How to troubleshoot common accessibility problems in educational apps

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Start by reproducing the exact learning task with the access method the learner uses, then record what was expected and what happened. Test the relevant screen reader, keyboard, switch, text-size, contrast, caption or magnification setting; automated scans alone cannot show whether a learner can complete the task. If a control has no accessible name, focus is trapped, captions are missing, or the layout breaks at larger text, the app provider usually must change the implementation. Settings may expose an existing feature, but they cannot repair missing labels or inaccurate source captions.

This workflow helps a student, teacher, family member or support staff member turn a vague complaint such as “the quiz does not work” into evidence that a school or developer can reproduce. It also gives the learner a prompt route to an accessible alternative when an assignment, assessment or attendance task is blocked.

What a useful diagnosis looks like

Accessibility failures fall into two broad groups. A device or account setting may be off, an existing caption track may be hidden, or a browser may need its focus restored. Those are potentially fixable at the user end. Other failures are built into the app: a button is announced as “button” with no purpose, a dialog cannot be reached from the keyboard, a required field is identified only by red color, or a video has no accurate captions. Such defects require a change by the app publisher or content owner.

Do not assume that one successful test proves an app is accessible. A screen reader, keyboard, touch exploration, switch and text enlargement expose different barriers. The World Wide Web Consortium (W3C) describes its Easy Checks as useful first reviews and cautions: “Remember these easy checks are not comprehensive or definitive.”

  • TV, simplified: With setup that only takes minutes, a simple-to-navigate Home Screen, and an uncluttered remote control that does all you need—Roku makes it easier to watch the TV you love.

1. Capture the context before changing anything

Write down the conditions under which the failure occurs. This prevents support staff from trying to reproduce a different problem and lets a developer identify the affected code path.

  • App: the exact name, edition (student, teacher or family) and version number.
  • Device: model, browser or app container, and whether the task is on web, iOS or Android.
  • Operating system: version and any managed-school restrictions.
  • Access method: VoiceOver, TalkBack, NVDA, JAWS, Voice Control, Switch Control, a hardware keyboard, switch device, magnification, text scaling, bold text, high contrast or another setting. Record relevant speech, verbosity or display options.
  • Learning task: the course, lesson, quiz question, attendance action, upload or login screen.
  • Trigger: the precise sequence, such as opening a menu, scanning a code, submitting a blank field or moving to the next question.
  • Expected and actual result: what should have been announced, focused, displayed or submitted, and what happened instead.

If it is safe and permitted, capture a screenshot or a short recording. Remove names, student numbers, grades, faces, messages and other private information before sending it. A text description is often enough; never delay an urgent accommodation while trying to create perfect evidence.

2. Reproduce the real task

  1. Sign in with a test account or a non-sensitive lesson where possible.
  2. Turn on only the assistive technology relevant to the report. Note whether the failure appears with the setting enabled and disappears when it is disabled.
  3. Repeat the same actions once with the app’s normal controls and once with the alternate access method. For example, compare touch activation with keyboard Tab and Enter, or visual navigation with screen-reader swipe navigation.
  4. Try a second supported device or platform only if that comparison is available. A difference between iOS and Android is useful evidence, not proof that either platform is universally accessible.
  5. Record whether the barrier affects one screen, one content item or the entire task. Include an exact question number, button label as displayed, URL path within the app or lesson title.

Stop testing if the task could submit an answer, delete work or reveal confidential information. Use a copy of the activity for experiments.

Screen-reader barriers

Navigate the affected screen with the platform screen reader rather than relying on a visual inspection. Check four things: whether each control has a meaningful name, whether its role and state are announced, whether nearby instructions provide enough context, and whether a page or task change is announced.

  • No more fumbling in the dark: See what you’re pressing with backlit buttons.
  • Say goodbye to batteries: Keep your remote powered for months on a single charge.

Missing names or confusing context

A control should tell the learner what it does, not merely identify its shape. Test headings, buttons, links, checkboxes, radio buttons, text fields, menus and status messages. A checkbox announced only as “checkbox” leaves the learner unable to know which option it changes. A text field announced without its purpose can make a login or answer form unusable.

A UK Department for Education education-record app statement, reviewed on 5 March 2026, documents examples rather than a market-wide finding. Its iOS version reported VoiceOver difficulty recognising heading types, unclear button and input context, unclear checkbox labels and unclear text-field input. The Android version reported corresponding TalkBack and labelling limitations. It also noted that the screen change after a successful QR scan was not identified clearly enough to screen readers. If your app behaves similarly, name the exact screen and control in the report; do not assume another app has the same defect.

Focus and announcements after an action

Activate a control and listen for a useful result: a success message, the next question, an error or the newly opened dialog. If the visual screen changes but the spoken focus remains on the old control, try moving through the page once to determine whether the new content exists but was not announced. Report both observations. The provider may need to expose a status message or move focus programmatically.

