To stream a virtual conference successfully, design the attendee experience first, assign clear production and moderation roles, test the entire audio-to-player workflow, protect enough upload capacity, and prepare a tested fallback. Build captions and other access needs into the production plan—not as last-minute additions. Then decide which sessions need to be live and which can be published as reviewed recordings.
Choose the format around attendee needs
Start by deciding what attendees should be able to do. A keynote broadcast may need reliable one-way delivery; a workshop or panel that depends on audience participation needs interaction tools and moderation as well as a stable video feed. Compare candidate platforms against the expected audience size, interaction features, cost, technical requirements, media support, and recording and archiving options. The ACM’s 2020 virtual-conferences guide discusses these planning criteria; its specific vendor survey is historical, so do not treat it as a current platform comparison: ACM guide to virtual conferences.
Not every session has to be live. The Zero Project’s 2025 accessibility guide describes its own shift from livestreaming all conference sessions during 2021–2024 to streaming selected sessions and publishing recordings of all sessions. It cites cost and limited livestream viewership as considerations; that is one organization’s experience, not a universal formula. Give every production task an owner
Use a run of show that names who is responsible for each decision and action. Microsoft’s custom-production playbook separates preparation, live execution, and follow-up, and addresses organizers, producers, presenters, IT administrators, attendees, and moderators. - Producer: owns the run of show, transitions, timing, and decisions to continue, pause, or switch to a fallback.
- Technical operator: starts and monitors the encoder or platform ingest, checks stream health, and confirms recording.
- Presenter or speaker liaison: helps speakers connect, checks their microphones and materials, and communicates timing cues.
- Moderator: manages questions, chat, conduct, and escalation of attendee issues.
- Accessibility lead: checks captions, interpretation, layouts, and materials from the attendee’s point of view.
For a small event, combine roles only if someone can still monitor the stream while the presenter is speaking. Share the agenda, session objectives, and pre-reading in advance, prepare speakers and staff, and make the code of conduct visible to attendees.
Choose an ingest workflow and configure it for the destination
First confirm the event platform, account, license, host role, and software version support the workflow you intend to use. Zoom documents RTMP and SRT ingest for webinars with third-party encoders such as OBS or vMix, but eligibility and setup depend on the event and account configuration. Verify the current requirements in Zoom’s support articles before building the production around them: Zoom RTMP guidance and Zoom SRT guidance.
The settings below are Zoom’s published recommendations for its documented workflows, not universal settings for every destination. Check the receiving platform’s current requirements and match the encoder to them.

For a different destination or frame rate, do not copy these values automatically. The receiving service may impose different limits or encoding requirements.
Protect the network and use equipment that fits the production
Measure outbound upload capacity at the venue and, if possible, at the time and location you will stream. Download speed does not tell you how much video you can send. Include other people and devices using the connection in your plan. YouTube recommends leaving 20% upload headroom; Zoom’s SRT guidance recommends roughly 20–30% for retransmissions. These are recommendations for the respective services and protocols, not guarantees for every connection. YouTube’s guidance is at YouTube’s live encoder settings.
Use wired Ethernet where available and supported. For a straightforward webcam presentation, Microsoft recommends a wired connection, a headset microphone if possible, and a stable webcam positioned at or above eye level. A more involved camera production may need video capture and a separate monitoring position, but a capture card or second computer is not a requirement for every conference. Zoom describes that more complex setup in its broadcast workflow guidance.

- Confirm venue network access, Ethernet availability, ports, and any organizational restrictions before event day.
- Keep presenters’ microphones close enough for clear speech; check for room echo, background noise, and overlapping audio.
- Use a stable camera position and frame presenters so captions, slides, and interpreters can remain visible.
- Reduce competing network use where possible, and avoid treating a speed-test result as a substitute for a full rehearsal.
Rehearse the complete attendee-facing stream
Test the whole route: camera and microphone, slides and media, transitions, encoder, ingest, platform preview, attendee-facing player, and any recording path. YouTube says to include both audio and movement in a representative test. Zoom also recommends testing the complete RTMP or SRT workflow. A successful encoder preview alone does not establish that attendees can see and hear the event.
- Confirm access and settings: verify the event, host role, encoder configuration, destination details, and stream key or ingest credentials through the platform’s approved workflow. Keep stream keys private; do not put them in shared run-of-show documents or public chat.
- Run a realistic test: use the actual speakers, microphones, slides, video clips, transitions, and network path planned for the event. Include movement and spoken audio.
- Inspect the platform preview: check picture, sound, captions, layout, and timing in the platform’s preview or control room before announcing the event as ready.
- Check the attendee view: open the watch page or player on desktop and mobile, and verify that the live stream appears and is intelligible on both.
- Check the recording: confirm a local archive is being written and that the resulting file is usable. YouTube recommends checking that archive files are intact and growing.
- Rehearse the failure path: test the backup encoder or alternate feed by disconnecting or stopping the primary as the platform permits, then confirm the player switches or the team can communicate the fallback.
YouTube recommends configuring the encoder well before the event, starting it at least 15 minutes before the scheduled start, checking the Live Control Room preview, and verifying encoder failover. Follow the timing and operating instructions for your platform and event; the 15-minute recommendation is YouTube guidance, not a universal platform rule. YouTube live streaming encoder setup.

Make accessibility visible in the production plan
Decide what attendees need and arrange it before rehearsals. Microsoft’s playbook identifies closed captions, livestream captions, transcripts, audio description, play/pause control, and sufficient color contrast as accessibility considerations. Depending on the audience and session, plan for interpretation, accessible slides, or other accommodations as well.

Evaluate the composed picture rather than checking each asset in isolation. Captions should be readable and not awkwardly broken; presenters, shared slides, and interpreters should be visible together where the session requires them. The Zero Project guide emphasizes coordination among camera feeds, presentations, and captions, and recommends rehearsing with a remote speaker when remote panelists are part of an in-person event.
Automated live captions can struggle with background noise, overlapping speakers, poor audio, and specialist vocabulary, according to the ACM guide. For technical or high-stakes sessions, consider professional real-time captioning such as CART when audience needs warrant it, and test terminology and display workflow in advance. Do not assume captions are accurate merely because they appear on screen. ACM accessibility and virtual-conference guidance.

Assign a technical operator to watch stream health while the presenter focuses on delivery. Zoom’s incoming-stream tools expose health metrics; for SRT, its guidance identifies round-trip time, packet loss, and retransmission rate. Its RTMP documentation also describes stream-health monitoring and messages. Agree in advance who acts on a warning and what happens next.

- For Zoom SRT, consider keeping RTMP configured as a fallback, as Zoom’s SRT guidance suggests.
- For Zoom RTMP, the documented workflow can use primary and backup feeds; confirm your event configuration supports the intended arrangement.
- For YouTube, test encoder failover rather than assuming a backup feed will take over.
- Prepare a simple attendee message and a decision point for switching to a backup, pausing, or directing attendees to an alternate session page.
A fallback is only useful if the team has practiced it. Include the operator’s actions, the producer’s decision, and the attendee communication in the rehearsal.
Close the loop after the conference
Verify that the local recording is complete and usable before relying on it as an archive. Publish recordings with corrected captions and descriptions where appropriate, and tell attendees where they can find them. The Zero Project guide notes that on-demand publication gives organizers time to correct caption errors and that uploaded caption files can support additional YouTube caption languages. Check YouTube’s current feature and language support before making a specific promise about availability.
