Start with the Kerala State Archives record-holding guide when you need government files, palm-leaf manuscripts, or records created under Travancore, Cochin, or Malabar administration. Then use the repository that matches the historical jurisdiction and record type. Search the State Central Library catalog for published books, newspapers, gazettes, and other cataloged material; check the e-Likhitham 2.0 portal for selected digitized archival records; and use the National Archives of India’s Abhilekh Patal search for national-level records. These systems answer different questions: an archival finding aid identifies record series and repositories, a library catalog identifies published items, and an online portal may expose only metadata or a permitted digital file.
Which repository should you try first?
Your first choice depends on both what the item is and which historical administration created it. Modern Kerala place names do not always match the labels used in archival descriptions, so identify the former state or district before planning a visit.
| Your likely target | Best first search | Important check |
|---|---|---|
| Former Travancore state records, older state administration, or palm-leaf manuscripts | Kerala State Archives, Central Archives, Thiruvananthapuram | Record series, date range, language or script, eligibility, and whether a digital copy is listed. Record-holding guide |
| Former Cochin State files | Kerala State Archives, Regional Archives, Ernakulam | Whether the description identifies a cadjan (palm-leaf) or paper record and which office created it. |
| Former Malabar District records | Kerala State Archives, Regional Archives, Kozhikode | Record dates and series; Malabar material is described separately from Travancore and Cochin. |
| Rare books, gazettes, newspapers, Assembly proceedings, census reports, journals, or old law books | Kerala State Archives Library | Research-scholar permission, working-day hours, current fees, and reproduction rules. Library page |
| General books and cataloged library material | State Central Library online catalog | Search without login, then refine by language, collection, item type, or shelving location. Catalog |
| Digitized Kerala archival documents | e-Likhitham 2.0 | Scholar registration, online fee payment, authorization, and the file format offered. e-Likhitham 2.0 |
| National-government records or material held by the National Archives of India | Abhilekh Patal and the National Archives of India | Whether a result is only a reference or has an accessible digital file, and whether you meet open-category registration rules. |
What the Kerala State Archives holds
The Kerala State Archives Department is the state’s archival authority. Its Directorate is in Thiruvananthapuram, with regional repositories in Thiruvananthapuram, Ernakulam, and Kozhikode. The department’s record-holding guide describes permanent-value government records and private collections, with material dating back to 1424. It also lists Secretariat cellar records and Malabar Collectorate records at the Directorate in Thiruvananthapuram, so not every series is stored in a regional archive named after the historical state.
Former Travancore records
The Central Archives in Thiruvananthapuram is listed for former Travancore public records from 1424–1885. This is the logical starting point for questions about Travancore administration, revenue, courts, state offices, and other public business in that period. A modern town name alone may be insufficient: include the historical taluk, office, ruler’s administration, or record series if you know it.

Former Cochin records
The Regional Archives in Ernakulam is listed for former Cochin State records from 1567–1949. When a record concerns a Cochin-era office, palace administration, revenue branch, or local institution, search this repository’s descriptions rather than assuming that a present-day Ernakulam address identifies the correct collection.
Former Malabar District records
The Regional Archives in Kozhikode is listed for former Malabar District records from 1805–1956. Malabar was administered under a different historical framework from Travancore and Cochin, so a property, court, or revenue inquiry from northern Kerala may be described under “Malabar District” even when the modern location has another district name.
More than bound paper
The holdings include paper records, palm-leaf and bamboo-splint records, microfilms, copper writings, rare books, and other formats. The detailed holding page reports more than 14,000 churunas, or palm-leaf manuscript rolls. The department’s separate library page gives a different figure of more than 11,000; treat the counts as page-specific descriptions rather than silently combining them. Churunas may use Vattezhuthu, Kolezhuthu, Malayanma, Tamil, or Malayalam. A search based only on contemporary English spelling can therefore miss the relevant description.
How to read an archival description
An archival finding aid is not the same thing as a document viewer. It may tell you that a series exists, the date span, the creating office, the repository, and sometimes the format or language. It does not necessarily provide an item-level scan or a transcription.
- Record creator: Look for the department, collectorate, court, secretariat, or private person that generated the record.
- Historical jurisdiction: Note Travancore, Cochin, or Malabar, even if the event occurred in a place now assigned to another district.
- Date span: A series’ broad dates do not prove that your exact year or case file survives.
- Format and script: Palm leaf, paper, microfilm, copper writing, Malayalam, Tamil, or older scripts affect how staff can retrieve and reproduce an item.
- Repository: Confirm whether the description points to Central Archives, a regional archive, or the Directorate.
Use alternate spellings, former place names, administrative offices, and local-language terms when a modern-name search produces nothing. For a family or property question, write down the village, desom or taluk if known, the approximate year, the parties’ names, and the office likely to have handled the matter.