Images and functional graphics

Ask what information a learner misses when an image is not seen. Decorative images can usually be ignored; an image that acts as a link or button needs an equivalent name describing its destination or action. W3C preliminary guidance explains that text alternatives convey an image’s purpose to people who do not see it, and functional images need a functional equivalent. Include the lesson title and the image’s visible caption, if any, when reporting a missing alternative.

  • Shows on the go: Take your TV to-go when traveling—without needing to log into someone else’s device.

Keyboard, switch and focus problems

On a computer or a platform that supports a hardware keyboard, set the pointer aside. Use Tab and Shift+Tab to move, Enter or Space to activate, and arrow keys where a documented widget requires them. On a mobile device, also test the platform’s switch or accessibility navigation method; a keyboard check does not reproduce every touch or switch interaction.

  • Can every link, answer choice, menu, media control and submit button be reached?
  • Is the current focus visibly apparent and does it follow a sensible order?
  • Can you open and close menus, dialogs and pop-ups without a mouse?
  • Can you leave a date picker, media player or embedded activity, or is focus trapped inside it?
  • Does any essential action appear only on mouse hover?
  • After an error, does focus land near the message or return to a useful field?

W3C identifies focus trapped in media controls as a keyboard trap and expects content and functionality to be operable by keyboard with visible, logical focus. WCAG 2.2 includes keyboard and focus requirements, but the exact test depends on whether the product is a web page, a native iOS app, an Android app or an embedded learning tool.

Text size, zoom, layout and contrast

Try the supported accessibility settings on the device: larger text, bold text, display zoom or magnification, increased contrast and text-spacing options where available. Then perform the actual lesson task, not just a visual check of the home screen.

  • Does text remain visible instead of clipping, overlapping or disappearing?
  • Do buttons grow or reflow so their labels and hit areas remain usable?
  • Can a learner reach content that moves below the fold or into a horizontally scrolling region?
  • Are instructions, required states and correct or incorrect answers conveyed by more than color?
  • Do focus indicators and error messages remain visible against the background?

The UK Department for Education testing manual lists checks for contrast, text resizing, text spacing and target size. Its education-record app statement reports that the iOS app did not allow large or bold text and that the Android app did not allow bold text or scaling a text element. It also identifies Android links below recommended WCAG 2.2 AA contrast. These are documented examples to look for, not evidence that a setting will repair a different app.

When a setting appears not to work

Confirm that the app supports the operating system’s dynamic text or magnification feature. Some products draw text in a custom surface and ignore system scaling; others apply scaling only after a restart or on selected screens. Record which screens respond and which do not. Do not reduce text size or contrast to make a broken layout fit if doing so makes the lesson harder to read.

Video and audio barriers

Open the media with the same access method used for the lesson. Check that player controls are reachable, labelled and operable, then inspect the actual caption content.

  • Is a caption track available in the language used for instruction?
  • Are captions synchronized with speech?
  • Do they identify speakers and meaningful sounds such as a warning tone or a change announced only by audio?
  • Can captions be turned on without a mouse or touch-only gesture?
  • Is there a transcript, and does it include information that appears only visually?
  • For essential visual demonstrations, is an audio-described version or descriptive transcript available?

Automatic captions are not automatically accurate enough. W3C’s Easy Checks advises checking the words themselves rather than treating the presence of a caption button as evidence of access. A learner can enable an existing track, but cannot correct missing or inaccurate source captions through a device setting. Ask the instructor or content provider for an accurate captioned version or an equivalent resource when media blocks the lesson.

Quizzes, logins and forms

Forms combine many failure points, so test one complete submission. Check that every field has a visible and programmatic label, instructions appear before they are needed, and required status is conveyed in text or a programmatic state rather than color alone.

Google TV Streamer 4K - Fast Streaming Entertainment on Your Device with Voice Search Remote - Watch Movies, Shows, Live, and Netflix in HDR - Smart Home Control - 32 GB of Storage - Hazel
  • The Google TV Streamer (4K) delivers your favorite entertainment quickly, easily, and personalized to you[1,2]
  • HDMI 2.1 cable required (sold separately)
  • See movies and TV shows from all your services right from your home screen[2]; and find new things to watch with tailored recommendations for everyone in your home based on their interests and viewing habits
  • Watch live TV and access over 800 free channels from Pluto TV, Tubi, and more[3]; if you find an interesting show or movie on your TV, mobile app, or Google search, you can easily add it to your watchlist, so it’s ready when you are[2]
  • Up to 4K HDR with Dolby Vision delivers captivating, true-to-life detail[4]; and you can connect speakers that support Dolby Atmos for more immersive 3D sound
  1. Move through the fields with the screen reader or keyboard and note each label, role and required state.
  2. Submit a blank required field in a safe practice attempt. Check where the error is announced and whether it states what to correct.
  3. Enter an intentionally malformed value, such as an invalid date, only where doing so cannot alter a real record.
  4. Verify that an error message is findable, specific and associated with the field. Check whether entered information is preserved when it is not sensitive.
  5. Repeat the task using the learner’s normal method, including a switch or mobile navigation, because a form that works with Tab may still fail with touch exploration.

