How to Volunteer with Refugee Support Organizations: Skills, Screening, and Training

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The practical route is straightforward: find an established refugee-serving organization in your area, choose a specific role that matches your skills and schedule, then complete that organization’s application, screening, orientation, and role training. Do not begin by guessing what a community needs or by offering services outside your competence. Local programs set their own duties, hours, checks, and training.

US examples from International Rescue Committee (IRC) listings show a typical sequence of searching openings, applying, attending orientation, interviewing with staff, and completing a background check. UNHCR guidance also points volunteers toward local resettlement agencies, city refugee programs, legal-aid groups, language programs, and schools serving refugee students. Requirements and openings change, so confirm the current details with the local office before committing.

How do I volunteer with refugees?

Start with a real local need and an organization that already has safeguarding, supervision, and referral systems. A reliable volunteer placement is not an informal promise to help; it is a defined role within a program that knows which services it provides and which concerns must go to paid staff.

  1. Locate established programs. Search for refugee resettlement agencies, municipal refugee programs, legal-aid organizations, language and English-learning programs, and schools that serve refugee students. UNHCR’s Toolkit: How to volunteer to support refugees recommends identifying local needs and listening to refugees rather than assuming what would be useful.
  2. Read the complete role description. Note the client group, duties, location or remote format, required and preferred skills, language needs, minimum age, time commitment, supervision, and any references or checks.
  3. Apply through the organization’s process. Complete the application honestly, state your availability, and describe relevant work, teaching, language, administrative, or community experience. If your schedule is limited, say so; a dependable small commitment is more useful than an ambitious commitment you cannot keep.
  4. Complete mutual-fit screening. Many programs review the application, hold an interview, and then request a background check. Some roles also ask for references. Use the interview to clarify boundaries, training, supervision, expenses, and what happens when a client raises a legal, medical, housing, or safety issue.
  5. Attend orientation and role-specific training. Do not work with clients until the host organization confirms that you have completed the required orientation, safety instruction, confidentiality guidance, and task training.
  6. Begin within the assigned scope. Keep records in the approved system, protect private information, attend supervision, and refer urgent or complex needs to staff instead of trying to solve them alone.

The exact order varies. IRC’s general US volunteer information describes searching openings, applying, orientation, an interview, and a background check; individual offices add their own requirements. Treat that sequence as a guide, not a guarantee that every organization uses the same steps.

Where to find legitimate refugee-support opportunities

Use the organization’s own current listing or contact page rather than relying on an old social-media post. UNHCR identifies several useful categories:

  • Local refugee resettlement agencies
  • City or county refugee programs
  • Legal-aid groups serving newcomers
  • Language, literacy, and English-learning programs
  • Schools and tutoring programs with refugee students

These categories are broad. One agency may need classroom tutors while another needs reception-desk coverage or help making scheduled client calls. Ask what the program is currently able to supervise and which tasks are genuinely unfilled. The UNHCR toolkit puts the principle plainly: “Try not to make assumptions and talk to refugees directly if you can, to better understand their needs.” Follow the organization’s guidance about when and how that conversation is appropriate; a volunteer should never pressure a client to disclose personal history.

What skills do I need to volunteer with refugee support organizations?

You do not need one universal credential. The useful skill set depends on the assignment, and many listings distinguish between required abilities and preferences. The following examples come from IRC local role descriptions and illustrate how to match yourself to the work.

Role example Typical duties Skills or experience emphasized Important boundary
Adult English or ESL tutor Provide structured English practice to adult learners, usually in an individual or small-group setting. Experience or demonstrated interest in teaching English to people with limited English; an ESL credential may be preferred but is not required in the Salt Lake City example. Tutor rather than caseworker; refer settlement, legal, or urgent needs to staff.
Front desk or welcome volunteer Greet visitors, direct them to the right staff member, answer phones, and help keep the lobby safe. Clear communication, teamwork, patience, and respect across cultural backgrounds. Protect privacy and dignity while following reception and safety procedures.
Client caller or office-support volunteer Make structured calls, listen for issues, record information, and pass concerns to caseworkers; some administrative or data-entry work may be included. Strong verbal communication, active listening, cultural sensitivity, confidentiality, comfort with structured conversations, and basic office skills. Do not promise services or make case-management decisions; escalate urgent needs.
Peer mentor or youth tutor Support young people or peers through tutoring, encouragement, and consistent contact. Relevant experience, reliability, and the ability to follow youth-safety rules; individual listings may set age or experience conditions. Youth-facing roles may require additional checks and supervision.

