How to Prepare Guests for a Live Stream

Send the join details and show rundown early, then test the guest’s actual connection, camera, microphone and handoffs before going live.

Send your guest the join link, time zone, expected duration and a plain-language rundown before the event. Then rehearse the actual camera, microphone, connection and show handoffs with them before you go live. A short test usually reveals more than asking a guest to buy new equipment.

What to send your guest before the stream

Put the essentials in one message so the guest can find them quickly:

  • Date, start time and time zone. Include the expected duration and when you want the guest to join for setup.
  • The guest join link and platform guidance. Tell them which browser or device to use according to the streaming service’s current instructions. For StreamYard, the host sends a guest link; the guest opens it, allows camera and microphone access, and selects the intended camera and microphone.
  • A short rundown. Explain the topic, the order of the conversation, whether you will introduce the guest, and how audience questions will fit in.
  • Any presentation requests. Say whether they should prepare slides, share a screen or have other material ready. If screen sharing is planned, include it in the rehearsal.
  • A way to reach you if entry fails. Agree on a simple backup, such as retrying the same link or switching to audio if video will not connect.

Ask the guest to close applications or browser tabs they do not need, especially if they will share a screen. Give them a specific early arrival time rather than simply saying “be ready.”

Check the guest’s connection and device

Use the device and connection the guest will actually use on show day. A laptop or desktop with a webcam and microphone is a practical baseline for StreamYard guest participation; mobile participation may also be possible, subject to that service’s device-specific guidance.

Test the internet path

Have the guest join the call or studio during the rehearsal and speak while you observe the connection. Wired Ethernet is worth trying if available; otherwise, test from the location and Wi-Fi network they plan to use. Close unnecessary applications that may be using the connection.

Riverside’s help guidance recommends download faster than 10 Mbps and upload faster than 5 Mbps for a smooth conversation with other participants on Riverside. That is Riverside’s service-specific recommendation, not a universal minimum for every platform or every kind of live stream. A rehearsal on the intended connection is more useful than treating one speed figure as a guarantee.

Confirm camera and microphone permissions

  1. Open the guest link on the intended device and browser.
  2. Allow the service to use the camera and microphone when prompted.
  3. Select the camera and microphone the guest intends to use; do not assume the device chose the correct input.
  4. Ask the guest to speak at their normal volume while you listen and check their framing.

If the guest cannot be heard or seen, check the browser or device permissions and the selected input before changing equipment. A guest may have multiple cameras or microphones connected, so verify the actual selection in the service interface.

Make the guest’s audio clear

Ask the guest to wear headphones or earbuds if they have them. StreamYard recommends headphones or earbuds to help prevent audio echo. During the test, listen for echo, clipping, very low volume, room noise, fan noise and interruptions.

  • If you hear echo, have the guest use headphones or earbuds and check that audio is not playing through speakers near the microphone.
  • If the voice is too quiet or noisy, confirm the selected microphone and move it closer to the guest. A headset microphone or external microphone can help, but is optional if the existing setup sounds clear.
  • If the voice distorts, ask the guest to reduce input level if the device or service provides that control, then test again at normal speaking volume.

Do not make equipment ownership a prerequisite. Keep the existing setup if it passes the rehearsal; consider an external microphone only if the built-in microphone does not produce intelligible, acceptable sound.

Improve the camera picture and setting

Ask the guest to put the camera near eye level, face a light source and choose a quiet, nondistracting background. A lamp or window in front of the guest, near the camera, is generally more helpful than a bright window behind them. Backlighting can leave the face dark. These are practical setup principles; Zoom’s technical guide making similar recommendations is dated May 2020, so it should not be treated as a current device specification.

  • Place the camera at approximately eye level rather than pointing up from a desk or down from overhead.
  • Frame the guest with enough room around the head and shoulders, and check that the face is visible.
  • Reduce distracting movement and noise in the background.
  • Ask the guest to look toward the camera when speaking to viewers, while still looking at the host naturally during the conversation.

Rehearse the conversation and show controls

Run a private or unlisted test where possible, rather than checking only that the guest can enter. Google’s live-streaming guide recommends testing internet connection, camera framing, audio capture and lighting in a private or unlisted stream. For a guest interview, also rehearse the actual transitions and materials that will be used.

  1. Have the guest join through the same link and device they will use live.
  2. Check camera, microphone, framing and lighting while the guest speaks.
  3. Practice introductions, interruptions, handoffs and how the host will signal that a guest should answer a question.
  4. If slides or screen sharing are part of the show, test them and check that the right screen or window is shared.
  5. Verify the broadcast destination, scenes and any other host-side production elements before the event.
  6. Decide who will monitor chat. If no one can moderate, consider turning chat off rather than leaving it unattended.

On StreamYard, guests can participate but do not control the broadcast’s start or stop, layouts or graphics. The host should retain responsibility for those controls and make the handoff plan clear.

Day-of checklist and common fixes

Symptom Check Practical fix
Guest cannot enter Confirm they have the right link, are using the advised browser or device, and have completed any access prompts. Resend the join link and have them retry. Use the agreed contact method if they still cannot get in.
Guest is visible but silent Check microphone permission and the selected microphone; ask the guest to speak while you listen. Select the intended input and grant permission in the browser or device settings.
Echo or doubled audio Check whether sound is coming from speakers back into the microphone. Have the guest use headphones or earbuds and test again.
Face appears dark Look for a bright window or lamp behind the guest. Move the light source in front of the guest or reposition the camera and guest.
Connection stutters Check the same network the guest will use during the broadcast; close unnecessary applications and tabs. Try Ethernet if available, or move nearer to a reliable Wi-Fi access point and rehearse again.
Destination does not show video immediately Confirm the host-side destination status and that the connection is ready. Riverside notes that video can take around 30 seconds to appear on destination sites; allow for that interval before treating the initial delay as a failure.
