How to Record and Preserve a Vietnam Veteran’s Oral History

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The safest way to preserve a Vietnam veteran’s oral history is to plan it with the veteran, record an unedited master in a quiet setting, document informed consent and future access, and keep redundant copies with the interview’s forms and context. The Library of Congress Veterans History Project (VHP) is a practical destination for a donation, but its Field Kit and submission rules can change, so download the current materials before you record.

What a useful oral history includes

An oral history is more than an audio file. It is a first-person account plus the information that lets another person understand, identify, preserve and responsibly use it. For a Vietnam veteran, that normally means the veteran’s own memories of military service, the circumstances surrounding those memories, the return to civilian life and later reflection. The veteran—not the interviewer—decides what the story means and which subjects are off limits.

VHP is a voluntary Library of Congress program that collects veterans’ firsthand accounts and related materials. A Library of Congress Vietnam War Veterans research guide reported more than 25,000 Vietnam veteran collections and narratives when accessed in 2026; that is the guide’s current scale, not a permanent total. If you hope to donate, use the live VHP participation page and Field Kit as the controlling instructions.

Preservation has two parts:

  • Content preservation: make a clean, complete original recording and retain the veteran’s words without editorial alteration.
  • Context preservation: retain consent and release forms, names, dates, locations, interview notes, recording settings, file names, time markers and related photographs or documents.

A transcript, edited excerpt or compressed listening copy can improve access, but none replaces the original recording.

Plan the interview with the veteran

Start with a pre-interview conversation

Ask whether the veteran wants to participate and what they hope the interview will accomplish. A short conversation before recording gives the veteran control over the process and exposes practical issues that a generic question list will miss.

  • What subjects does the veteran want included?
  • Are there subjects, people or locations they do not want discussed?
  • Who may be present, and would another person’s presence make remembering easier or harder?
  • Would the veteran prefer audio, video or a combination?
  • Where and when will the conversation feel most comfortable?
  • Does the veteran want to share photographs, letters, diaries, maps, uniforms or other documents?
  • Who should receive a copy, and what future uses are acceptable?

Library of Congress oral-history guidance recommends customizing questions in advance and giving the veteran an opportunity to raise concerns. Treat Vietnam veterans as individuals with different service histories, memories and boundaries, not as one uniform story.

Agree on scope and boundaries

Write down the agreed scope in plain language. For example, the interview might cover enlistment, training, a particular unit and deployment, the journey home and life after service, while excluding medical details or another person’s private information. Boundaries can change during the interview. The veteran may pause, withdraw a topic or ask to stop recording.

Do not promise that an archive will keep material confidential, remove it forever or limit every future use unless the receiving repository has explicitly agreed and can administer that condition. Explain who may hear the recording, whether it may be cataloged or made available online, whether the veteran can review it, and what restrictions the repository can actually honor.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Consent, releases and ownership

Obtain informed consent before recording

Before pressing record, explain the project, the intended repository, possible audiences, likely uses, review opportunities and any known restrictions. Confirm that participation is voluntary and that the veteran understands the practical consequences of donating or sharing the material.

The Oral History Association’s core principles state: “The interview process must be transparent, with ongoing participation, consent, and engagement among all parties from the first encounter between interviewer and narrator to the creation of end products.” Consent is therefore an ongoing conversation, not merely a signature collected at the end.

Use the correct forms for a VHP submission

Download the current VHP Field Kit before the interview. Review the Biographical Data Form, Veteran’s Release Form, Interviewer/Volunteer Release Form, recording log and applicable media standards. Print or prepare extra copies so a damaged or incorrectly completed form does not delay delivery. Follow the current kit if a form name, signature requirement or delivery method has changed.

A release records permission for defined uses; it is not automatically a transfer of every copyright interest. The Oral History Association cautions that informed consent is not itself a copyright transfer. If the interview includes photographs, letters, recordings or documents created by someone else, identify the creator and address permission separately rather than assuming the veteran can authorize every item.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Record access conditions precisely

Write restrictions in the relevant agreement and your own notes. Specify, where applicable, whether access is immediate, delayed until a date, limited to named people, limited to on-site use or subject to removal of particular passages. Keep a copy of every signed form with the preservation files. If the veteran later changes a preference, document the request and ask the repository how it can be implemented.

Choose audio or video

There is no universally superior format. The veteran’s comfort and the archive’s requirements matter more than novelty.

Choice Advantages Costs and risks Questions to resolve
Audio only Less distracting; simpler equipment; smaller files; easier for a veteran who does not want to be filmed. Facial expression, gestures, photographs held up during the interview and visual demonstrations are not captured. Can voices be recorded clearly? Does the receiving archive accept the proposed audio format?
Video Preserves expression, gestures, objects and visual explanations; can show photographs or documents as they are discussed. Requires more storage, stable framing, lighting and power; may make the veteran less comfortable; creates additional access and privacy concerns. Will the veteran consent to visual access? Can you manage large files and preserve the original video?
Remote recording Useful when distance, mobility or health makes an in-person meeting impractical. Internet interruptions, platform compression, separate local files and unfamiliar controls can damage continuity or quality. Can each side make a local recording? Is the resulting format accepted by the intended repository?