A second language can be an advantage when a particular program needs it, but it is not a universal requirement. Ask which languages are currently useful rather than assuming that any language will be needed. Equally, do not undersell transferable skills: careful listening, dependable scheduling, calm reception work, accurate data entry, and teaching practice can each fit a defined role.

How to choose a role that fits your time and abilities

Compare openings on the same six dimensions before applying. This prevents a role that sounds appealing from becoming an unmanageable commitment.

  1. Duties and client group: Decide whether you prefer teaching, mentoring, reception, calls, or administrative support, and whether you are prepared to work with adults, families, or young people.
  2. Required versus preferred skills: Separate conditions you must meet from qualities the listing merely prefers. Ask whether training can fill a gap.
  3. Screening: Check whether the role includes an interview, background check, references, identity or age requirements, or a contribution toward screening costs.
  4. Training: Identify the orientation format, safety or security instruction, role-specific training, and any refresher expectations.
  5. Schedule and commitment: Confirm weekly hours, minimum duration, travel, remote options, and what happens when you are unavailable.
  6. Supervision and escalation: Find out who reviews your work, where records go, and how to report an urgent concern or a safeguarding issue.

For example, the Salt Lake City adult ESL listing examined for this guide asks for two hours per week for at least three months after training. That is a commitment for that local role, not a standard for all tutoring placements. A front-desk shift may be shorter but require you to be physically present during office hours; a caller role may demand reliable access to a phone and an approved data system.

Do refugee volunteer organizations require background checks?

Often, especially when volunteers have direct client contact, but there is no single rule for every organization or country. IRC’s general US pathway places a background check after the interview. The Spokane office example says staff review applications, interview candidates for mutual fit, and then invite them to the check; positions are contingent on clearing it. Another IRC location describes a background check plus two references. These are local procedures, not a sector-wide formula.

Read the individual listing for the authoritative requirement. A role may also specify an age threshold, experience, identity documentation, or extra screening for work with young people. If a check is required, ask:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Which provider conducts it and what information you must supply
  • Whether the organization or volunteer pays any part of the cost
  • How long processing normally takes and whether you may begin only after clearance
  • How the organization stores and protects screening information
  • Whether a past record is reviewed individually or automatically disqualifying

The IRC Dallas client-caller listing checked in 2026 describes a $45 contribution toward the background check as encouraged. It is not a universal fee, and the amount or practice may change. Never assume that a contribution applies to every IRC office or every refugee-serving organization; verify it before accepting a placement.

What training do refugee support volunteers receive?

Training should make your assignment safe and specific. At minimum, expect instruction on your duties, organizational expectations, confidentiality, safety, supervision, and the point at which a concern must be referred to staff. UNHCR’s practitioner training overview highlights terminology, communication, and safe spaces as foundational topics. That resource supports practitioners and partner organizations; it is not a blanket prerequisite for every community volunteer.

Local example Training or onboarding described What it prepares you to do
IRC Missoula greeter/front desk One-hour virtual volunteer orientation, a 20–30-minute safety and security video, and a background check. Welcome visitors, direct them appropriately, answer phones, and help maintain a safe lobby while protecting privacy.
IRC Salt Lake City adult ESL tutor IRC ESL training and a background check before tutoring. Deliver the tutoring role rather than acting as a caseworker.
IRC Dallas client caller Onboarding and training plus a background check; the listing also encourages a $45 contribution toward that check. Use structured conversations, record issues accurately, and escalate urgent needs to caseworkers.

Training is not a substitute for supervision. If the session does not explain how to report a safety concern, where client information belongs, or who handles legal and emergency questions, ask the coordinator before your first assignment. Request clarification in writing when a boundary is unclear.

Confidentiality, safeguarding, and role boundaries

Refugee-support volunteers often hear sensitive information about immigration, family, health, finances, housing, or past harm. Treat every client with dignity and follow the organization’s data-protection and safeguarding rules.

  • Share information only through approved channels. Do not copy client details to a personal notebook, private messaging account, or unapproved cloud service.
  • Use the minimum necessary detail. When reporting an issue, record what staff need to act, not rumors or personal opinions.
  • Do not promise an outcome. A volunteer cannot guarantee housing, benefits, legal results, school placement, or immigration assistance.
  • Stay within the assignment. An ESL tutor teaches; a caller records and escalates; a greeter directs visitors. None of these roles makes the volunteer a caseworker, lawyer, therapist, or interpreter unless the organization explicitly assigns that function and trains the person for it.
  • Escalate urgent concerns promptly. Follow the organization’s emergency and safeguarding route instead of attempting an independent investigation or intervention.
  • Respect informed choice. Explain your role, accept a client’s decision not to participate, and avoid treating one person as representative of an entire nationality, religion, or refugee experience.

