Plan a year-end party by setting its purpose, audience, format and budget first; then choose a date and venue, assign owners, coordinate vendors and the schedule, and confirm guest needs and safety arrangements before event day. The checklist below works for workplace, family and community gatherings, with workplace and in-person details identified where relevant.
1. Write a brief that defines the event
Before choosing a venue or ordering anything, write down the decisions that will guide the plan. A short brief should identify:
- Purpose: Why are you gathering, and what should guests be able to do or enjoy?
- Audience and size: Who is invited, and what is the likely headcount?
- Format: In person, virtual or hybrid; formal or casual; meal, activity or social gathering?
- Owner: Name one person responsible for keeping the plan moving and resolving open decisions.
- Budget: Record the approved total and who can authorize changes.
For a public or community event, the GOV.UK guide also recommends accounting for permissions, access and safety needs, insurance, publicity, detailed event plans and post-event closeout. The exact requirements depend on the event and location.
2. Choose a date, format and venue
Shortlist dates that suit the audience, then check local holiday calendars and the availability of venues or online platforms. There is no universally correct lead time: a commercial checklist suggests starting roughly 8–10 weeks ahead, but that is a planning suggestion, not a minimum. A larger gathering or a date in a busy holiday period may require more time.

Compare venues and providers against the same practical criteria rather than comparing headline prices alone:
- Total cost and what it includes, such as furniture, setup, cleanup or equipment.
- Location, transport options and accessibility of the route and space.
- Capacity, layout and whether the room works for the planned activities.
- Food service and ability to accommodate dietary requirements.
- Audio-visual equipment and technical support, if needed.
- Deposit, cancellation and overtime terms.
- Responsibility for any regulated service, such as alcohol.
Ask what is included in writing before booking additional catering, rentals or equipment. The best choice depends on guest needs and event format, not simply on capacity.

3. Assign owners and coordinate the plan
Give each workstream a named owner and a clear deadline. For a workplace party, common workstreams include program, food and drinks, venue logistics, invitations, accessibility and technical setup. A single planning owner should keep decisions and dependencies visible—for example, the final headcount may affect both catering and room layout.
Build the event schedule around the audience and purpose. Decide who is responsible for arrivals, welcoming guests, meal or activity transitions, any recognition or announcements, social time and closing. Share the schedule and responsibilities with the relevant venue staff and vendors before the event.

4. Ask about guest needs early
Use an appropriate, private process to invite guests to share dietary requirements and accessibility requests, allowing enough time to act on them. Pass only relevant information to the venue or vendors. Plan for accessible movement and communication, suitable food choices, drinking water and non-alcoholic beverages; make activities optional where participation may not suit everyone.
For an in-person event, confirm that the room layout and route work for the people attending, not just that the venue describes itself as accessible. 5. Confirm safety, alcohol and local requirements
Decide who is responsible for safety arrangements and for any alcohol service. Confirm venue procedures, emergency contacts, security and transport plans where relevant, and check whether permits or licences apply. Requirements vary by jurisdiction and event type: Toronto guidance is local to Toronto, while WorkSafe Victoria’s public-event guidance applies in Victoria. Neither is universal legal advice. For events elsewhere, check with the relevant local authority and venue.

For an in-person party, possible supplies include plates, cups, napkins, themed decorations and holiday lights. These are options, not a mandatory shopping list. First check what the venue, caterer or rental provider already supplies, then buy only what fits the format and theme.

7. Use this final-week and event-day checklist
In the final week
- Reconfirm the guest count and any dietary or accessibility arrangements.
- Confirm vendor arrival times, deliverables and day-of contacts.
- Verify the room setup, equipment, schedule and who owns each transition.
- Review venue procedures and the plan for any safety or transport needs.
On the day
- Check that the space and equipment are ready before guests arrive.
- Make sure the people responsible for welcoming guests, vendors and the program know where to be and when.
- Keep the schedule and contact details available to the planning owner.
Afterward
Collect feedback and note what worked, what caused friction and what should change next time. Close out outstanding vendor or venue matters and retain useful planning notes for the next event.
