Build a documented chain in Hong Kong records, then search jiapu (家谱, also called zupu 族谱) through Ningbo library, district and county repositories, family-held papers, and qualified archive requests. Every promising match must be tested against dates, generation names, villages and relationships before you treat it as your family’s line.
1. Turn a family story into research clues
Oral history is your starting evidence, not your final proof. Before searching a catalogue, capture the exact words, spellings and places that relatives use.
Interview relatives separately
Speak with the oldest available relatives one at a time where practical. Separate interviews reduce the chance that one person’s version silently replaces another’s. Ask for:
- Chinese characters for every ancestor’s name, including characters remembered from certificates, grave markers or an ancestral tablet.
- Cantonese or Hong Kong romanizations, Mandarin pinyin and every alternate English spelling.
- Approximate birth, marriage, death and migration dates, with an indication of whether each date is remembered, calculated or copied from a document.
- Generation names, courtesy names, nicknames, occupations and the names of siblings or spouses.
- The most precise hometown clue: county, district, town, township, village, neighborhood, ancestral hall or a nearby landmark.
- The name of a jiapu, zupu, ancestral hall, temple, cemetery or village association.
- When and why the family moved to Hong Kong, including ports, employers, schools, societies or relatives who travelled together.
Record who supplied each detail and the date of the interview. A disagreement is useful information: preserve both versions and identify what document could resolve it.

Photograph and preserve family material
Photograph certificates, letters, photographs, grave inscriptions, household registers, school records and genealogy-book pages before lending or moving them. Include a scale and a neutral reference sheet in photographs of inscriptions. Keep the original image file, a working copy and a note identifying the owner, date, language, condition and location of the original. Scan both sides of papers and do not crop seals, annotations or blank pages that may contain dates.
A paper notebook, spreadsheet or digital folder can serve as a research log. Use one row or entry per fact, with the Chinese text, a literal translation if known, the source image name, the informant or repository, and the next action. The Chinese genealogy guidance associated with this method emphasizes finding ancestors’ names and the hometown in Chinese, organizing the information and retaining paper and digital copies.
2. Identify the smallest possible Ningbo locality
“Ningbo” can mean the urban city, a modern administrative area or a wider regional origin remembered by a Hong Kong family. It is not precise enough to identify a lineage by itself.
Ask locality questions that narrow the search
- Was the place called a county, district, town, township or village?
- Did relatives mention an ancestral hall (祠堂), a market town, a river, a mountain or a neighboring village?
- Was the family associated with Cixi, Zhenhai, Beilun, Fenghua, Yuyao or another place now administered within the Ningbo region?
- Does a document use an older county or township name rather than the current administrative name?
Write the locality in Chinese exactly as it appears in family material. Keep the modern form and every historical form in your log; do not replace an uncertain Chinese place name with a convenient English translation. A village may have similarly named neighbors, and romanization can conceal different characters.
Search historical and contemporary names together
Lineage-book prefaces, tomb inscriptions and migration notes often use the administrative system of their own period. Search the Chinese characters for the current place, older place-name variants, nearby villages and the ancestral hall. A same-surname genealogy from another village is not evidence of your branch unless the documentary chain connects it to your ancestor.
3. Establish the Hong Kong side of the family chain
Hong Kong records can anchor the people who later appear in a Ningbo document. Work backward from a known Hong Kong-born relative, recording the exact name and relationship at each generation.
Use Hong Kong birth-registration searches carefully
The Immigration Department describes a particular search for an identified person, generally covering no more than five years. If the exact registration or certificate number is missing, a search may be required before a certified copy can be issued. The department also describes a general search for cases where exact identifying information is unavailable.

Eligibility, identity documents, relationship evidence and consent requirements vary by applicant. Before applying, check the current application form and supporting-document list. A person other than the subject or an eligible relative may need to explain the relationship, purpose and intended use and provide evidence. Fees and service standards can change, so confirm them at the time of application rather than relying on an old family note.

