A family story about a Ningbo ancestor in Hong Kong is not one proposition to prove or disprove. It is a bundle of smaller claims: where the person was born, when they arrived, what work they did, which firm they joined, who their partners were, how they travelled, and whether they sent money back to Ningbo. Test each claim against records created at the time or for a specific administrative purpose, then report exactly what each item supports.
The strongest starting point is the University of Hong Kong (HKU) Libraries’ Hong Kong Chinese Merchants Collection, ArchivesSpace identifier 2022-004, together with its digital repository description. The collection covers late-nineteenth- to mid-twentieth-century Hong Kong Chinese business activity and includes ledgers, contracts, correspondence, remittance material, legal papers and private family records. Digitisation is selective, so an online search is a first pass, not a complete search of the holdings.
What “documented” should mean in a family-history investigation
Documentation is claim-specific. A dated account-book entry may show that a payment occurred or that a person dealt with a firm. A partnership agreement may identify owners and terms. A genealogy may state a lineage. None of those items, by itself, proves every detail in an oral account about the same person.
Use four outcome categories:
- Directly documented: an identifiable record names the person, place, firm or event and supports the particular claim.
- Corroborated: two or more records created independently, or for different purposes, support the same claim.
- Plausible but unconfirmed: the chronology or relationships fit, but no record yet identifies the person with sufficient specificity.
- Family tradition: the detail is preserved in testimony or later retelling without a matching contemporary record.
Keep the original wording of the family statement visible. A conclusion should say, for example, “A 1932 ledger entry supports a payment involving the firm; the ancestor’s arrival year remains unconfirmed,” rather than converting a partial match into a complete family history.

Why Ningbo merchant stories are easy to misidentify
Names can appear in Chinese characters, several English romanisations, courtesy names or abbreviated forms. Firms may change partners, addresses or legal names. A later family account may compress several relatives into one “founder,” or remember a move to Hong Kong without distinguishing a temporary business trip from permanent migration.
Hong Kong’s merchant networks also generated records for different purposes. A bank statement, a shipping document, a family letter and a court paper may refer to the same transaction while using different names or dates. Conversely, two documents that appear to agree may both have been copied from one earlier account and therefore are not independent confirmation.
Start by preserving the story, not correcting it
Record every version
Interview each relative separately before comparing notes. Write down the exact phrasing, the teller’s relationship to the ancestor, when the teller learned it and whether the account came from a letter, photograph, document or another person. Preserve disagreements instead of silently harmonising them.
Separate remembered facts from interpretation
“He arrived in Hong Kong in 1930” is a date claim. “He came because Ningbo merchants recruited him” is an explanation. “The family owned the business” is an ownership claim that may differ from “he worked there.” Put each statement on its own line so that one uncertain interpretation does not contaminate otherwise testable details.

Build a table before searching. Add a row for every proposition and leave room for contradictory evidence.
| Claim type | Search handles to capture | What would count as a close match? |
|---|---|---|
| Place of origin | Chinese county or town name, alternate characters, ancestral village, address | A record naming the individual and a Ningbo-area place, preferably near the relevant date |
| Arrival or migration | Approximate year, port, vessel or route, prior and later addresses | A dated travel, business, legal or correspondence record that places the person in Hong Kong |
| Occupation | Trade, job title, shop address, employer | A ledger, contract, directory-like business paper or letter identifying the work |
| Firm and ownership | Chinese and English firm names, partners, seals, addresses | A partnership agreement, share record, contract or account entry naming the person’s role |
| Family relationship | Generational links, given-name patterns, courtesy names, spouses | A genealogy, certificate, private paper or independent record connecting the people |
| Remittances | Sender, recipient, date, amount, intermediary and destination | A remittance slip, bank material, letter or account entry tied to both parties |
Write the claim in a form that can be falsified: “Cheng [Chinese characters] was a partner in Firm X at [address] between 1928 and 1935,” not “the family was important in Hong Kong.”

Use all plausible names and spellings
Create a search sheet with Chinese characters, English spellings, tones or dialect variants when known, courtesy names, nicknames, initials and common transcription errors. Do the same for the firm and addresses. A name that looks different in English may be the same Chinese name; a visually similar Chinese character may represent a different person.
Record the source of each spelling. If a form, letter or catalogue uses one version and a relative uses another, do not choose one silently. Mark the identity as provisional until dates, addresses, associates or family links agree.