Can anyone consult records at Kerala State Archives?
Access is controlled rather than an unrestricted walk-in service. The department’s published rules state that consultation is generally for bona fide research scholars. The library page says: “Records are open for research and reference to bonafide Research Scholars between 10.30 am and 4.30 pm on all working days.” Preserve the qualification: this is the department’s access statement, not a promise of general public admission.
Eligibility and permission
The rules describe eligible research roles and allow the Director to refuse or modify an application. Foreign researchers require permission from the Kerala Government. Inspection permission lasts six months. Because application forms, charges, and administrative instructions can change, contact the relevant repository before booking travel and ask which documents establish your research status.
Plan for a working-day visit
- Identify the repository from the record-holding guide and note the series, date range, and record format.
- Contact that repository to confirm current opening hours, eligibility documents, application procedure, permission validity, charges, and whether advance appointment is required.
- Submit the required research application. If you are a foreign researcher, ask specifically about Kerala Government permission before arranging inspection.
- At the reading room, request records by the archival reference or series description rather than by a modern subject phrase alone.
- Ask staff about handling rules, photography, photocopying, and any restrictions on fragile palm-leaf, paper, microfilm, or copper records.
- Keep the permission period in view: the published rules state six months, but confirm that the current authorization issued to you carries the same validity.
When the Kerala State Archives Library is the better choice
The Archives Library is a specialist reference library, not simply another name for the government-record repositories. Its listed materials include archival old and rare books, Assembly proceedings, census reports, research journals, gazettes, newspapers, and old law books. The library page reports 10,034 books, including 4,356 older Malayalam books.
Recommended Free Tools
This is where to look when your documentary project needs a contemporary newspaper report, a gazette notification, a census volume, a legislative proceeding, or a published legal and administrative reference. Such publications can provide context or a citation to an underlying government file, but finding a book does not establish that the related archival file is preserved.
The library page describes access for bona fide research scholars on working days, a six-month permission period, a stated ₹100 fee, and photocopying under rules. The department homepage carries a notice about revised access fees effective 2025-04-01. Verify the amount and accepted payment method with the library before paying; the ₹100 figure is the amount stated on that page, not a guarantee that it remains current.

What the State Central Library catalog can—and cannot—tell you
The State Central Library catalog is the practical first stop for general library material. Anyone can search it without logging in. Membership login is needed for account functions such as reservations and renewals. Advanced search filters include item type, language, collection, and shelving location.
Try both Malayalam and English spellings, then narrow by language or collection. Search a person’s name, newspaper title, subject term, or historical place name separately; catalog records often use a title or standardized heading rather than the wording in a family story.

If no result appears, that means the catalog has no matching record under your search—not that no government file, private collection, or unprocessed material exists. Conversely, a catalog hit identifies a publication or cataloged item, not necessarily a digitized copy or unrestricted reading-room access.
Can you search Kerala archives online?
e-Likhitham 2.0
e-Likhitham 2.0 describes the department’s digitization work, carried out through C-DIT since 2008. Its stated route is controlled: scholars register once, pay online, and—after authorization—view metadata and digital files in PDF, e-book, or JPG formats.
Use the portal to test whether a relevant digitized record is listed, but do not assume that a finding-aid entry has a scan. The service description concerns digitized records and authorized scholars; it does not establish that all holdings are online, that registration is open without restrictions, or that every file can be downloaded freely. If a search produces metadata without a viewer, ask the department whether the item requires an approval step or an in-person consultation.