When a certificate arrives, transcribe the Chinese and English names exactly, note registration details and compare the stated parents with oral history. A birth record establishes the relationship recorded in Hong Kong; it does not, by itself, prove that a person came from a particular Ningbo village.
Search the Government Records Service catalogue
The Government Records Service (GRS) catalogue covers government and private records, as well as reproduced material from overseas archives, with holdings dating to the mid-19th century. Its current holdings description reports more than 1.9 million records. Search names in Chinese and English, businesses, associations, addresses, schools, occupations, places and the relevant date range.
GRS states that general public access normally applies to records at least 30 years old, subject to exceptions. A catalogue entry is a lead, not a promise that the underlying file is open or digitized. Only selected records have online images. Copy the catalogue title, reference number, creating agency, date range and access note into your log, then ask the repository about any restriction or appointment requirement.
Online images supplied for private study or research may require permission for other publication or use. Keep that permission with the image and do not post scans of living people’s records merely because you found them online.
Use historical directories and chronicles as context
The Hong Kong Chronicles Institute is described by the Hong Kong Archives Society as having more than 1,300 provincial, municipal, county and town chronicles. A directory entry states that its listed address is for internal access, so do not assume public walk-in consultation. Such chronicles can help explain a place, institution or migration period; they are contextual sources unless they name your family and link it to the relevant branch.
4. Find a Ningbo jiapu or zupu
What these books contain
A jiapu (家谱), also called a zupu (族谱), is a clan-centered lineage book. Depending on the compilation, it may include a first ancestor, generation poems, branch diagrams, biographies, migration accounts, ancestral-hall rules, burial places and lists of descendants. Some volumes are manuscript copies, reprints or incomplete branches. A surname match alone is weak because unrelated families can share a surname and one lineage can have many branches.

Search with a bundle of clues
Use combinations of:
- Chinese surname and variant characters.
- Ancestral village, county, district and historical place names.
- Ancestral hall or settlement name.
- First ancestor or a known founding migrant.
- Generation name or the characters expected in a generation poem.
- Approximate compilation date, migration date and names of spouses or brothers.
Search each clue in Chinese, then test romanized forms. A result is a candidate until its branch, place and generations align with your Hong Kong evidence.
Start with the Ningbo Library genealogy database
Ningbo Library’s network-library page describes a database containing more than 300 genealogies from Ningbo and surrounding areas and covering more than 100 surnames. The page says full-text access is available at Ningbo Library’s Fuz Qing and Yongfeng branches and other listed local public-library access points, while off-site browsing is bibliographic rather than full-text.

Record the catalogue’s Chinese title, surname, place, compilation date, edition, holding library and call number. Ask whether a particular volume is complete, readable and available for reproduction. A bibliographic hit can still be valuable when the pages themselves must be consulted locally.
Check repositories below the municipal level
Relevant books are dispersed. A Zhejiang-hosted exhibit identifies examples held in Ningbo-area repositories:
| Repository area | Lineage material identified by the exhibit | How to use the lead |
|---|---|---|
| Jiangbei | A Cixi Feng genealogy | Use the surname and the Cixi locality to ask for the exact catalogue record. |
| Zhenhai | Xue clan genealogies | Check whether the family’s village or hall matches the Zhenhai branch. |
| Beilun | A Hu clan genealogy | Search the Chinese village and generation clues alongside the surname. |
| Fenghua | A Xu genealogy | Verify the historical place name and branch before treating it as relevant. |
| Yuyao | An Huang genealogy | Use the repository lead to locate the volume, not as proof of descent. |
The exhibit is a discovery aid, not a complete catalogue. Contact the district or county archive, library or cultural institution holding the material and ask for current availability, reading rules and reproduction permissions.
Use remote jiapu discovery tools, then verify locally
FamilySearch’s Jiapu Search page describes more than 65,000 jiapu records in its collection. Search by surname, village, hall, ancestor and generation name rather than surname alone. Download or transcribe the catalogue information permitted by the service, then compare the candidate’s locality, generation sequence and branch notes with your family evidence. A remote match does not establish descent without that comparison.
5. Request records from Ningbo Archives
Know which access route fits your request
Ningbo Archives’ “For the Open Archives and Documents” guidance, published in 2020, states: “Compatriots from Taiwan, Hong Kong, Macau and other overseas areas can have access to the historical certificates of themselves and their relatives with any valid certificate such as ID card and going- back-homeland card.” The wording refers to the archive’s English-language guidance. Bring valid identification and be prepared to document the relationship when requesting historical certificates concerning yourself or a relative.
Rank #4
For other open records, the guidance calls for an introduction letter from an inviting, cooperative or receiving organization and an application to the National Archives or Ningbo Archives 30 days before inquiry. The application should state your identity, purpose and scope. Ask the archive which route applies to your record type before making travel arrangements.
The guidance lists on-site, telephone, letter, web-message and online self-inquiry routes for eligible open material. It says there is no inquiry or reading fee while also noting that fees may apply to inquiries as required; clarify any charge, copying rate and payment method directly. The page lists Ningbo Archives at 33 North Jiefang Road and telephone 0574-87186938, but reconfirm the address, hours, contact details and appointment rules before visiting.
Write a focused archive inquiry
Archives can act on a precise question more easily than a broad request for “all family records.” Include:
- Your full name, nationality or residence information as required, contact details and identification type.
- The Chinese characters and romanizations of the ancestor, including alternate spellings.
- Approximate birth, death and migration dates, with a margin of uncertainty.
- The smallest known village, town, county or district and historical variants.
- Names of parents, spouse, siblings, occupation, association or ancestral hall.
- The exact record sought: historical certificate, household-related file, institution record, lineage book reference or catalogue item.
- The purpose of the request and the generations or date range to be searched.
- Catalogue numbers, family photographs or excerpts that show why the request is plausible.
Ask whether staff can confirm a holding before you submit an application, whether an introduction letter must be issued by a mainland organization, and what forms of identification and translation are accepted.
Expect restrictions on sensitive material
The Ningbo guidance excludes confidential and certain punishment or investigation documents from individual and relative access and restricts copying and disclosure in some circumstances. An archive may allow consultation but limit photography, copying or publication. Treat every restriction as part of the record’s conditions, not an obstacle to work around.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.6. Connect generations instead of collecting isolated names
Your conclusion should rest on a chain of independent agreements. Use a table like this in your research log:
| Link to prove | Useful evidence | Test to apply |
|---|---|---|
| Hong Kong child to parent | Birth certificate, baptismal or school record, household paper | Names, dates and relationship agree without unexplained substitutions. |
| Hong Kong adult to migration generation | Marriage, immigration, employment, association or address records | The same person appears across time with consistent occupation, spouse or address. |
| Migrant to Ningbo locality | Letter, certificate, grave inscription, oral testimony with provenance | The Chinese place name is identified and its historical form is understood. |
| Locality to lineage branch | Jiapu preface, branch chart, generation poem, village or hall record | Generation names, relatives and places fit the Hong Kong family, not merely the surname. |
| Lineage entry to individual ancestor | Multiple records or a named descendant link | Dates and relationships make biological and chronological sense. |
Mark each proposition as documented, probable or unproven. Do not silently turn a transcription into a fact. If a lineage book skips generations, note the gap and seek a second source rather than filling it with an assumption.

