IDFA Forum is the professional documentary and new-media market of the International Documentary Film Festival Amsterdam (IDFA). It is a curated, industry-only programme where selected project teams meet financiers, commissioning editors, broadcasters, co-producers, distributors, sales agents, exhibitors and other partners who can help a film or interactive work reach completion and audiences.

Rather than being one public screening or a single pitch competition, the Forum combines several presentation formats with curated one-on-one meetings and networking. Teams apply with a project, are selected for a suitable format, and use the Amsterdam gathering to pursue financing, co-production, distribution, exhibition or audience-development opportunities.

IDFA Forum in plain terms

The International Documentary Film Festival Amsterdam runs IDFA Forum as a professional market for documentary and new-media projects. IDFA describes it as a meeting place for carefully selected projects and international partners in an increasingly selective market. The practical purpose is to move projects forward: secure missing finance, find a co-production partner, obtain a broadcaster or platform commitment, identify sales and distribution routes, test audience positioning, or connect an immersive work with an exhibitor or cultural organisation.

The Forum is therefore different from attending IDFA as a member of the public. A festival ticket lets a viewer watch completed work. Forum participation is built around projects that may still be seeking finance, in production, in post-production, or designed as interactive and immersive experiences. Access is controlled through project selection, invitations and accreditation rather than ordinary public ticket sales.

IDFA is an acronym used by other organisations and events. In this context, it means the International Documentary Film Festival Amsterdam and its professional Forum market.

How the Forum programme is organised

For the 2026 edition, IDFA lists four days in Amsterdam, from November 15 through November 18. The published schedule is a framework, not a permanent timetable: venues, meeting slots and individual session times can change, so participants should check the live schedule close to the event.

Programme element Published 2026 timing What it is for
Rough Cut presentations November 15 Excerpts from projects in post-production, shown to potential festival, sales and distribution partners.
Forum Pitches November 16–17 Selected teams present projects to a broad group of international industry representatives.
Roundtables November 16–17 Smaller, focused sessions in which projects meet a matched group of relevant decision-makers.
One-on-one meetings November 16–18 Targeted conversations between a project team and potential partners.
DocLab Forum Within the programme Pitches and meetings for interactive, immersive and other forms of new-media storytelling.

These elements are complementary. A team might introduce a project in a pitch, refine its financing conversation in a roundtable, then use individual meetings to discuss rights, production schedules or distribution territories. A rough-cut team has a different objective: it can show enough finished material for a potential festival, sales agent or distributor to judge the work, even though the final cut is not complete.

The five main presentation and meeting formats

Forum Pitches

Forum Pitches are presentation sessions for projects seeking broad exposure among accredited professionals. The team explains the subject, creative approach, production status, financing need and intended audience, usually supported by visual material. The value is reach: many relevant people can hear the same concise case, after which interested professionals may request a follow-up meeting.

Roundtables

Roundtables place projects in smaller sessions with participants selected for a closer match. This format is useful when a project has a clearly defined need, such as a particular co-production territory, a public-service broadcaster, a specialist fund or an audience strategy for a difficult subject. The conversation can be more specific than a large-stage pitch, but the project still needs a clear presentation and an actionable request.

DocLab Forum

DocLab Forum is the route for immersive and interactive storytelling. Projects may involve virtual or augmented reality, interactive documentary, games, installations, web-based experiences or other non-linear forms. Teams need to explain not only the story and visual language but also the audience’s interaction, technical requirements, development stage, exhibition context and likely distribution or access model. A traditional film pitch does not automatically communicate those issues.

Rough Cut presentations

Rough Cut presentations are for projects in post-production. Showing excerpts lets potential festival programmers, sales agents and distributors assess the project’s form, editorial direction and market potential before the final version is locked. Teams should be explicit about what remains unfinished; a rough cut is an invitation to discuss the next stage, not a claim that the film is complete.