National Archives of India and Abhilekh Patal
The National Archives of India is a separate, national-level repository. Its FAQ says open-category public records more than 30 years old are accessible to researchers, subject to registration and applicable rules. It also cautions that not all records are online and that Abhilekh Patal exposes only some records and references.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
The FAQ, updated 2026-10-07, reports 2.7 million reference media and 70,844 digitized records comprising 2,807,371 pages. Those are National Archives portal-inventory figures, not a count of Kerala records. Treat an Abhilekh Patal search result as a lead until you confirm whether the actual digital document is available and whether the item belongs to the national collection you need.
Archive, library, catalog, or digital file?
| Resource type | What it is designed to answer | What it does not guarantee |
|---|---|---|
| Kerala State Archives record-holding guide | Which archival series and repositories may contain government or private records | An item-level scan, transcription, or immediate public access |
| Kerala State Archives reading room | Consultation of eligible archival records under repository rules | Unrestricted admission, unrestricted copying, or preservation of every file in a series |
| Archives Library | Location of rare books, gazettes, newspapers, proceedings, census reports, journals, and law books | Proof that a related administrative file exists |
| State Central Library catalog | Bibliographic records for cataloged books and other library items | An archival finding aid or a digital version of the item |
| e-Likhitham 2.0 | Metadata and selected digital archival files for authorized scholars | Complete digitization or open downloads for everyone |
| Abhilekh Patal | Searchable references and some digitized National Archives material | All national records online or every search result downloadable |
A practical search workflow for family, property, and social history
- Define the question. Write the person, event, property, institution, or publication; an approximate date range; the village, taluk, or district; and the record type—land, court, revenue, administration, newspaper, manuscript, or census.
- Translate the geography. Determine whether the period falls under Travancore, Cochin, or Malabar. Record both the historical label and the current place name.
- Map the repository. Read the Kerala State Archives holdings descriptions, including Directorate-held Secretariat and Malabar Collectorate material.
- Search published sources. Use the State Central Library catalog for books and the Archives Library for rare books, gazettes, newspapers, proceedings, census reports, journals, and law books. Try alternate spellings and language filters.
- Check digitization. Search e-Likhitham 2.0 and note whether the result is metadata, a PDF, an e-book, or a JPG. Start the scholar-registration and payment process only after confirming current authorization requirements.
- Check the national route. For records created by or transferred to the central government, search Abhilekh Patal and distinguish a reference entry from an available file.
- Contact before travel. Confirm repository location, working hours, eligibility, application paperwork, current charges, permission period, reproduction rules, and whether the specific series is served at the location shown online.
- Keep a citation log. Record repository, series or catalog title, date, language or script, reference number, and the date you consulted it. This prevents a newspaper citation, catalog record, and archival file from being confused with one another.
Common problems and how to recover
“I searched the modern place name and found nothing.”
Search the former state or district, older spellings, the relevant taluk, and the office that handled the matter. A Malabar-era record may be filed under Malabar District; a Travancore record may be described by a historical office rather than the present municipality.
“The catalog has a book, but I need the original government decision.”
Use the publication for context, dates, and possible office names, then move to the Archives record-holding guide. A book, gazette, or newspaper is a published source; the underlying file is an archival record and may be held elsewhere or may require controlled consultation.
“The portal shows a reference but no document.”
Do not treat the reference as a downloadable scan. Check whether the portal requires authorized scholar access, whether the item has only metadata, and whether an in-person request is necessary.

“I am not a research scholar.”
The published Kerala rules and library statement are framed around bona fide research scholars. Contact the relevant repository with a precise request and ask what eligibility route, sponsoring institution, or alternative publication source is available. Do not assume that a general library membership substitutes for archival permission.
“The fee on an old page differs from the current charge.”
Use the department’s current notice and confirm directly. The library page states ₹100, while the department homepage notes revised access fees effective 2025-04-01; the newer instruction should be checked before payment.
Choosing the fastest route for common questions
Family history
Begin with names, village, religion or community only where relevant to the record, approximate dates, and historical jurisdiction. Search library newspapers and published genealogical or administrative references, then use the Archives guide for revenue, court, or state-office records. Palm-leaf material may require a script-aware search and reading-room consultation.
Property and land history
Collect every known survey, village, taluk, former district, deed date, party name, and revenue office. Map the historical jurisdiction first; then ask the appropriate Archives repository which series covers the office and period. A modern registration reference alone does not identify the older record series.
Political and administrative history
Use gazettes, Assembly proceedings, census reports, newspapers, and law books in the Archives Library to establish published context. For original state files, follow the Travancore, Cochin, Malabar, Secretariat, or Collectorate descriptions in the archival guide.
Old Malayalam newspapers
Search the State Central Library catalog and the Archives Library’s newspaper holdings using title variants in Malayalam and English. An online search result may identify a title without supplying scans; confirm physical access, conservation restrictions, and copying options with the library.
Before you submit a request
- Have a narrow question and date range instead of asking for “everything about” a person or village.
- List historical and modern place names, alternate spellings, and likely record-creating offices.
- State whether you need to read an original, obtain a reproduction, or only verify that a record exists.
- Ask whether the material is cataloged, digitized, fragile, restricted, or stored at another repository.
- Confirm eligibility, permission duration, current fees, opening hours, photography and photocopy rules, and identification requirements.
- For online systems, ask whether registration is currently available and whether payment unlocks metadata, images, or both.
The most reliable path is usually sequential: identify the historical jurisdiction in the Kerala State Archives guide, search the relevant library catalog for published context, test e-Likhitham for an authorized digital file, and use the National Archives route only when the record belongs to the national level. That sequence prevents a catalog hit from being mistaken for an archival file and prevents a portal reference from being mistaken for an unrestricted download.
