What to Ask When Interviewing Family and Teammates for a Memorial Documentary

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The strongest memorial interviews do not collect a stack of compliments. They reveal a person through scenes: a first meeting, a familiar ritual, a difficult decision, a joke that still gets repeated, or a small act of care. Prepare a flexible question map, ask one open question at a time, and invite each narrator to describe what they personally saw, heard, did and felt.

Before recording, agree on the documentary’s purpose, possible uses, access, storage, review and release terms. During the conversation, begin with easy context, follow the narrator’s pace, and treat emotion as a signal to pause rather than a problem to overcome.

Build a question map, not a script

Start by learning enough about the subject to avoid making the narrator supply basic facts. Create a simple chronology, list important names and places, and mark the periods of the person’s life that each interviewee can describe firsthand. A family member may know household rituals but not a workplace crisis; a teammate may know preparation, pressure and group dynamics but not private family life.

The Library of Congress Veterans History Project describes its question lists as outlines rather than scripts. That distinction matters: a script pushes you toward the next predetermined answer, while an outline lets a useful detail lead to a better follow-up. The Smithsonian’s oral-history guidance similarly emphasizes tailoring questions after a preliminary conversation.

Match the narrator to the memory

  • Relationship: spouse, sibling, parent, child, friend, coach, colleague or teammate.
  • Firsthand knowledge: what this person directly witnessed rather than heard secondhand.
  • Life period: childhood, a particular season, a job, a move, an illness, a championship or a later-life role.
  • Theme: humor, loyalty, work ethic, generosity, conflict, creativity, faith, leadership or change.
  • Scene potential: whether the answer can be grounded in a place, action, sensory detail and other people present.

Write the narrator’s name, preferred form of address and sensitive subjects on your preparation sheet. Do not hand over a long questionnaire and ask them to perform it. Keep the sheet out of the camera’s sightline and use it as a reminder, not a checklist.

Prepare consent, purpose and practical conditions

Explain why you are making the film, who is producing it, where the recording may appear, who may access the files, how long they may be kept, whether excerpts can be edited, and whether the narrator can review or withdraw material under the project’s release terms. Discuss these points before recording, not after an emotional story has been captured. Rights and privacy obligations vary by jurisdiction, project ownership and distribution plan; this is a production conversation, not legal advice.

Use a short pre-interview

A pre-interview can be a phone call or an informal conversation without cameras. Ask what the narrator remembers clearly, what they would rather not discuss, which names or pronunciations need checking, and whether photographs, objects, maps or a timeline might help. The goal is trust and accurate preparation, not to rehearse the final answers.

Make the room easy to use

  • Choose a quiet, comfortable location where the narrator can sit naturally and take breaks.
  • Practice the recorder, microphone, headphones and backup workflow before the interview.
  • Monitor sound while recording; a visually beautiful shot cannot repair missing or distorted speech.
  • Keep water, tissues and a clear path to the door available without making the setting feel clinical.
  • Tell the narrator how long you expect to work and how they can request a pause.

No particular recorder model is required by the oral-history guidance. The best setup is one you can operate confidently and that does not make the narrator self-conscious. Make a preservation plan for the original files and supporting photographs, notes and releases before the first session.

Open gently and establish the relationship

Start with identity and everyday context. These questions are easy to answer, produce usable introductions and help the narrator settle into their own memories.

  • How did you first meet or come to know them?
  • What do you remember about that first meeting?
  • What did you call them, and what did that name mean to you?
  • What would a typical day together look like?

Ask one question, then wait. A pause is not a failed interview; it gives the narrator time to find a memory instead of a polished generalization. Avoid leading wording such as “Wasn’t that devastating?” because it supplies the emotion and conclusion you are supposed to discover.

Questions for family members

Family interviews are most revealing when they move from broad affection to observable habits and specific episodes. Select only the prompts that fit the relationship and the narrator’s energy.

Everyday rituals and home life

  • What small family ritual or habit makes you think of them?
  • Can you walk me through a normal morning, evening or weekend you shared?
  • What did they do that showed how they cared for people?
  • What changed in the family when they were around?

Humor, conflict and turning points

  • Can you take me through a time they made you laugh?
  • Tell me about a disagreement you remember. What happened next?
  • When did you see them handle a difficult situation in a way that surprised you?
  • What did they do before or after an important family event that people came to expect?

Stories worth carrying forward

  • Is there a story younger relatives should know about them?
  • What is a moment that captures who they were for you?
  • What did you understand about them only later?
  • What part of them do you see continuing in the people around you?

“They were always generous” is a starting point, not the finished answer. Follow it with “Can you describe a time you saw that?” and ask the narrator to place the event in time and space.

Questions for teammates and work companions

Teammates often preserve a person’s public character: how they prepared, responded under pressure and affected a group. Ask about the shared activity rather than assuming everyone experienced the subject in the same way.

First practice, shift or project

  • What do you remember about your first practice, job or project together?
  • Where were you, who else was there and what happened that day?
  • What did they do before or after a game, shift or shared task that people came to expect?