One-on-one meetings

One-on-one meetings are targeted conversations arranged around the project’s stated goals and the interests of accredited professionals. They are the place to discuss concrete terms: financing gaps, co-production structure, rights and territories, broadcast or platform fit, festival strategy, sales representation, educational use or immersive exhibition. A meeting is an opportunity, not a commitment; a team should leave with a defined next action rather than assuming that an introduction equals a deal.

Who takes part?

IDFA groups participants into three broad categories. Their access and obligations are not interchangeable.

Participant Typical role How access works
Project team Producer, director and other representatives of a selected documentary or new-media project. Applies through the project-entry route; selection determines the Forum format and participation.
Invited industry professional Financier, commissioning editor, broadcaster, co-producer, distributor, sales agent, exhibitor, film-fund or MEDIA Desk representative, digital-platform representative, NGO or supporting film organisation. Invited or accredited for meetings, presentations and networking according to IDFA’s current rules.
Observer Independent producer seeking to learn from the market and, where eligible, request access to selected meetings. Must apply and be selected. Registration alone does not guarantee accreditation; capacity is limited to one representative per production company or affiliated companies.

IDFA’s observer guidance says directors cannot apply for an Observer pass. Independent producers with a track record in co-production may request access to certain project meetings, but that request is subject to the current eligibility and capacity rules. Anyone relying on observer access should read the latest guidance before making travel arrangements.

How a project enters the Forum

Project submission and general Forum accreditation are separate routes. A producer does not obtain a project presentation simply by registering as an industry guest, and an observer application is not a substitute for submitting a project.

  1. Define the project and its market need. Prepare a concise description of the subject, story, creative approach, production stage, financing position and the specific partners you need. Decide whether the priority is production finance, co-production, distribution, exhibition, audience reach or a combination.
  2. Write the required project information. IDFA’s entry checklist asks for basic project details, a short logline, co-production plans where relevant, themes, intended audience and anticipated reach. The application also asks you to identify relevant industry targets and the connections you hope to make.
  3. Prepare visual material. Depending on the project’s stage, this may be a trailer, teaser, sample scenes, a rough cut or material demonstrating an interactive experience. The visual sample should support the stated creative approach and make the project’s current status clear.
  4. Submit during the published call. Deadlines, eligibility rules, required fields and formats are edition-specific. The 2026 project-entry page states that its call is closed; a future edition may use different dates or requirements.
  5. Wait for selection and format assignment. Selection is competitive, and IDFA may place a project in the format that best fits its stage and needs. Selection does not guarantee financing or a distribution agreement.
  6. Prepare for the meetings. Once selected, turn the application into a short verbal pitch, a longer conversation version and a one-page follow-up summary. Research the accredited people you hope to meet and state what you want from each conversation.

Applications are stronger when the requested connection is precise. “We need international support” is less useful than “We are seeking a co-production partner in a country with access to archival funding and a broadcaster interested in a 90-minute historical documentary.” The project materials should make that request credible without promising rights or financing that are not yet secured.

What the published 2026 project fee covers

The 2026 project-entry page lists a presentation fee of €475 per selected project, or €574.75 including 21% VAT. This is an edition-specific published figure, not a universal Forum price. The call is closed, and fees, deadlines, eligibility and inclusions should be confirmed on the current official page before applying to another edition.

Included item What it means for the selected team
Project presentation Placement in the selected Forum presentation format.
Official catalogue listing Inclusion in the online and print project catalogue.
Curated one-on-one meetings Meeting opportunities arranged around project and professional interests.
Two project-team accreditations Two representatives from the selected project receive project-team access.
Networking events Access to the Forum’s professional networking activities.
Industry Programme access Entry to the relevant professional sessions.
Online guest profiles and contacts Online access to profiles and contact details of accredited guests.

The fee does not by itself cover travel, accommodation, additional representatives, production costs or a guaranteed business result. Those practical costs and any extra accreditation requirements depend on the participant and edition.

What happens after a presentation?