What the HKU collection can contribute
HKU’s ArchivesSpace description identifies the Hong Kong Chinese Merchants Collection as identifier 2022-004. It describes nearly 4,000 account and year-end books, plus letters, documents, partnership agreements, contracts, shares, deposit slips and remittance slips produced through Hong Kong Chinese merchants’ business activity from the late nineteenth to the mid-twentieth century. Most material is in Chinese, with some English and Japanese. Firms listed in the description include Luen Yick Hong, Wah Nam Printing, Eu Yan Sang, Eu Tong Sen, Kwong Sang Hong and Wah Ying Cheong.
HKU’s separate digital-repository overview describes over 4,500 bound account and year-end books and adds transaction records, mortgages, bank statements, remittance instruments, shipping documents, receipts, legal papers, correspondence, photographs and name cards. It also describes private materials connected with merchants and their families, including contracts, litigation documents, genealogies, manuscripts, letters, certificates, photographs, greeting cards and invitations.
The two descriptions give different book counts—nearly 4,000 in one catalogue view and over 4,500 in another. Treat these as different descriptions of a large collection, not as a reconciled current inventory. Before relying on an item, confirm its date range, language, creator, series, access conditions and whether the description refers to an original, a scan or a summary.
Search the finding aids before assuming an item is online
Use ArchivesSpace for scope and content lists
HKU says detailed content lists are available through ArchivesSpace. Search the collection record and its series or item descriptions for every spelling of a person, firm, address and place. Note neighbouring entries: a letter filed under a firm may mention a partner whose name is absent from the item title.

Use the digital repository as a selective window
The digital repository contains selected digitised portions, not the entire collection. A failed keyword search does not establish that no record exists. It may mean that the relevant item is undigitised, catalogued under a Chinese name, described only at series level or restricted by access conditions. Record the exact search terms and date so another researcher can repeat the attempt.
Ask a focused reference question
When contacting the library, provide the claim worksheet rather than a long family narrative. Include all name variants, approximate dates, firms, addresses, languages and the type of record sought. Ask whether a catalogue series contains the relevant period and whether consultation, reproduction or language restrictions apply. Do not request that staff decide whether the family story is true; ask them to identify records that can test a defined claim.
Match each claim to the record most capable of testing it
| Record described by HKU | Claims it may support | Limits to state |
|---|---|---|
| Account and year-end books | Transactions, debts, suppliers, customers, recurring business relationships and dates | An entry may show a payment or relationship without proving identity, ownership or migration history |
| Partnership agreements and contracts | Partners, obligations, firm names, addresses, dates and legal roles | Terms on paper may not show whether an agreement was carried out or later changed |
| Shares and deposit slips | Investment, account holder, institution and transaction timing | Names may be abbreviated; an investment does not by itself establish day-to-day management |
| Remittance slips and bank material | Sender, recipient, intermediary, amount and destination | A remittance supports a transfer, not necessarily the family relationship or motive remembered later |
| Shipping documents and receipts | Goods, ports, consignor, consignee, dates and commercial routes | Commercial presence at a port is not proof of permanent residence |
| Letters and correspondence | Addresses, relationships, plans, events and first-person context | Statements can be mistaken, strategic or copied; identify the writer and date |
| Legal and litigation papers | Disputes, claims, ownership assertions, addresses and named parties | Allegations are not findings; read the outcome and procedural context |
| Genealogies, certificates and private family papers | Lineage, names, dates, marriages and family connections | Later compilations may repeat an earlier error; compare with contemporaneous records |
| Photographs, name cards and invitations | Visual identity, social or business associations, titles and addresses | Captions and identifications may be later additions; an image rarely dates a migration by itself |
Use the narrowest wording justified by the item. If a ledger identifies “Cheng” but not the Chinese characters, describe it as a candidate match rather than assigning it to your ancestor.
Judge evidence on five practical axes
Contemporaneity
Was the item created near the event? A 1930 receipt generally bears more directly on a 1930 transaction than a memoir written decades later. A later genealogy can still be valuable, but its distance from the event should be explicit.
Independence
Was the record created by a different person or institution for a different purpose? A firm ledger and a court document may provide stronger corroboration than two family summaries copied from the same notebook.
Specificity
Does the item name this individual, this firm, this address and this date? “A Ningbo merchant” is context; a named partner at a stated address is a possible identification.

