On YouTube, the practical difference is what the text communicates: subtitles usually show spoken dialogue, often translated, while captions convey dialogue plus meaningful audio cues such as speaker identity, laughter, or sound effects. The terms are not used identically everywhere, and YouTube groups the creator workflow under “Subtitles,” so choose and review a track by its content—not just its label.
Subtitles and captions: what is the difference?
In common accessibility usage, subtitles focus on spoken words and may translate them into another language. Captions aim to provide an audio equivalent: dialogue along with relevant non-speech information needed to understand the program. That can include who is speaking, music, laughter, or a sound such as thunder when it matters to the scene. W3C’s explanation of captions describes this distinction.
The distinction is useful, not universal. Some countries use “subtitles” for captions, and YouTube’s player labels the feature “Subtitles/CC” while YouTube Studio calls the creator workflow “Subtitles.” A track called “subtitles” on YouTube is not automatically dialogue-only or translated; inspect what it contains.
Closed captions and open captions
Closed captions are a selectable track viewers can turn on or off. Open captions are burned into the video image and cannot be turned off. YouTube’s caption workflow creates a selectable track; text burned into the picture is part of the video itself.

Which track should you make?
Decide based on the video’s language, audience, and audio—not on a rigid naming rule.

Same-language captions can help deaf or hard-of-hearing viewers, people who are not fluent in the spoken language, and people watching where audio is difficult to hear. Translation can make a video more accessible to viewers who speak other languages. W3C WCAG 2.2 Success Criterion 1.2.2 is Level A and addresses captions for prerecorded audio content in synchronized media, with an exception for media that is a clearly labeled text alternative. How to add a subtitle or caption track in YouTube Studio
YouTube documents several ways to create a track. The interface may change, but the documented workflow is to add a language, choose an input method, then review the text and timing.

- Open the video’s subtitle settings. In YouTube Studio, open Subtitles, select the video, and choose Add language if the language you need is not listed.
- Choose how to add the track. Select an option to upload a file, auto-sync transcript text, type the text manually, or review automatic captions when available. YouTube describes these options in Add subtitles and captions.
- Enter or upload the text and timing. If you type or auto-sync a transcript, check that the text matches the spoken words and that the timing follows the video. If uploading, use a supported caption file.
- Review and publish. Play the video while checking the track, correct errors and timing, then save or publish the changes in Studio.
Choosing a file format
For a straightforward upload, YouTube recommends SubRip (.srt) or SubViewer (.sbv) as beginner-friendly formats. The basic supported SRT version is plain UTF-8 and does not retain style markup. Caption files carry text and timing; depending on the format, they can also carry positioning or style information. See YouTube’s caption-file format guidance.
What to write in a caption track
Include non-speech cues when they convey information a viewer needs to understand the program. For example, applause or thunder may be relevant even though neither is dialogue. Identify speakers where the change matters or the speaker is not clear from the image. Keep a translated subtitle track focused on accurately conveying the spoken content in its target language.

Automatic captions need a human review
YouTube generates automatic captions with speech recognition, and accuracy varies. It warns that mispronunciations, accents, dialects, background noise, overlapping speakers, and other audio conditions can lead to errors. YouTube advises creators to review the result and correct it; automatic captions may also be delayed or unavailable because of processing, unsupported language, long video duration, poor sound, long silence at the beginning, overlapping speakers, or simultaneous languages. During review, pay particular attention to names, technical terms, numbers, speaker changes, negations, and meaningful non-speech sounds. This checklist follows from the kinds of recognition errors and audio problems YouTube identifies; it is a practical review method, not a quoted YouTube checklist.

Common problems and what to check
- Automatic captions are missing: Check whether processing has finished, the language is supported, and the recording has clear speech. Long silences, overlapping speakers, simultaneous languages, poor sound, or a long video can affect availability.
- The words are present but wrong: Review the track against the audio, especially names, specialist vocabulary, numbers, and negations. Edit the wording in Studio rather than treating recognition output as final.
- Timing drifts or words appear too early or late: Play the video alongside the track and adjust timing in the Studio editor, or correct timestamps in the caption file before uploading.
- Formatting does not appear as expected: Basic SRT support does not retain style markup. Use a format and features supported by YouTube if positioning or styling is important.
- A viewer cannot switch the words off: If text is burned into the video, it is open-captioned, not a selectable YouTube caption track. Add a separate track through Studio when viewers need a toggle.
When to use a captioning or translation service
If you need professional captioning or translation, YouTube lists outside providers, including 3Play Media, Amara, and Amberscript. They are third parties: YouTube says it does not guarantee their quality or imply a formal relationship. Check a provider’s capabilities and terms directly.