A phone may be adequate for some family projects, but do not assume that a particular phone, application or remote service meets current VHP media rules. Check the current FAQ and Field Kit before relying on it for a donation.

Prepare the recording setup

Use the best equipment you can operate reliably

For a VHP-bound audio interview, a WAV-capable digital audio recorder is a relevant equipment category. The current Field Kit lists WAV for new audio and suggests 96 kHz/24-bit or, alternatively, 44.1 kHz/16-bit. These are recording specifications, not a claim that every device or recording environment will sound professional. Choose equipment you can test, monitor and transfer without losing the original.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Use a quiet indoor room away from heating equipment, refrigerators, traffic and hard reflective surfaces.
  • Place the microphone close enough for a clear voice without forcing the veteran to lean forward.
  • Use headphones to check that speech is intelligible and that there is no cable hum, clipping or intermittent connection.
  • Charge batteries, bring spares if possible and connect external power only where it is safe and stable.
  • Confirm available storage for the entire session and for a second take if something fails.
  • For video, lock a stable frame, check exposure and keep the veteran’s face visible without bright windows behind them.
  • If recording remotely, test the connection and make a backup plan for a dropped call.

Run a complete test

  1. Set the intended WAV sample rate and bit depth, or the current format required by the receiving archive.
  2. Record at least a minute of ordinary conversation from the actual seating positions.
  3. Play the test through headphones and speakers. Check both voices, background noise, left/right balance and whether loud speech distorts.
  4. Confirm the device clock, storage capacity, file numbering and battery indicator.
  5. Practice stopping, pausing and restarting without accidentally deleting a file.
  6. Copy the test to a computer and verify that it opens and plays before the interview begins.

Bring a backup recording option when practical, but do not let extra equipment turn the room into a technical exercise. The veteran’s comfort and a reliable primary recording come first.

Use questions that invite a story

Open with identity and context

For a VHP-style opening, identify the interviewer and any organizational affiliation, the date, the veteran’s name, the general location rather than a full address, the relationship between interviewer and veteran, everyone present and the fact that the interview is for VHP if that is true. Tell the veteran when recording starts.

Ask short questions that encourage a narrative:

  • How did you decide to join or enter the service?
  • What do you remember about training and arriving at your first assignment?
  • What did a typical day involve at that location?
  • Which duties, people or places stand out, and why?
  • What particular experience do you want future listeners to understand?
  • How did returning home and re-entering civilian life unfold?
  • What do you think differently about that period now?

Use follow-ups beginning with “how,” “why” or “when.” Ask, “What happened next?” or “Can you describe that place?” rather than suggesting an answer. A pause is not a failure; give the veteran time to remember. Do not interrupt a difficult account to correct a date or supply your own interpretation.

Protect the veteran’s control during the interview

Watch for signs of fatigue or distress. Offer a break, stop recording when requested and return to a safer subject if the veteran wants. Do not press for combat, trauma, medical or personal details merely because they seem historically important. If another person begins answering for the veteran, redirect gently to the veteran or ask whether they want the other person’s contribution recorded separately.

Record enough room tone to help future archivists understand the sound environment, but do not manufacture claims about professional audio quality without listening to the completed file.

Keep a recording log and descriptive notes

A recording log makes a long interview usable. Complete it during or immediately after the session while details are still certain. Include:

  • Veteran’s name and interviewer’s name
  • Date and general location
  • Names and roles of everyone present
  • Device and microphone used, if known
  • File name, recording number and format
  • Start and end times, pauses and any equipment interruption
  • Topic summaries with approximate time markers
  • Names of people, units, ships, bases, places or documents mentioned when the veteran supplies them
  • Any access restriction, correction request or follow-up promised

Use a consistent file name such as Lastname_Firstname_YYYY-MM-DD_Interview01.wav. Keep a separate note explaining the naming convention and never rename the only copy without recording the change.

Secure the files immediately after recording

Verify before deleting anything

  1. Stop the recording and confirm that the device has finalized the file.
  2. Copy the file to a computer or dedicated storage location.
  3. Play the beginning, middle and end, and check that the duration is plausible and both voices remain intelligible.
  4. Compare the copied file’s size and name with the device copy.
  5. Only after verification, consider reusing the memory card or recorder.

Keep the original recording unedited. If you create a noise-reduced version, excerpt or transcript, put it in a clearly labeled access folder and preserve the untouched master separately.

