For speech happening now, use live dictation or a streaming transcription service instead. The right choice depends on whether your audio is a finished file or a live microphone or media stream.
Choose the right transcription workflow
- Saved audio: Use a tool with file upload, such as Word Transcribe or a transcription API. Check its supported formats, file-size or duration limits, languages, and output features before uploading.
- Speech happening now: Use microphone-based dictation to enter speech directly into a document, or a streaming transcription API for an application or incoming media stream.
These workflows are not interchangeable. Google Docs voice typing is a live, microphone-based feature, not a documented way to upload a finished recording. AWS likewise distinguishes batch transcription of files from transcription of media streams.
Transcribe a recording without code in Microsoft Word
- Sign in to a supported Microsoft 365 account and open a Word document.
- Go to Home > Dictate > Transcribe to open the Transcribe pane.
- Select Upload audio and choose a supported WAV, MP4, M4A, or MP3 file.
- Review the generated transcript in the pane. Word separates transcript sections by speaker and supports playback by timestamp and editing.
- Insert the whole transcript or selected sections into the document, then check the text against the recording.
Microsoft says recordings are stored in the Transcribed Files folder in OneDrive. Availability and monthly transcription limits vary by license, platform, and tenant. Its support page lists a limit of 300 minutes of uploaded audio per month for Microsoft 365 subscribers and 30,000 minutes per month for Copilot license holders; check the current page and your account’s eligibility before relying on those limits. Use live dictation for speech happening now
Type directly into Google Docs
- Open a document in Google Docs using a supported browser.
- Choose Tools > Voice typing, then select the microphone and language.
- Allow microphone access and speak clearly. The recognized words appear in the document.
- Correct the text after dictation, especially names, numbers, and punctuation.
Google says the browser controls the speech-to-text service and how speech is processed before text is sent to Docs or Slides. Voice typing is for dictation through a microphone; it is not the file-upload workflow for an existing recording. Consult Google’s voice-typing instructions for browser and language details.

Transcribe a live media stream in an application
Use a provider’s streaming transcription path when your application receives live audio. Confirm the provider’s requirements for language, codec, sample rate, and supported features before sending audio. Batch and streaming formats can differ; AWS documents separate workflows in How Amazon Transcribe works.
Transcribe recordings with an API
OpenAI file transcription
OpenAI’s transcription guide describes a file-upload path: send a supported audio file to the transcription endpoint and choose a model and response format suited to the job. Its current guide lists MP3, MP4, MPEG, MPGA, M4A, WAV, and WebM, with a 25 MB file limit. It recommends gpt-transcribe for recorded speech in its original language. For technical vocabulary, the guide describes providing context such as relevant terms or expected language codes. Treat these as hints, not guarantees, and review their effect on the output. The guide points to specialized models when a task requires speaker labels, word timestamps, subtitle formats, or English translation.
Amazon Transcribe batch files
AWS batch transcription works with audio files stored in Amazon S3. Its documented formats include AMR, FLAC, M4A, MP3, MP4, Ogg, WebM, and WAV. AWS recommends high-quality, low-noise audio and, for batch work where feasible, FLAC or WAV with PCM 16-bit encoding. Its output can include word-level timestamps and confidence information. Prepare the audio and review the transcript
Before transcription
- For direct recording, select the intended microphone; an unsuitable selection can yield poor results.
- Reduce background noise and room reverberation where practical. Clear source audio gives the recognizer a better chance to distinguish words.
- Check that the service accepts your file type and that the recording fits its limits. Do not convert audio without a reason; for AWS batch transcription, its documentation recommends FLAC or WAV with PCM 16-bit encoding.
- Select or specify the expected language where the service supports it. Add names or domain terms only through supported context or keyword fields.
After transcription
- Play the recording while following the transcript, using timestamps if available.
- Check proper names, dates, numbers, technical terms, speaker labels, and passages where people interrupt or speak over one another.
- Correct punctuation and formatting for the intended use, such as meeting notes, captions, or a documentary transcript.
- Have a person verify consequential passages before using them to make or communicate an important decision.
Automatic speech recognition can substitute or omit words, add text that was not spoken, or attribute words to the wrong speaker. AWS describes transcription as probabilistic and recommends evaluating it on your own audio; accuracy depends on the recording, language, speakers, and task.
Compare tools against your actual requirements

| Privacy and retention | Check where recordings and transcripts are stored, retention and access controls, and any workplace or legal requirements before uploading sensitive audio. |
| Account limits | Eligibility, quotas, and service restrictions can depend on the account, license, tenant, or provider and may change. |
Check how each provider handles audio
Storage and processing practices differ by service. Word says its recordings are stored in OneDrive’s Transcribed Files folder. Google says the browser controls voice-typing speech processing. AWS says it may temporarily store content to improve analysis models; its documentation also describes transcript bucket choices. These statements apply to the named services, not to transcription tools generally. Before uploading sensitive material, check the provider’s current privacy terms and your organization’s rules.
