Those are different applications with different eligibility rules, materials and outcomes. Read the event’s current official call, confirm that you and your film or project fit it, prepare exactly what it requests, test any screener and subtitles, verify your rights, submit through the named channel before the deadline and keep proof that the application was received.
1. Identify the kind of submission
Do not begin by assembling a generic press kit. Begin with the call’s purpose. The word “seminar” is not a standard submission category.
Participant or filmmaking seminar
A participant seminar may ask you to attend discussions, screenings and workshops rather than submit a film for programming. Doclisboa’s 2026 Filmmaking Seminar, for example, described an in-person, four-day programme conducted in English and built around screenings and structured discussions. Its application was for participants.
Completed-film submission
A screening or festival-style call evaluates a finished documentary for inclusion in a programme. It normally focuses on completion date, duration, premiere status, screener access, subtitles or captions and screening rights. Do not assume that a seminar uses these rules unless its own call says so.

Project, lab or pitch submission
A development lab wants a documentary project at a specified stage, not necessarily a finished film. DocuPitch Lab’s 2026 call sought documentary and hybrid project proposals for development and pitching. It required applicants to hold the relevant project rights, be at least 18, have sufficient English and attend selected activities in person.
The application type determines what you should prepare. A participant application may emphasize your biography and reasons for attending; a film entry needs a reliable screener; a project lab usually needs a treatment, status, financing information and a clear explanation of what you want to develop.
2. Treat the current official call as the rulebook
Calls change by edition. Save the organizer’s official page or downloadable rules, record the edition and deadline, and use the application link named there. A past edition can illustrate how a programme works, but it cannot establish the requirements for the next one.
- Application type: participant, completed film, film-in-progress, project or pitch.
- Applicant eligibility: professional role, experience, age, nationality or residence, language ability and whether a producer, director or rights holder must apply.
- Work eligibility: subject, duration, completion date, production stage, format, premiere status, previous-pitch restrictions or exclusivity.
- Materials: form, synopsis, treatment, project description, biography, filmography, director’s statement, stills, budget, financing plan and work sample, but only where requested.
- Technical delivery: upload method, accepted file type, screener link, password, subtitle or caption format and how long access must remain active.
- Rights and permissions: authority to submit, screening or evaluation permission, publicity use and treatment of confidential information.
- Practical terms: deadline and time zone, entry fee, notification date, attendance, travel or accommodation and deliverables for selected applicants.
These are questions to ask while reading a call, not universal requirements. For example, Kyoto University’s Visual Documentary Project describes an application form and CV, then asks selected documentaries to be delivered without subtitles together with subtitle data in SRT format. Another organiser may require an embedded subtitled screener instead.
3. Check your fit before writing
Make a short eligibility worksheet before drafting answers. Quote the call’s wording in your private notes and mark each condition as met, needing clarification or not met.
Applicant and language checks
Confirm who may apply: an individual filmmaker, a team, a producer or a rights holder. Check age, nationality, residence and professional-experience rules. If activities are conducted in English, assess whether you can participate in discussions as well as submit written materials. A project lab may require in-person attendance even when the application is online.

Film and project checks
For a completed film, verify running time, completion date, premiere limitations and whether the work has already been pitched or publicly released. For a project, identify the development stage and confirm that the call accepts your subject, format and level of financing. If the call requests a project with rights secured, do not apply until you can demonstrate that authority.
Attendance and availability
Mark every mandatory date. “Selected” may mean that you must attend a particular workshop, pitch or discussion, not simply supply a file. Check whether travel, accommodation and visas are your responsibility and whether the organiser states any support.
4. Assemble only the materials the form asks for
Follow the requested word limits, file types and naming conventions. Sending a broad press kit instead of concise form answers makes it harder for a selection team to evaluate the application.
Synopsis
Write a factual account of the documentary’s central subject, characters, setting and dramatic question. Respect the specified length. Do not turn a short synopsis field into a manifesto or a complete treatment.
Project description or treatment
For a project application, explain the proposed story, access, method, stage of production and what remains to be made. State what you are seeking from the lab—development feedback, pitching preparation or another activity—only if the call asks about goals.
Biography and filmography
Use the requested format and length. Include roles that establish why you are suited to this work, then list relevant completed films or projects accurately. Do not imply awards, releases or credits that the form does not ask you to document.