7. A practical research sequence
- Week 1: capture family evidence. Interview relatives, photograph originals, transcribe Chinese characters and list every locality and generation clue.
- Week 2: anchor Hong Kong identities. Gather known certificates, determine whether a particular or general birth-registration search is appropriate, and assemble eligibility documents.
- Week 3: search catalogues. Query GRS, the Ningbo Library genealogy database and remote jiapu discovery tools using surname, village, hall, ancestor and generation-name combinations.
- Week 4: test candidates. Compare branch diagrams, dates, generation sequences and place names. Remove candidates that require an unexplained jump or rely only on surname similarity.
- After a candidate is documented: contact repositories. Ask district or county institutions for the exact holding, then prepare a focused Ningbo Archives inquiry if an eligible record remains there.
- Before travel or publication: reconfirm opening hours, access rules, fees, identification requirements and permission to copy or publish images.
8. Common dead ends and how to correct them
Searching only an English surname
Different Chinese characters can share one romanization, and one character can be romanized in several ways. Return to certificates, seals, tombs and family books for the characters.
Treating Ningbo as a village
Ask for the county, district, township or village and retain historical names. Search neighboring places when a document indicates an older administrative boundary.
Accepting the first same-surname jiapu
Require a matching locality, generation sequence and family relationships. If those are absent, label the book a lead, not an ancestral proof.
Assuming a catalogue entry is an online scan
GRS and library catalogues can describe material that is closed, undigitized or available only at a reading room. Copy the reference number and ask about access.

Making a vague archive request
Replace “find my ancestors” with a named person, Chinese characters, date range, locality and record type. A narrow request also makes it easier for staff to explain eligibility.
Publishing living relatives’ details
Remove addresses, identification numbers, dates of birth and sensitive family circumstances unless the person has given appropriate consent. Store permissions with the working file.
9. Preserve citations, permissions and negative results
For every document, retain the repository name, collection or catalogue title, call number, page or image number, access date, transcription, translation and permission status. Note searches that produced no result, including the exact spelling and date range used; a negative result prevents you from repeating the same path and helps explain why a different repository was chosen.
Ningbo Archives’ 2025 collection overview reports 63,000 volumes of paper materials as of the end of 2024 and describes holdings across local political, economic, cultural, educational, scientific, municipal and transport subjects, with genealogies among broader reference materials. That collection description does not establish that a particular family book survives or is open. Likewise, database totals are collection descriptions, not guarantees that your ancestor appears.

A defensible Ningbo connection is not a dramatic surname discovery. It is a reproducible chain: a Hong Kong record identifies a person and relationship; family evidence supplies Chinese names and a specific locality; a jiapu or archive record places the same branch in that locality; and dates, generation names and relatives agree across the documents. Keep uncertain links visible, preserve the originals and permissions, and let the evidence determine how far the lineage can be taken.