Presentations create visibility, but the commercial and creative work usually happens in follow-up. Interested professionals may request a meeting, ask for a screener or treatment, discuss territorial rights, or suggest a financing and production structure. A project team should record who asked for what, obtain permission before sharing confidential materials, and send a concise follow-up promptly.

Different partners evaluate different evidence. A financier may focus on the budget, finance plan, recoupment and public value. A broadcaster or commissioning editor may examine editorial fit, transmission length, exclusivity and audience. A distributor or sales agent may ask about rights, delivery materials, territory and comparable audience potential. An exhibitor considering an immersive work may need technical specifications, installation requirements and accessibility information. The same project should therefore be explained in terms relevant to each meeting rather than repeated as a generic pitch.

How selective and international is it?

IDFA Institute reported that 51 projects were selected from 841 entries for the 2025 Forum. That is a historical selection figure for 2025, not a forecast of the 2026 intake or an acceptance rate promised for future editions. It illustrates why a complete application and a sharply defined market objective matter.

IDFA’s Markets overview says the festival attracts more than 3,000 international documentary professionals. The page does not specify a year for that number, so it should be treated as a general description of the Forum’s international scale rather than a dated attendance guarantee.

Choosing the right participation route

Apply with a project when you need partners

Use the project-entry route if you have a defined documentary or new-media work and want structured presentation opportunities, catalogue visibility and curated meetings. Your materials must show both the creative proposition and the business or production question that a partner can help solve.

Apply as an observer when you need market access as a producer

An observer application is intended for eligible independent producers who want to understand the market and potentially access selected meetings. It is not a shortcut to presenting a project, is subject to selection and capacity, and cannot be used by directors applying in their capacity as directors.

Attend as an invited professional when you are looking for projects

Financiers, broadcasters, commissioning editors, distributors, sales agents, exhibitors, funds, digital platforms, NGOs and related organisations participate to identify projects and partners. Their invitations, accreditation and meeting access follow IDFA’s current professional rules rather than the project-entry fee.

Practical preparation checklist

  • State the project in one accurate logline and one paragraph of creative intent.
  • Know the current stage: development, production or post-production.
  • Separate confirmed finance and rights from targets still being sought.
  • Bring a realistic budget summary and finance gap, even if the public pitch is brief.
  • Explain intended audience and anticipated reach in specific terms.
  • Choose a trailer, sample or rough cut that represents the project honestly.
  • List the territories, broadcasters, funds, distributors or exhibitors that are genuinely relevant.
  • Prepare separate conversation points for a financier, co-producer, broadcaster, distributor and immersive exhibitor.
  • Confirm accreditation, meeting times, venue information and technical delivery requirements before travelling.
  • Follow up with agreed materials and next steps, while protecting confidential information.

Common misunderstandings

  • It is not simply a public film festival. The Forum is an industry market operating alongside the festival’s public programme.
  • Registration is not selection. A project must be chosen for presentation, and an observer must be selected for observer access.
  • A pitch is not a funding award. The Forum creates introductions and negotiations; partners decide independently whether to invest, commission, co-produce or distribute.
  • The project fee is not a universal annual price. The €475 before VAT figure applies to the published 2026 selected-project entry and can change.
  • One format does not fit every project. A rough cut, an immersive prototype and a project seeking early development finance require different evidence and conversations.

Why the Forum matters to a documentary project

Documentary financing and distribution often depend on several partners rather than one buyer. A Forum presentation can put a producer in front of people who control different pieces of that chain: development funds, broadcasters, co-producers, sales representation, festivals, educational outlets and immersive venues. The curated structure saves time compared with unplanned networking, while the different formats let a project be discussed at the stage where a partner can realistically contribute.

The most useful measure of success is not the number of business cards collected. It is whether the team leaves with qualified contacts, a clearer finance or distribution path, requested materials and scheduled next conversations. The Forum supplies the setting and introductions; the project’s preparation and the quality of its follow-through determine what those opportunities become.