Make redundant copies in different places

A single USB flash drive is a delivery medium, not a preservation plan. Make multiple copies promptly and keep them in different physical locations—for example, one controlled copy with the family and one with the receiving repository or another trusted custodian. Protect copies from accidental deletion, ransomware, moisture, heat and unauthorized access. Periodically open a sample of files and check that storage devices remain readable.

Preservation guidance from the Oral History Association recommends controlled storage, redundant copies in different physical locations, maintenance appropriate to the medium, nonproprietary or cross-platform formats where practical and planning for media obsolescence. Migrate files to current storage and formats before old media or software becomes unreadable, while retaining the original file as an unchanged reference.

Preserve the surrounding documents

Store the following together in an organized folder or archival package:

  • Original audio or video files
  • Signed veteran and interviewer releases
  • Biographical data and recording log
  • Interview questions and notes
  • Technical information such as format, sample rate, bit depth, device and software
  • Transcripts, captions or edited access copies, clearly marked as derivatives
  • Photographs, letters, scans and descriptions of their creators and dates
  • Access restrictions, withdrawal requests and repository correspondence

Use ordinary, readable text for a brief README file. State who created the interview, when and where it was recorded, what the files contain, what is missing, which file is the preservation master and who may authorize future changes.

Submitting an interview to the Veterans History Project

Check the current Field Kit first

VHP’s current Field Kit says recordings submitted for its collection must be at least 30 minutes and lists digital audio on USB or CD-R as WAV, with 96 kHz/24-bit suggested or 44.1 kHz/16-bit. Confirm those requirements, accepted media, forms, labeling and delivery instructions immediately before submission because the Field Kit is the controlling source.

Do not shorten an interview merely to meet a target or add filler to reach 30 minutes. If the veteran’s account is shorter, ask VHP how that material should be handled rather than altering the record.

Prepare the package

  1. Complete the current Biographical Data Form and recording log.
  2. Obtain the required Veteran’s Release Form and Interviewer/Volunteer Release Form.
  3. Check every signature, date and restriction.
  4. Copy the unedited original in the required WAV format; do not submit only a compressed listening file.
  5. Label the delivery media and include a separate inventory of files and related documents.
  6. Retain your own verified preservation copy and the signed paperwork before sending anything.
  7. Follow the current VHP delivery method and keep confirmation of what was sent.

The VHP Field Kit and forms are free official resources. A donation to VHP is one stewardship option, not the only one. A local library, university archive, historical society or community repository may be more appropriate if it can meet the veteran’s access conditions and has the staff, storage and preservation capacity to care for the material.

Choose a long-term repository responsibly

Discuss the repository before recording when possible. Ask:

  • Can it preserve large audio or video files and migrate them as technology changes?
  • Will it retain the original file and related documents together?
  • What access will the public, family members and researchers have?
  • Can it honor a time delay or other restriction?
  • Who controls future copying, cataloging, takedown requests and corrections?
  • Will it provide an accession record or confirmation of custody?

Oral History Association principles emphasize respect for narrators, attention to power differences, protection from harm and explicit permission for public access. They also state: “Whenever possible, an oral history interview and its accompanying documentation should be preserved and made accessible to other users.” Accessibility should be pursued with the veteran’s informed permission, not assumed as a condition of collecting the story.

Common failures and how to recover

The recording is too quiet or noisy

Do not overwrite the master with aggressive processing. Preserve the original, make a working copy, document any filtering and ask a repository whether the derivative is suitable for access. If speech is unintelligible, record a new clarifying segment only with the veteran’s agreement and label it as a later addition.

A file will not open

Stop making copies to the affected device. Preserve the card or drive, try a read-only transfer with appropriate recovery assistance and document every step. Do not format the device or install software that might overwrite recoverable data.

A release is missing

Keep the recording restricted and do not submit it as unrestricted material. Contact the veteran, explain what permission is needed and use the repository’s current forms. If the veteran cannot be reached, ask the repository for its policy rather than guessing that family possession equals publication permission.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The veteran wants a topic removed

Pause public distribution and document the request. Ask the repository whether it can withhold a passage, impose a restriction or accept a revised access copy while retaining the original under controlled access. Do not silently edit the preservation master.

Only a compressed or edited copy exists

Preserve it as the best available source and label its limitations. Do not describe it as an original WAV master. If the veteran is willing, create a new recording or locate the original device file; keep both versions and explain their relationship in the metadata.

Final checklist

  • The veteran chose to participate and agreed on purpose, scope and boundaries.
  • Future access, review and restrictions were explained without promises the repository cannot keep.
  • Required releases and biographical forms are complete and stored with the files.
  • The recording was tested, monitored and verified after the interview.
  • The original file remains unedited and is clearly distinguished from derivatives.
  • Copies exist in different physical locations.
  • The recording log, technical metadata and related photographs or documents are present.
  • The current VHP Field Kit was checked before any donation.
  • The selected repository can preserve the material and honor the veteran’s documented wishes.