Director’s statement
Explain your perspective, relationship to the subject and filmmaking choices. Distinguish your personal motivation from the synopsis: the synopsis tells the reader what the film is about; the statement explains why and how you are making it.
Stills, budget and financing information
Supply stills, budget, financing plan or other attachments only when listed. Use consistent titles and file names, and make sure the figures and production status match the project description. If a field is optional, decide whether it materially helps the selection decision rather than attaching every available document.
5. Prepare a screener that can be reviewed without friction
When a screener is requested, treat access as part of the application. A selector should not have to troubleshoot your link.
- Export the format specified by the call, or use the permitted streaming platform if a link is requested.
- Set the exact password or permissions required. Avoid an account-only link when the rules call for open access with a password.
- Open the link in a private browser window on a different device and play the film from start to finish.
- Check that the title, running time and version correspond to the information in your form.
- Watch the subtitles or captions for legibility, synchronization and spelling. Follow the call’s instruction about embedded subtitles, selectable subtitles or a separate subtitle file.
- Keep the link active for the period stated in the rules, and do not circulate a private screener beyond people who need to review it.
If the organizer requests a film without subtitles plus an SRT file, deliver both exactly as specified. If it requests a subtitled screener, an uncaptioned link is not an acceptable substitute. Keep a backup export and the final subtitle file so that you can correct a technical problem quickly.

6. Understand subtitles, captions and language requirements
“English subtitles,” “closed captions” and “subtitle data” are not interchangeable instructions. Subtitles translate dialogue; captions may also identify speakers, meaningful sounds and other audio information. The call may require one, both or a particular delivery method.
When the call specifies a separate file
Use the stated format, such as SRT, and check that timecodes align with the supplied film version. Do not revise the picture after creating the subtitle file without retiming it.

- Compact without compromises: Our sleek design won’t block neighboring HDMI ports, so you can switch from streaming to gaming with ease. Plus, it’s designed to stay hidden behind your TV, keeping wires neatly out of sight
When the call specifies embedded text
Burn the subtitles into the screener and verify that they remain inside the safe viewing area on a laptop and a larger display. Do not assume that a selector can turn on a separate track.
When the call specifies captions
Supply captions in the required format and language. The 2026 rules for the IDA Documentary Awards, a competition rather than a general seminar, state that non-English entries must have English subtitles and closed captions, while English entries must have closed captions. That example shows why you must not transfer one organisation’s access rule to another event.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems7. Confirm rights and privacy before you upload
The submitting person should have authority to submit the film or project and to grant every permission the call requests. Review contributor releases, archival or music licences and any co-production agreement that limits screening, evaluation or publicity.
- Check whether the organiser may screen the film for selection, show it publicly if selected, or use stills and excerpts for promotion.
- Identify any confidentiality, embargo or non-disclosure language that applies to a work-in-progress.
- Use a private, password-protected screener when the call allows it, and share the password only through the requested channel.
- Ask the organiser for clarification before submitting if a rights clause is ambiguous. Keep the question and reply with your application records.
Do not send a project to a lab if you cannot establish that you control the relevant rights. DocuPitch Lab’s 2026 eligibility language expressly required applicants to hold the project rights; that condition belongs to that call, but it illustrates the issue every project applicant should check.
8. Submit through the named channel and keep evidence
- Save the edition and deadline. Record the date, exact time zone, application URL and any separate payment deadline.
- Create an account early. If the portal requires registration, complete it before the final day and verify the email address.
- Complete required fields. Copy text into a separate document first so a session timeout does not erase it.
- Upload and test. Confirm that every attachment opens, the screener plays and the password works.
- Pay only through the official method. Retain the receipt when an entry fee applies.
- Submit the final form. An unfinished upload, saved draft or email to an unlisted address is not proof of submission.
- Save confirmation. Keep the confirmation page, email, receipt, submitted PDF or screenshots and the exact screener version.
Submit early enough to solve a failed upload, an expired link or a payment problem. If the portal reports an error, capture the message, contact the address in the official call and include your applicant name and draft reference without sending duplicate applications unless instructed.

