The safest way to use a generative AI tool is to treat every prompt and upload as a disclosure to an online service. Share only the minimum information needed, remove identifiers and secrets, use an approved account, and check the provider’s model-improvement, history, memory, retention, deletion, and connected-app controls separately. A training opt-out or temporary mode can reduce some exposure, but neither should be assumed to mean that no copy is retained or reviewed.
What privacy protection means when you use generative AI
Generative AI services may receive your prompt, uploaded files, conversation history, feedback, account information, and data passed through connected applications. Privacy protection therefore involves several different questions, not one master “private” switch:
- Disclosure: What personal, confidential, or commercially sensitive information leaves your device?
- Model improvement: May the provider use your conversations or files to improve models, and what does the setting apply to?
- Retention: How long can content remain in operational, abuse-monitoring, backup, or safety-review systems?
- Access: Can employees, contractors, administrators, or connected services view the content under particular circumstances?
- Account persistence: Does the service save history, create memory, retain uploaded files, or synchronize data across devices?
- Downstream exposure: Could an integration, shared workspace, browser extension, or compromised account expose the information?
These controls are independent. Deleting a visible chat does not automatically prove that a provider stopped using it for model improvement, and turning off model improvement does not necessarily eliminate abuse-monitoring logs. Evaluate each purpose and retention path on its own.
Minimize what you disclose before writing a prompt
Data minimization is the most dependable privacy measure because information that never leaves your control cannot be retained or reused by the service. Start by asking whether the AI task can be completed with less information.

Use a fictional or reduced example
Replace a real customer with “Customer A,” an actual invoice with invented numbers, or a full contract with the one clause that needs explanation. If the task is to improve wording, provide a sentence containing the same grammar problem but none of the original names, addresses, account numbers, or business terms. A short summary is safer than an entire source document when the model does not need every detail.
Remove direct identifiers
Before pasting text, strip names, email addresses, telephone numbers, postal addresses, account and policy numbers, customer IDs, case references, device identifiers, and precise dates when they are not essential. Check headers, footers, comments, tracked changes, spreadsheet tabs, document properties, image metadata, and filenames; these can contain identifiers even after the visible text has been edited.
Keep secrets out of prompts
Never enter passwords, authentication codes, private keys, access tokens, payment-card credentials, recovery codes, or other access secrets. An AI service is not a secure secrets vault. If a coding question involves a configuration file, replace each secret with a clearly marked dummy value and confirm that the real value is not present in surrounding lines or version-control history.
Handle sensitive categories deliberately
Health, financial, legal, employment, student, customer, and internal business information can create obligations that vary by country, sector, contract, and account type. Do not assume that a provider’s consumer service is suitable for regulated or confidential information. Confirm the specific service, plan, region, administrator settings, contract, and applicable law before sending it.
Use a pre-send checklist
- Can the task be completed with a summary, fictional example, or redacted excerpt?
- Have names, contact details, identifiers, metadata, and unnecessary dates been removed?
- Are passwords, codes, keys, payment details, or other secrets absent?
- Is the remaining information allowed under your employer, client, school, or professional rules?
- Is this the approved provider, account, workspace, and model for the task?
- Would you be comfortable explaining the disclosure to the person or organization described in the text?
Example: transform the prompt, not just the document
| Original request | Safer version |
|---|---|
| “Summarize this complaint from Jane Smith at 14 High Street. Her account is 483920 and her medical appointment was on 3 March.” | “Summarize this customer complaint. Replace the customer’s name, address, account number, and appointment date with neutral placeholders; preserve only the facts needed to identify the service problem.” |
| “Debug this production configuration,” followed by a file containing a live token. | “Explain why this configuration pattern fails,” followed by a reduced example with REDACTED_TOKEN and unrelated settings removed. |
Understand the controls on the exact provider and account
Settings differ by product, account tier, region, administrator policy, and date. Open the privacy or data-controls page while signed into the account you will actually use. Record what each control changes and what it does not change.
| Control | Question to answer | Why it matters |
|---|---|---|
| Model improvement or training | Are new prompts, files, feedback, or conversations used to improve models? Is the setting limited to future content, one app, one workspace, or an API project? | A future-use opt-out may not erase existing copies or stop operational logging. |
| Chat history | Are conversations listed in the account, synchronized across devices, or available to workspace administrators? | History creates another place where sensitive content can remain accessible. |
| Saved memory | Can the service retain facts about you separately from the original chat, and how are those memories reviewed and deleted? | Deleting a conversation may not delete a separately stored memory. |
| Temporary or incognito session | Does the mode avoid history or memory, and what safety, abuse-review, or backup retention still applies? | “Temporary” describes a feature, not automatically zero retention. |
| Deletion and export | Can you export data, delete individual chats, remove files, close the account, or submit a privacy request? What exceptions apply? | Visible deletion and backend deletion can follow different schedules. |
| Connected apps and uploads | What data can an integration read, where are files stored, and can an administrator or third party access them? | The connected service may have its own retention and sharing rules. |
Model-improvement opt-outs
OpenAI states: “After you opt out, we won’t use your new conversations to improve our models.” Treat that as a statement about model improvement for new conversations, not as a promise that no copy exists. OpenAI’s API documentation separately describes abuse-monitoring logs, showing why model-training controls and operational retention must be checked independently. Other providers may define their defaults and exceptions differently.