For a timed assessment, attendance record or graded submission, tell the instructor or school support contact as soon as the barrier appears. Request an accessible route or equivalent way to demonstrate the same learning outcome; do not wait for a vendor ticket to expire a deadline.

Choosing checks and tools

Use tools to locate likely issues, then confirm them in the real learning task. Availability and platform support differ, so check each tool’s own documentation and the app’s testing environment.

Check or tool type Useful for What it cannot establish by itself Best evidence to pair with it
Automated or guided review, such as Accessibility Insights Finding common structure, name, contrast and keyboard issues in supported environments Whether a learner can complete a particular lesson or whether every platform is covered A recorded task using the affected assistive technology
Code-level or browser checks, such as ARC Toolkit or axe DevTools Flagging detectable WCAG-related markup and contrast conditions Meaningful labels, understandable instructions, accurate captions and task completion Screen-reader, keyboard and content review
Contrast, heading-structure, text-spacing and target-size checks Specific visual and structural conditions Whether reflow, focus order or interaction remains usable throughout an app Large-text, zoom and keyboard walkthroughs
Screen readers such as NVDA, JAWS, VoiceOver and TalkBack Names, roles, states, focus, announcements and reading order Usability for every speech setting, device or learner The learner’s actual platform and a reproducible sequence
Switch, Voice Control or keyboard testing Reachability, activation, focus order and traps Screen-reader labels or caption accuracy unless those are also checked A complete task from sign-in through submission

Apple’s developer guidance recommends testing from the user’s perspective with accessibility settings and technologies such as VoiceOver, Voice Control and Switch Control, beginning with the main tasks people perform on each screen. That is implementation guidance for Apple-platform teams, not a complete test plan for every product.

Report the problem so someone can reproduce it

Use the app’s accessibility feedback route, the school help desk or the vendor’s support channel. State the impact first, then provide the shortest reliable reproduction path.

App and version: [name and version]

Expected: [what should be announced, focused, displayed or submitted]
Actual: [what happened, including exact speech or visible result]
Frequency: [always, intermittent or one screen only]
Impact: [what the learner cannot complete]
Evidence: [sanitized screenshot or recording, if safe]

Ask two separate questions in the same report: when will the defect be investigated, and what accessible route is available now? For example, request a tagged document, an accessible web version, a human-recorded answer, additional time or another equivalent activity when appropriate to the course and school process. The suitable remedy depends on the learner, task and jurisdiction; no single alternative fits every assessment.

What educators, families and app teams should do next

For educators and families

  • Notify the person responsible for the class or assessment before the deadline.
  • Pass along the reproducible steps, not only a screenshot of the visual problem.
  • Keep the learner working through an equivalent route while the ticket is open.
  • Record whether the workaround preserves the same learning objective and privacy protections.

For app and content teams

  • Start with the main user tasks on each screen, including sign-in, navigation, answering, saving and submitting.
  • Test with the platform accessibility services and settings, not only an automated scanner.
  • Give controls meaningful names and states; expose page changes and status messages to assistive technology.
  • Preserve logical, visible focus and ensure every task can be completed without a mouse.
  • Provide accurate, synchronized captions, transcripts and descriptions for essential media.
  • Retest the exact version and platform named in the report, then communicate the fixed version or a temporary accessible route.

Standards and legal scope

WCAG 2.2 is a W3C Recommendation and is the current reference for its success criteria. WCAG 3.0 is still a working draft; W3C states that it does not replace WCAG 2, which remains in use. A draft should not be presented as a final conformance standard.

Accessibility duties differ by country, sector, procurement contract and the facts of a particular service. The UK Department for Education app statement discusses UK public-sector accessibility regulations and WCAG 2.2 AA for that app; it cannot establish what every school, vendor or country must provide. A troubleshooting checklist can document a barrier, but it cannot issue a universal legal-compliance verdict. For a dispute about an accommodation, assessment or public service, use the school’s established process or obtain advice appropriate to the learner’s jurisdiction.

Quick decision checklist

  • Only one device or account fails: compare the app version, browser, permissions and settings, then report the difference.
  • The screen reader cannot identify a control: capture the screen, control location and exact steps; request an accessible alternative while the name or context is fixed.
  • Keyboard focus cannot leave a widget: document the key sequence and the trapped component; treat it as a provider defect rather than a need to buy another keyboard.
  • Large text clips or overlaps: record the setting level and affected screen; ask for a reflowed or equivalent view.
  • Captions are absent or wrong: request an accurate captioned version or transcript; a device setting cannot create reliable source captions.
  • A quiz or form cannot be submitted: notify the instructor immediately, preserve evidence and request an equivalent completion route.
  • An automated scan is clean: still perform the real task with the learner’s assistive technology; a clean scan is not proof of accessibility.