Make a simple record of the notification date, selection conditions and any materials due after acceptance. Keep the screener accessible for the period required by the rules. Respond promptly if the organiser requests a replacement file, rights confirmation, caption correction or travel information.

Selection may require more than accepting an invitation. A participant seminar can require attendance at every scheduled session; a project lab may require a revised pitch, presentation materials or a confirmed representative. Read the acceptance message together with the original call so that you do not miss a condition that was stated earlier.
10. Compare opportunities by purpose, not by the word “seminar”
| Opportunity type | What is evaluated | Typical outcome | Questions to compare |
|---|---|---|---|
| Participant seminar | Your eligibility, experience and fit for the programme | Attendance, screenings and discussions | Who may attend? Is English required? Is attendance in person? Are there fees or travel obligations? |
| Completed-film entry | The finished documentary and its delivery version | Programming or screening consideration | What completion date, premiere, duration, subtitle, caption and screener rules apply? |
| Project or pitch lab | A documentary project, its rights, stage and development potential | Workshops, feedback and pitching activities | What stage is eligible? Who must hold rights? What must be pitched in person? What documents and budget details are required? |
When several programmes fit, compare purpose and likely value alongside workload: eligibility, project stage, language and access requirements, application fee, deadline, required attendance, rights terms and what you want to achieve. A learning-focused seminar, a development lab and a festival entry are not interchangeable routes for the same film.
11. What the 2026 examples show—and what they do not
Doclisboa Filmmaking Seminar
The 2026 call described an in-person, four-day seminar conducted in English. It listed a September 10, 2026 application deadline and a €30 fee for selected participants. As of October 17, 2026, those dates belong to a past edition. Use the organiser’s next call for a future application; do not treat the fee, dates or wording as permanent.
DocuPitch Lab
The 2026 call sought documentary and hybrid project proposals for development and pitching. It specified rights ownership, a minimum age of 18, sufficient English and in-person participation in selected activities, with a September 25, 2026 deadline. Those conditions illustrate a project-lab application rather than a universal seminar standard.

Visual Documentary Project at Kyoto University
Its application model includes an application form and CV. For selected documentaries, the delivery instruction calls for a film without subtitles together with subtitle data in SRT format. Confirm the relevant edition before preparing your files, because a different event may require embedded subtitles or captions.
IDA Documentary Awards
The 2026 awards rules provide an example of detailed film-entry mechanics: English subtitles and closed captions for non-English entries, closed captions for English entries and a screener submitted through the specified platform. Those are competition rules, not requirements you can impose on an international seminar.
12. A final pre-submission checklist
- I identified whether the call is for a participant, a finished film or a project.
- I saved the current edition, deadline, time zone and official application channel.
- I checked applicant, film or project eligibility, language, attendance and premiere conditions.
- I prepared only the requested synopsis, treatment, biography, filmography, statement, stills, budget or other files.
- I tested the screener, password, playback, subtitle or caption format and link duration.
- I confirmed submission, screening, evaluation and publicity rights.
- I paid any stated fee through the official method and saved the receipt.
- I retained confirmation of receipt and noted notification and post-selection dates.
The safest strategy is specific rather than generic: classify the opportunity, follow that edition’s official instructions, deliver a technically reviewable work and preserve evidence of completion. If the title of the event, edition or application type is unclear, contact the organiser before investing in a submission that may be ineligible.