- Say goodbye to batteries: Keep your remote powered for months on a single charge.
Temporary sessions and retention
OpenAI says Temporary Chats do not appear in history, do not create memories, and are not used to improve models, but are retained for 30 days for safety purposes. That is a provider-specific policy detail, not a universal standard. Read the current terms for the service you are using, including safety-review, legal, security, and backup exceptions, before entering sensitive material.
History, memory, files, and deletion
Review conversation history, saved memory, uploaded files, custom instructions, shared links, and connected applications separately. Remove data from each location when the service provides separate controls. If you need evidence of a deletion request, save the confirmation and note the date, account, product, and scope. Do not infer that a chat disappeared from the sidebar means every copy has been destroyed.
Provider examples without assuming a universal privacy policy
Provider statements are authoritative for their own products but are not independent audits. Use them as a starting point, then verify the account and plan in front of you.
OpenAI consumer, business, and API use
OpenAI says business and API inputs and outputs are not used for model improvement by default, subject to its documented details. The API documentation also discusses abuse-monitoring retention and possible exceptions. A business default therefore does not answer every question about logs, administrators, support access, subprocessors, backups, or legal requests. Confirm the contract, workspace configuration, and current documentation before sending employer, client, or customer data.
Google Gemini Apps
Google’s Gemini Apps guidance is setting-specific: “If that setting is on, don’t enter data that’s confidential or that you wouldn’t want a human reviewer to see or Google to use to improve its services.” Follow that warning for the exact account and setting you are using. It should not be turned into a claim that every Google AI product, account type, or region has identical retention or review practices.
Other services
For Anthropic and any other provider, inspect the current consumer, team, enterprise, and API terms separately. Do not transfer a no-training default from one product to another. The relevant evidence is the service’s own current policy, your organization’s agreement, and the configuration enforced by the administrator.

Perform a privacy audit before your first sensitive task
- Identify the exact service. Write down the provider, product name, account type, workspace, model, region, and whether the interaction is through a web app, mobile app, desktop client, API, or integration.
- Open data-use controls. Find the option covering model improvement, training, or human review. Read the scope: future chats only, all users, one project, or one device. Record the default and the date you checked it.
- Review history and memory. Determine whether chats are saved, whether memory is enabled, where uploaded files remain, and who can administer or share the workspace.
- Read temporary-session terms. Confirm whether temporary mode suppresses history and memory, then note any stated safety, abuse, legal, or backup retention.
- Test deletion and export controls with harmless content. Learn how to delete a chat, remove a file, clear memory, export account data, and submit a privacy request before a real incident occurs.
- Inspect integrations. Disable unused connectors, review permissions, and check whether an integration can read an entire drive, mailbox, code repository, or project rather than one selected file.
- Check administrator and contract controls. In a workplace, confirm the approved workspace, single-sign-on rules, logging, retention schedule, and support-access process with the responsible team.
- Recheck after changes. Repeat the review after provider updates, account-plan changes, a new region, a new model, or an administrator policy change.
Use generative AI at work without bypassing governance
Do not paste employer, client, patient, student, or customer data into a personal consumer account unless the organization has explicitly authorized that use. Personal accounts may lack contractual commitments, administrator controls, audit records, retention settings, or incident-response support required for the work.
Set an internal data classification rule
| Data category | Default action |
|---|---|
| Public information | Use an approved tool after checking that no hidden metadata or access credentials are included. |
| Internal, non-sensitive material | Use only an organization-approved account with documented history, retention, and access settings. |
| Confidential, personal, regulated, or client data | Require explicit approval, a suitable contract and configuration, minimization, access controls, and a defined deletion process; otherwise do not submit it. |
| Secrets and authentication material | Never place them in a prompt or upload. |
Document the operating rules
Organizations should specify permitted tools, data categories, approved accounts, user roles, retention periods, review procedures, deletion responsibilities, incident escalation, and vendor-change monitoring. Access should follow least privilege: a person who needs an AI drafting tool does not automatically need access to every connected repository or customer record.
The National Institute of Standards and Technology describes its Privacy Framework as “a voluntary tool developed in collaboration with stakeholders intended to help organizations identify and manage privacy risk to build innovative products and services while protecting individuals’ privacy.” Use it as a risk-management aid, not as a certification or a substitute for legal advice.
U.S. Federal Trade Commission business guidance emphasizes collecting only what is needed, securing it, retaining it only as long as necessary, and disposing of it safely. The FTC’s material is U.S.-focused; organizations must also assess the law and contracts that apply to their own jurisdiction and sector.

