OBS Studio is the strongest starting point for a nonprofit that needs desktop screen recording without a software license cost and has someone who can configure the recording workflow. Choose Camtasia if recording and editing together matter more than minimizing cost; consider Zoom when the job is primarily recording meetings or webinars. These are fit-based recommendations, not results of hands-on testing.
How to choose a screen recorder for a nonprofit
Start with the work the recording must do. A staff software walkthrough, an accessible volunteer training video, and a meeting archive have different needs. Compare the total cost, the time your team can spend setting up and editing, the platforms staff use, and the requirements for captions, sharing, and handling sensitive information.
- Budget: Include recurring subscription costs and confirm that any nonprofit or education discount applies to your organization and intended use.
- Workflow: Decide whether you need desktop capture alone, an integrated editing workflow, or meeting capture.
- Accessibility: Plan for accurate captions or a transcript, and narrate important on-screen actions so viewers are not relying on visuals alone.
- Privacy: Before recording, check whether the screen or audio could expose donor, client, health, personal, or confidential staff information. Review vendor terms and follow your organization’s policies; the sources cited here do not establish a comparative security audit.
Best options by nonprofit use case
OBS Studio: best when the software budget must be zero
OBS Studio is free, open-source desktop software for video recording and live streaming. OBS lists capture sources such as windows, images, browser windows, webcams, and capture cards, alongside real-time video and audio capture and mixing. Its help portal says the GPLv2 application is free for anyone to use for any reason, without watermarks or usage limitations.
That makes OBS a practical first choice for recording software walkthroughs or staff training when a team member or volunteer can handle initial setup. It is configurable rather than an all-in-one recording-and-editing workflow: the official materials reviewed do not establish built-in editing or cloud collaboration comparable to an integrated paid suite.

Camtasia: consider it when recording and editing together matters
Camtasia by TechSmith combines screen recording and video editing. TechSmith’s pricing page checked October 3, 2026, displayed a Starter plan at $39 per year billed annually and an Essentials plan at $179.88 per year billed annually. Plan contents differ; the page describes screen capture up to 4K and notes that Starter’s Camtasia Editor is watermarked, while higher paid tiers include additional editor features. These prices and plan details can change and may vary by market, so check the current Camtasia pricing and plan comparison before budgeting.

TechSmith’s education pricing is not a general nonprofit discount. Its eligibility information covers accredited institutions and specified education end users, including students, faculty, staff, and employees of accredited nonprofit educational institutions. It limits education licenses to teaching, learning, and administrative computing and excludes commercial use by education institutions. A general charity or a nonprofit employee outside the qualifying education context should not assume eligibility; review TechSmith’s education terms.
Zoom: consider it for meetings and webinars
If your primary need is to capture a meeting or webinar, Zoom may be a closer fit than a dedicated screencast tool. Zoom says qualifying organizations with 501(c)(3) status, including public libraries with that designation, or an internationally recognized equivalent, can receive a 50% discount on select products after validation by Goodstack. The offer is not stated to cover every Zoom product, so verify the product and your organization’s eligibility directly with Zoom’s nonprofit subscription guidance.

Make recordings usable and safe to share
Prepare the screen and script
- Close unrelated windows and notifications, and use a test recording to catch personal information that might otherwise appear on screen.
- Write a short sequence of actions before recording. Explain what viewers should notice as you perform each important step.
- Check microphone input and playback before recording a full session. For a presenter-on-camera format, OBS lists webcam input support; a webcam is optional for screen capture.
Review accessibility and privacy before publishing
- Check captions or transcripts for accuracy, especially names, technical terms, and instructions. If important information is shown rather than spoken, describe it aloud.
- Review the finished recording for donor, client, health, personal, or confidential staff data. Remove or obscure material that should not be shared, and follow the nonprofit’s policies and the relevant vendor terms.
- Confirm the intended audience and sharing permissions before distributing a recording of a meeting, training, or internal system.