Pressure and group dynamics

  • What role did they take when things became difficult?
  • Can you describe a moment when you saw their character clearly?
  • How did they respond after a mistake, loss, deadline or disagreement?
  • What did teammates learn from them, intentionally or otherwise?

Beyond the scoreboard or job title

  • What did they care about most, and how could you tell?
  • What story do people tell about them that feels especially true?
  • What part of their influence remains in the team now?

Ask for the narrator’s own observation rather than a group verdict. “Everyone respected them” becomes filmable when the speaker explains who stayed late, who was encouraged, what was said and what changed afterward.

Follow-ups that turn praise into a scene

When an answer is brief or abstract, use a neutral follow-up. The National Park Service recommends careful listening and follow-up questions that encourage detail and deeper reflection.

Reconstruct the moment

  • Where were you?
  • Who else was there?
  • What happened first?
  • What did you notice about their voice, expression or movement?
  • What did you do next?
  • What changed afterward?

Invite meaning without imposing it

  • What does that memory mean to you now?
  • When did you realize that was unusual or important?
  • How did your understanding of them change after that?

Useful neutral prompts include “Can you tell me more about that?”, “What do you remember next?” and “Can you give me a concrete example?” Do not stack several questions together. If the narrator answers only one part, stay with that part before moving on.

Handle grief, distress and boundaries

Memorial interviews can bring strong emotion even when the narrator expected it. The National Park Service advises acknowledging distress, checking whether the person wants to continue, allowing recovery with dignity and being comfortable with silence. Its guidance also stresses that oral history is not therapy and that interviewers are not therapists.

When emotion appears

  1. Stop asking the next question and let the narrator finish or pause.
  2. Acknowledge what you observe without diagnosing: “I can see this is difficult.”
  3. Offer a choice: continue, take a break, change the subject or stop for the day.
  4. Do not fill every silence or pressure the person to produce a usable quote.
  5. Confirm afterward what, if anything, they want noted about the material.

For difficult subjects, several shorter sessions may be kinder and more productive than one long session. Do not promise confidentiality or deletion unless your release process can actually provide it. If a narrator needs clinical or crisis support, direct them to qualified local services rather than trying to provide counseling yourself.

Choose a session length that fits the narrator

Institutional recommendations differ. National Park Service interviewing guidance suggests limiting an interview to about 90 minutes and scheduling another session if the narrator has more to say. Smithsonian Archives preparation guidance requests at least two hours for a session. These are planning recommendations, not a universal rule or a study statistic.

Planning choice When it may fit Trade-off
About 90 minutes A focused conversation, an older narrator or a difficult topic May leave additional memories for a second session
At least two hours A broad life-history interview with ample setup and story time Requires more stamina, breaks and careful emotional pacing
Several shorter sessions Complex grief, limited energy or multiple life periods Needs extra scheduling and file organization

Schedule around the narrator’s energy and the project’s needs. Build in arrival, sound checks, breaks and a calm ending rather than treating every available minute as questioning time.

  • PLUG IN FOR STREAMING AND CALLS – Connect via USB-C and use it as a microphone for livestreams, remote meetings, video calls, voiceovers, podcasts, and desktop or mobile recording.

Close with care and an open door

Do not end immediately after the most painful story. Ask whether the narrator wants to add anything, then give them control over the final exchange.

  • What else would you like people to understand about them?
  • Is there something I should have asked but did not?
  • What part of this conversation would you most want a younger person to hear?
  • How are you feeling after talking about this, and would you like to stop here?

The National Park Service specifically supports inviting the narrator to add what was missed. The final emotional check-in is a practical extension of its advice to notice distress and ask whether the person wants to continue.

After recording: protect the story and the relationship

  1. Thank the narrator and confirm any follow-up they agreed to provide.
  2. Make at least one verified copy of the recording before leaving the session or as soon as practical.
  3. Label files with the narrator, date, session number and place; keep a separate record of releases.
  4. Write field notes while details are fresh, including names, pronunciations, locations and possible scene links.
  5. Review the recording and mark unclear names or facts for respectful follow-up.
  6. Prepare a copy for transcription or indexing without altering the preserved original.
  7. Apply the agreed review, access and archival plan to the recording, transcript, photographs and notes.

Follow-up should clarify a detail, not manufacture a better line. If an edit changes the meaning of a statement, return to the release terms and, where promised, give the narrator an opportunity to review it.

A compact interview outline you can carry on set

  1. Context: How did you know them, and what should we know about that period?
  2. Scene: Tell me about a specific moment you shared.
  3. Detail: Where were you, who was there and what happened next?
  4. Meaning: What did that moment show you about them?
  5. Change: What did you understand only later?
  6. Legacy: What do you see continuing in other people?
  7. Choice: Is there anything else you want to add, or should we stop here?

Use the outline as a map, not a performance test. As the National Park Service puts it, “Good interviewing is about temperament as well as technique.” Patience, accurate listening and respect for boundaries will usually produce a more truthful memorial than a longer list of questions.
