How to Create Just-in-Time Video Training

Build just-in-time training around one task learners need to complete. Plan clear narration, captions, transcripts and accessible playback from the start.

Start with one real task learners need to complete, then make a focused video that shows the next action clearly. Plan captions, a transcript, accessible visuals and playback before recording—not as cleanup afterward. There is no evidence-based ideal runtime for every just-in-time training video; make the clip only as long as needed to teach its defined task.

What makes a video just-in-time training?

Just-in-time video training helps someone answer a practical question or carry out a procedure when that need arises. Its defining feature is its connection to a specific point-of-need task, not a particular length or production style.

The University of South Carolina’s Digital Accessibility Microlearning Series offers practical sessions on discrete subjects such as captioning and transcription. The page lists 30-minute webinars, but that is an example format, not evidence that 30 minutes—or any other duration—is ideal for a video.

How do I create just-in-time video training?

  1. Identify the point-of-need task. Choose a recurring question, decision or procedure that learners encounter while working. Write a concrete outcome, such as “After watching, the employee can submit a corrected expense report.” This example is illustrative; define the outcome for your own process.
  2. Limit the video to the next action. Organize the explanation around the steps needed to complete the task. Leave out background that does not help viewers act. For software, show the relevant screen and the action to take; for a physical process, frame the important action clearly.
  3. Plan narration and visuals together. Decide what viewers must hear and see to follow the task. Describe important visual information in the narration when possible; if essential details cannot be communicated that way, consider audio description or a separate described version. Use readable, high-contrast text, avoid jargon and unexplained acronyms, and keep text out of the lower third where captions may cover it.
  4. Record a clear demonstration. Speak clearly, with background noise kept well apart from the voice. Make the screen or physical action legible and leave enough time for each step to be understood. Section508.gov says speech above 180 words per minute may be too fast for captions; treat this as a caption-readability guideline, not a required or universal speaking rate. Avoid flashing content.
  5. Edit for comprehension. Remove material that does not support the task, preserve the order of actions, and check that the audio remains understandable. Keep on-screen text readable and consistent with the narration. Allow enough time for captions to be read alongside the demonstration.
  6. Create and review captions. For prerecorded video with audio, captions synchronize dialogue and important sounds with the image. Automatic captions can provide a draft, but they need human review. Check timing, names, spelling, punctuation, grammar, meaningful non-speech sounds and line breaks. Section508.gov recommends no more than two lines at once and no more than 45 characters per line, with fewer preferred.
  7. Prepare a transcript and visual equivalent. Place a transcript where learners can find it beside the video. Include spoken content, on-screen text and key visual information that the narration does not already explain. A transcript also lets people scan or search the material without watching the clip.
  8. Publish and check it where learners will use it. Choose a player with caption support, keyboard access and usable playback controls; do not autoplay the video. Test the published video, captions, transcript and controls in the location learners will use to find the answer. Confirm that the clip enables the intended task outcome.

How do I add captions and a transcript to a training video?

Captions

Use synchronized captions for dialogue and important sounds. If you start with automatic captions, review them rather than publishing the unedited output. Check that every spoken line and relevant sound appears at the right time, that names and technical terms are correct, and that punctuation and line breaks make the text easy to follow. Keep captions to two lines or fewer and, following Section508.gov guidance, no more than 45 characters per line; shorter lines are preferred.

Transcript

Provide a linked transcript alongside the clip. It should contain the spoken words and on-screen text, plus descriptions of meaningful visual information that is not otherwise conveyed. If a visual detail is essential and cannot be understood from the transcript or main narration, consider adding audio description or an alternate described version.

Captions, transcripts and audio description serve different purposes: captions accompany the video in sync, a transcript provides a text alternative people can read or search, and audio description conveys important visual information through audio. They are complementary rather than interchangeable.

How do I make a training video accessible?

  • Make speech easy to hear: speak clearly and separate the voice from background noise.
  • Explain essential visuals: narrate what matters on screen or in the demonstration, and consider audio description if narration alone is insufficient.
  • Make text readable: use good contrast, avoid jargon and unexplained acronyms, and keep important text clear of the lower third where captions may appear.
  • Provide checked captions and a discoverable transcript: review automatic captions and include key visual information in the transcript.
  • Use accessible playback: verify that captions and controls work, that the player is keyboard-operable, and that the clip does not autoplay.
  • Test at the point of need: check that learners can find and use the video, transcript and controls in the place the task arises.

The U.S. Section 508 guidance describes requirements for U.S. federal contexts; the UK Home Office material is design guidance. Applicable legal obligations can vary by jurisdiction and organization, so confirm which rules apply to your workplace and learners.

  • Can they attach a transcript and make it easy for learners to find?
  • Does the player support audio description where needed and provide accessible controls?
