styling problems and fixes
- Text disappears over bright or busy scenes: Strengthen the background treatment or adjust contrast, then check other scenes so the fix does not make the text intrusive elsewhere.
- Captions cover important action: Reposition them away from faces, signs, labels, or other relevant information; review the full frame and likely mobile crops.
- Captions look different after upload: The file format or player may not support the authored style or position. Check the destination’s documentation and inspect the actual playback.
- Viewers cannot tell who is speaking: Add a clear speaker label when needed; do not use color as the only identifier.
- A caption track omits important audio information: Add relevant non-speech sounds as well as speech when producing captions for viewers who need that information.
What WCAG says—and what it does not guarantee
WCAG 2.2 is the published recommendation relevant to the contrast and unobstructed-caption guidance described above. W3C’s WCAG 3.0 page dated September 10, 2026 is a Working Draft, not a published recommendation; its developing criteria discuss adaptable caption appearance, unobstructed captions, and speaker identification. Do not treat draft material as a conformance requirement. See the WCAG 3.0 Working Draft.
