A practical, editable webinar run-of-show template for coordinating timing, responsibilities, technical cues, handoffs and contingencies.

Use this free run-of-show template to coordinate a live webinar: it gives the delivery team a timed sequence of segments, owners, cues, technical actions, and fallbacks. Unlike the short agenda attendees see, this is the working production document. Copy the table, set your event’s actual start and end times, and adapt the example timings to your session.

What is a webinar run of show?

A webinar run of show is the production team’s operational schedule for delivering the event. It records what happens, when it happens, who is responsible, and what cues or technical actions move the session forward. Vimeo Staff describes it as a “minute-by-minute blueprint”; that is useful shorthand, not a formal industry standard.

Keep it separate from the attendee-facing agenda. An agenda tells participants what the session covers. The run of show also includes backstage details such as who launches a slide, who watches questions, how a handoff is cued, and what to do if a demo fails.

Copy this table into a shared document or spreadsheet. Replace the bracketed prompts with event-specific details, remove rows you do not need, and add rows for extra speakers or segments. Set times relative to the event’s actual time zone and keep the hard stop visible.

For every segment, name a person or role rather than writing “team.” If one person has several responsibilities, show when they switch tasks. Record the backstage communication channel the team will use, if there is one, in a clearly visible note above the schedule.

How to build and use the run of show

  1. Set the fixed boundaries. Write the event date, start and end time, time zone, platform, and intended outcome at the top. Confirm the time zone with speakers and moderators rather than assuming everyone is local.
  2. Start from the attendee agenda. Put the public-facing segments in order, then add the operational rows the audience does not need to see: room opening, recording actions, transitions, technical checks, and closeout.
  3. Assign an owner to every action. Specify who presents, moderates, watches questions, operates slides or demos, and makes time decisions. Make handoffs explicit—for example, “moderator introduces presenter; presenter confirms screen share; producer advances to slide 1.”
  4. Put cues where the owner can act on them. Use clear, observable prompts such as “producer starts recording after moderator’s welcome” rather than vague notes such as “recording.” List required slides, clips, links, or platform controls in the same row.
  5. Choose a contingency for high-impact failures. Decide what the team will do if a speaker loses audio, screen sharing fails, or a live demo breaks. A prepared recording or screenshots can serve as a demo fallback. Assign who makes the switch and who tells attendees.
  6. Review timing and agree on overruns. Check that the segment durations fit between the fixed start and hard stop. Agree in advance whether the moderator will shorten a section, take fewer questions, or extend the event if that is genuinely possible; do not leave the decision to a stressful live moment.
  7. Rehearse the transitions. Have the people with live roles join the event platform, confirm access and audio/video, test the planned handoffs, and run through the sequence. The U.S. Forest Service’s webinar run-through checklist specifically advises confirming date and time zone, reviewing flow and timing, discussing overrun management, and checking the technical setup.
  8. Close the loop after the event. If relevant to the session, name who will send follow-up materials, handle unanswered questions, or share the recording. Keep this as a practical handoff, not an elaborate process unless the event needs one.

Illustrative 60-minute schedule

This is one sample sequence, not a recommended universal format. It allocates 60 minutes across a holding period, welcome, introductions, presentation, demo, Q&A, and closing. Change the balance to fit the content, audience, speaker count, and hard stop.

The sample’s time allocations come from a PilotCue template. They describe that example only; they do not establish an ideal webinar duration or a fixed amount of time every event should reserve for Q&A.

Pre-session checks for the production team

  • Confirm the event date, start time, time zone, and hard stop with the people delivering the session.
  • Check that each speaker and operator can access the platform and has the required permissions.
  • Test the audio, video, screen share, slides, and any planned media in the setup that will be used live.
  • Review the run of show in sequence, including who gives each cue and who takes control at every handoff.
  • Agree how the moderator will handle overruns and what can be shortened without undermining the session.
  • Confirm the fallback for any demo or technical action that could interrupt the session.
  • Make sure the team knows where to communicate backstage and who is authorized to make live changes.

What makes a run of show useful?

There is no single format established as a formal standard in the guidance cited here. As a practical check, the document should make timing easy to follow, identify owners and handoffs, capture technical cues, include realistic contingencies, and remain adaptable to the event’s length and format. A spreadsheet, shared document, or another format can work if the team can find and use the information during the live session.

One production vendor, Webinar.Company, says it produces 500+ shows a year and rehearses for 30 minutes on every show; those are the vendor’s own operating claims, not independent industry benchmarks or requirements for your webinar. Choose rehearsal time according to the number of roles, transitions, and technical dependencies your event actually has.