Provenance
Can you trace the item to HKU, the collection identifier, a series or item description, and a known creator? Keep a citation note even when you work from a scan or catalogue entry.
Scope
What proposition does the item actually support? A remittance establishes a transfer; it does not automatically establish why the money was sent, the sender’s occupation or the recipient’s exact relationship.
Corroborate without counting copies as separate proof
Seek records made independently. For a claimed firm partnership, compare a partnership agreement with a contemporaneous account book or legal paper. For a claimed remittance to Ningbo, compare the remittance instrument with correspondence or a receiving-side family record. Note whether one document appears to reproduce another.
Agreement is meaningful only when the identifiers line up: Chinese characters, address, date range, associates and business context. A common surname and a similar trade are not enough. Contradictions should be logged, not averaged away. A date that differs by one year may reflect a calendar conversion or later memory; a different address and unrelated partners may indicate two people.

“He arrived in Hong Kong around 1930”
Search for dated Hong Kong addresses, business transactions, contracts, correspondence, shipping activity and legal papers around the claimed period. A first appearance in a ledger can establish presence by that date, but it cannot prove that the person arrived then. A later record may reveal that the ancestor had been in Hong Kong earlier.
“He owned the family firm”
Look for partnership agreements, share records, contracts, bank or deposit material and legal documents naming the role. Distinguish proprietor, partner, investor, manager, employee and lender. A firm name appearing beside an ancestor’s name does not settle ownership without the document’s wording and context.

“He came through a Ningbo business network”
Map named associates, firms, correspondence and addresses rather than treating regional identity as proof of a particular route. A broad history from the International Ningbo Merchants Association says that some Ningbo merchants moved to Hong Kong, Taiwan and overseas in the mid-twentieth century and names Bao Yugang, Dong Haoyun and Run Run Shaw among prominent merchants. That account is useful context and a lead; it does not verify an unnamed family’s route.
“Money was sent back to relatives in Ningbo”
Start with remittance slips, bank material, account entries and letters. Record sender, recipient, date, amount, intermediary and destination exactly as written. Then test the claimed family relationship separately through genealogies, certificates or independent correspondence. The transfer and the relationship are two claims.
Use scholarship as a lead, not as a substitute for family evidence
HKU Scholars Hub catalogs P. T. Lee’s paper “Biographical Studies of Hong Kong Ningbo Merchants: The Case of Y.K. Pao,” presented at the 1997 International Conference on Overseas Ningbo People at Ningbo University. The catalogue record says no file is attached. HKU also catalogs Lee’s 1998 chapter with the same English title in Studies on Overseas Ningbonese, pages 222–231, published by Ningbo Publishing House.
These records establish a bibliographic path for understanding Ningbo merchant history and Y.K. Pao; they do not, by themselves, confirm a connection to a particular family. Verify the edition and consult the chapter if it helps identify firms, networks, terminology or further references.
Keep a reproducible evidence log
For every item, record:
- Repository and collection: HKU Libraries, Hong Kong Chinese Merchants Collection, identifier 2022-004, plus series or item information when available.
- Creator, date, language and physical or digital format.
- Exact names, characters, addresses, firms, amounts and places as written.
- Whether you viewed an original, scan, catalogue description or later transcription.
- The single claim the item supports and the claims it does not address.
- Conflicting readings, uncertain characters, missing pages and access limitations.
- Search terms used, including alternate romanisations, and the date of each search.
Photographs or scans should retain file names and page numbers. If you transcribe Chinese text, preserve the original alongside your translation and mark illegible characters rather than guessing.
Write a calibrated conclusion
End the investigation with a claim-by-claim table or list. State which details are directly documented, which are corroborated, which remain plausible and which are still tradition. Explain the strongest contradiction and the most important missing record. “No matching item was found in the digitised material searched” is narrower and more accurate than “no record exists.”
A useful final paragraph might read: “The 1934 account book and a 1935 contract place a man with the ancestor’s Chinese name at the firm’s Hong Kong address. They support business presence and a relationship with the firm. No item located so far establishes his arrival year, ownership share or kinship to the remittance recipient. Those points remain unconfirmed.”
A compact workflow you can repeat
- Interview relatives separately and preserve every version of the story.
- Break the narrative into dated, named claims.
- Build name, character, firm, address and place variants.
- Search HKU ArchivesSpace descriptions and the selective digital repository.
- Match each claim to the record type most capable of testing it.
- Inspect provenance, date, language, creator and scope for every candidate item.
- Compare records created independently and flag copied material.
- Log contradictions and uncertainties instead of choosing the convenient version.
- Contact HKU with a focused request when catalogue descriptions do not resolve a claim.
- Report the result in four categories: documented, corroborated, plausible but unconfirmed, and family tradition.
This method respects both parts of the inheritance: the family’s memory and the archive’s limits. It can confirm a specific transaction or relationship without overstating what that record says, and it leaves unresolved questions clearly identified for the next search.