IRC’s Missoula greeter listing instructs volunteers to “safeguard client privacy, confidentiality, safety and dignity in all aspects of program services.” The phrase is a role instruction, not a substitute for reading the host organization’s current policy.

Preparing for the application and interview

A short preparation checklist can make the screening conversation more useful for both sides.

  1. Map your availability. Write down the days, travel time, access to a phone or computer, and the period you can reliably commit.
  2. Translate your experience. Give concrete examples of teaching, customer service, youth work, reception, data entry, multilingual communication, or handling confidential information.
  3. Identify limits. State languages you do and do not speak, populations you have not worked with, and tasks you cannot safely perform.
  4. Prepare questions. Ask who supervises you, how absences are reported, what training is mandatory, how records are stored, and how urgent needs are escalated.
  5. Be accurate about credentials. If an ESL qualification is preferred rather than required, say what training or experience you actually have; do not imply certification you do not hold.

An interview is also the organization’s opportunity to assess reliability, communication, cultural humility, and willingness to follow procedures. A placement is a poor fit if you are expected to improvise services the program cannot supervise.

What a first assignment may look like

Each program sets its own workflow, but the role descriptions show the difference between client-facing tasks and case-management work. A front-desk volunteer may welcome a visitor, determine which staff member should respond, answer a general phone question, and follow the lobby-safety process. A client caller may use a prepared conversation structure, listen for a problem, enter a concise record, and alert a caseworker when the issue is urgent. An ESL tutor may plan a lesson, practice language skills, and note attendance without attempting to resolve a client’s housing or legal matter.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ask for a shadowing opportunity or a sample script when the organization offers one. Confirm the approved way to cancel a shift, report a missed contact, correct a data-entry error, or pause an interaction that feels unsafe. These small operational details protect clients and reduce avoidable mistakes.

Common mistakes and how to avoid them

Assuming good intentions are enough

Good intentions do not replace training, confidentiality, or a defined remit. Apply to a supervised role and complete every required step before contacting clients.

Choosing a role by title alone

“Mentor,” “advocate,” or “support” can describe very different work. Read the duties, client group, schedule, and escalation instructions in the actual listing.

Overcommitting

Missed shifts can disrupt a class, a call schedule, or a client’s trust. Choose the hours you can sustain and tell the coordinator early if circumstances change.

Trying to solve a problem outside your scope

Do not give legal advice, promise a service, transport a client, or make a case decision unless the organization explicitly authorizes and trains you to do so. Record the concern and refer it through the designated channel.

Treating one story as universal

People who have arrived as refugees have different languages, histories, abilities, and goals. Listen to the individual and follow the program’s guidance rather than applying assumptions about a whole community.

Ignoring local changes

Do not fill an unknown cell with an assumption. Ask the organization, and keep the answer with the listing so you can review it before accepting.

Before you accept a placement

You are ready to commit when you can answer these questions without guessing:

  • What will I do during a normal shift?
  • What will I explicitly not do?
  • How many hours and for how long?
  • Where do I report a safety, confidentiality, or safeguarding concern?
  • Who is my supervisor and how do I reach them?
  • Which training and screening steps must be complete first?
  • Are there costs, such as a local contribution toward a check, and are they optional or required?
  • What is the approved method for storing notes and contacting clients?

If the answers are unclear, pause the application or ask for a follow-up conversation. A careful start protects the people the program serves and helps you remain a dependable volunteer.

How to make the placement sustainable

Once accepted, reliability and humility matter more than trying to be indispensable. Attend training, arrive prepared, keep appointments, and tell staff promptly when you cannot complete a task. Invite feedback about communication and cultural respect. If a client asks for something beyond your role, acknowledge the request without promising an answer, then use the established referral route.

Review the organization’s current instructions periodically. A program may change its intake process, data system, safety procedures, or available services. Continuing to follow the latest guidance is part of the volunteer role, just as completing the initial screening was.

Bottom line for prospective volunteers

Choose a supervised role at an established local organization, match the duties to your real skills and availability, and complete the organization’s screening and training before serving clients. Background checks, references, fees, orientation length, and time commitments vary by office and role; the current listing and local coordinator are the authority. Your most valuable contribution is consistent, bounded, confidential support with a clear handoff to trained staff whenever a need exceeds your assignment.