No single privacy score is meaningful across every plan and region. Compare the exact service you intend to use on these axes:
| Comparison axis | Evidence to collect | Decision question |
|---|---|---|
| Model improvement | Default, opt-out scope, treatment of feedback and files, and whether the choice applies to future content only. | Can the organization prohibit model improvement for the data category involved? |
| Retention and review | Stated periods for chats, files, abuse monitoring, safety review, backups, and legal exceptions. | Is the maximum retention compatible with the task and your policy? |
| History and memory | Separate controls for chat history, saved memory, custom instructions, shared links, and administrator visibility. | Can users and administrators remove persistent data? |
| Deletion and export | Account, chat, file, memory, and privacy-request procedures, including stated exceptions. | Can you retrieve records when required and remove them when the purpose ends? |
| Business and API commitments | Contract terms, regional processing, administrator controls, audit information, subprocessors, and incident notification. | Does the service provide enforceable commitments rather than only a consumer setting? |
If a policy page does not state a value, record it as unknown and seek clarification. Do not fill the gap with a marketing label such as “private,” “secure,” or “zero retention.”

Common privacy mistakes and how to correct them
Assuming an opt-out erases existing data
Why it fails: An opt-out may govern future model improvement while operational, safety, or legal retention follows separate rules.
Correction: Read the retention and deletion sections, then submit the appropriate deletion request for content already sent.
Calling temporary mode “zero retention”
Why it fails: Temporary sessions can omit history and memory while still retaining content for safety or abuse monitoring.
Correction: Use the provider’s exact retention language and avoid stronger promises than the policy makes.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsDeleting only the visible conversation
Why it fails: Files, memories, shared links, exports, browser downloads, and connected applications may persist separately.
Correction: Clear each storage location and check the account’s privacy-request process.
Using a personal account for work
Why it fails: The organization may have no administrator control, contract, audit trail, or approved deletion process.
Correction: Use the designated workspace or obtain written approval before processing non-public data.
Uploading an entire document for a narrow question
Why it fails: Unneeded names, clauses, metadata, and attachments increase exposure without improving the answer.
Correction: Extract the relevant passage, redact identifiers, and provide only the context the model needs.
Forgetting integrations
Why it fails: A connector may grant broad access to mail, storage, calendars, repositories, or customer systems.
Correction: Review permissions, disable unused connectors, and authorize the smallest available scope.

Summarizing documents
Make a local copy, remove metadata and identifiers, extract only the sections needed, and summarize the redacted text. Keep the original in the organization’s approved storage rather than uploading it merely for convenience.
Writing or editing
Provide the style requirements and a short anonymized excerpt. Ask the tool to preserve meaning without supplying the author’s identity, customer names, or confidential business context.
Coding assistance
Reduce the problem to a reproducible example, replace secrets and proprietary endpoints, remove comments that reveal internal architecture, and check the output before copying code back into a production system. Treat generated code as untrusted until reviewed and tested.
Meeting and support transcripts
Obtain any required consent, remove names and account references, and confirm that the approved service may process the transcript. If only action items are needed, submit a manually prepared outline instead of the full recording or transcript.

Use general, hypothetical facts whenever possible. For real cases, follow professional confidentiality rules, organizational approval, and applicable law; a consumer AI account should not be treated as a privileged or regulated channel by default.
What to do if sensitive information was sent by mistake
- Stop further disclosure. Do not continue the conversation or add clarifying details that repeat the sensitive content.
- Record the facts. Note the provider, account, time, prompt or file involved, recipients, and any connected applications. Preserve only what your incident process requires.
- Use available deletion controls. Delete the chat, files, memories, shared links, and exports where applicable, then submit a formal privacy request if the provider offers one. Deletion may be subject to stated exceptions.
- Notify the responsible team. Follow your employer’s security, privacy, legal, or data-protection escalation process. Do not decide alone that an incident is harmless.
- Rotate exposed secrets. Revoke and replace passwords, tokens, keys, or codes that appeared in the prompt, even if the conversation was later deleted.
- Assess obligations. Determine whether contracts, professional rules, or local law require notification, documentation, or additional containment.
Maintain privacy controls over time
Privacy settings drift. Providers change interfaces and terms, administrators change workspace policies, and a new model or integration may have different defaults. Assign an owner to review AI services on a schedule and after every material change.
- Keep an inventory of approved providers, products, accounts, models, integrations, and data categories.
- Review model-improvement, history, memory, temporary-session, retention, deletion, and export settings at least whenever the service or plan changes.
- Remove inactive users, shared links, uploaded files, unused connectors, and stale memories.
- Test deletion and access procedures with non-sensitive data so an incident does not become the first test.
- Train users to minimize prompts and recognize secrets, personal data, and confidential material.
- Reassess vendor contracts, subprocessors, regional processing, and administrator access when the service expands its features.
A practical privacy standard
Use generative AI only when the benefit justifies the disclosure. Minimize and redact the input, keep secrets out, select the approved account, inspect every relevant control, and retain your own record of the provider’s terms and your organization’s authorization. Treat model-improvement settings, temporary sessions, deletion, history, memory, and operational logs as separate questions. That approach reduces avoidable exposure without making promises that a provider’s policy does not support.
