How to Preserve a Loved One’s Story in a Documentary Interview

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Preserving a loved one’s story takes more than pressing Record. Before the interview, agree on its purpose, future uses, access and consent. During it, make a clear, dependable recording. Afterward, protect the original, create redundant copies in different places, and keep the consent record, notes, photographs, documents and technical details with the file. Treat transcripts and captions as access tools, not replacements for the original recording.

This workflow follows the Oral History Association’s Principles and Best Practices (complete 2025 guide) and its Archiving Oral History: Manual of Best Practices (adopted 2019), with submission options identified by the Library of Congress guide Preserving Family Stories.

Start by deciding what the interview is for

A recording made for private family use has different access and consent needs from one intended for a documentary, exhibition, classroom, public archive or online release. State the purpose in plain language before any equipment is turned on. A useful purpose statement answers what you hope to preserve, who may use it, and how the material might be edited or shared.

Set the intended uses

Discuss whether the recording is a personal keepsake, a source for a film, a family archive, an educational resource, or a possible public history item. Explain whether excerpts may be edited, subtitled, translated, quoted, photographed, or combined with other material. If the project could change later, describe the realistic possibilities instead of promising that the recording will remain private.

Agree on access and timing

Ask who should be able to hear the interview and when. The narrator may want immediate family access, a delay before release, limited access to named people, or no public access at all. Write down any waiting period, audience restriction, or condition on use. A repository can honor only restrictions that fit its own policies, so check that a proposed archive can carry out the agreement.

Document informed consent

Consent should cover the recording itself, preservation, access, editing and likely future uses. Make sure the narrator understands that a documentary edit can change the order and context of spoken passages. Record the agreement in a signed or otherwise durable form and retain it with the interview. If the narrator prefers to review the recording or a transcript before public release, include that review step and identify who gives final approval.

Plan for review when circumstances change

Memory projects can outlive the people who created them. State who should interpret the agreement if the narrator becomes unable to respond, and identify any family or institutional contact the narrator trusts. Do not assume that a relative’s preference overrides the narrator’s documented wishes.

Hold a pre-interview conversation

A separate conversation helps the narrator decide what matters and gives you time to prepare without using the recorded session for logistics. Ask which periods, people, places, objects and events deserve attention. Invite the narrator to identify subjects they do not want discussed, terms they prefer, and topics that may require a pause or a support person.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Learn the person’s priorities

Ask what they hope a future listener will understand. One person may care about migration, another about work, a neighborhood, a craft, military service, caregiving or a family tradition. Their priorities should shape the interview order; a chronological life story is not the only useful structure.

Study the historical setting

Prepare enough background to ask specific questions about dates, institutions, places and changes in everyday life. Your preparation should supply context without turning the session into a quiz. Bring a short timeline or list of names for your own reference, and invite correction whenever your information conflicts with the narrator’s memory.

Prepare a question map, not a script

Use open prompts that invite scenes and explanations: “What do you remember about the first day there?” or “How did that decision affect your family?” Follow a broad prompt with requests for sensory detail, sequence, names, locations and consequences. Avoid questions that contain the answer or force a yes-or-no response. Leave room for the narrator to introduce a subject you did not anticipate.

Make the recording dependable

Clear sound is the foundation of a usable documentary interview. The Oral History Association recommends high-quality recording but does not prescribe a particular brand, model, microphone or technical format. A separate portable digital voice recorder is optional; a suitable device you already know how to operate can work if it produces a clear, stable recording.

Test the complete setup

  1. Record a short sample with the narrator seated where the interview will happen.
  2. Play the sample through headphones and listen for hum, handling noise, room echo, clothing rustle and voices that are too quiet.
  3. Check available storage, battery level, date and time settings, input selection and recording level.
  4. Confirm that the device saves a file you can open and copy on a computer before the interview begins.
  5. Prepare a backup power source, spare storage or a second recording path when practical.

Choose the quietest practical space

Close windows and doors, silence phones and move noisy appliances away from the room. Soft furnishings often reduce reflections better than a bare, hard-walled space. Position the microphone close enough for a strong voice signal without placing it where hands, jewelry or clothing will touch it. Keep the narrator and interviewer in a comfortable position so the microphone does not need to be moved during an answer.

Protect the conversation from interruptions

Tell everyone nearby that recording is in progress. Agree on a discreet signal for a pause if the narrator needs water, medication or a break. At the start of each session, record the date, location, names of participants and the project title so the file remains identifiable even if it is separated from your notes.

Conduct the interview with attention and care

Open with orientation

State who is present, what is being recorded, where the conversation is taking place and the date. Reconfirm the narrator’s understanding of the intended use and ask whether they are ready to proceed. This spoken orientation becomes part of the file’s context.

Let stories develop

Ask one question at a time and allow silence. Short acknowledgments show that you are listening without taking the narrative away from the speaker. When an answer raises a meaningful detail, follow it before moving to your next planned topic. Ask for examples, but do not insist on details the narrator does not wish to provide.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Handle difficult memories ethically

Warn the narrator before entering a sensitive area and remind them that they may pause, skip a question or stop. Do not treat distress as evidence that a story is more authentic. If the narrator corrects an earlier statement, preserve the correction rather than quietly editing it out. Your role is to create conditions for an accurate, voluntary account, not to obtain a dramatic moment.

Close with control over next steps

Ask whether anything important was missed and whether the narrator wants to clarify a statement. Explain what will happen to the file next, including transfer, backup, transcription, review and possible sharing. Confirm how they can contact you if they later want to discuss a restriction or correction.

  • Record MP3 Audio quickly and easily
  • Up to 57 hours of battery life for extended recording (MP3 128Kbps stereo)
  • Built in, direct USB Connection for quick file transfer to your PC

Transfer and verify the original promptly

Move the original recording off the recording device as soon as practical after each session. Do not treat the device, a memory card or a phone as the archive. Copy the file without altering it, then open the transferred copy and check that it plays from beginning to end.

Keep an untouched preservation copy

Make a clearly identified master copy and do not edit, normalize, noise-reduce or rename it in a way that removes the original identity. Create working copies for editing, transcription and captioning. If an edit is needed for a film, retain the complete source recording separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use informative names and notes

A filename can include the project name, narrator, session date and sequence number. Keep a companion note that records the device used, file type, sampling or recording settings when known, operators, location and any interruptions. Consistent names help you reconnect a file with its consent form and related materials.

Create redundant copies in different places

One copy is a temporary convenience, not a preservation plan. Make an appropriate number of redundant digital copies and place them in different physical locations so one accident, theft, flood or hardware failure cannot remove every version. Keep a copy separate from the place where the working files are used.

Separate working access from preservation storage

  • Working copy: used for editing, listening and transcription.
  • Preservation copy: kept unchanged and opened only for verification or controlled migration.
  • Second-location copy: stored away from the main home or studio.

Label each location and record who can access it. Periodically verify that copies open and play; a copy that has never been checked may be silently corrupted. When a storage device or service is replaced, copy the files to the new medium and verify the results before retiring the old one.

Preserve the story’s context and rights

An audio or video file without its surrounding information can become impossible to interpret. Keep the recording with the documents that explain what it is and what may be done with it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Consent, release or access agreements, including review requirements and restrictions.
  • The project purpose, interview date, location, participants and interviewer.
  • Biographical and historical notes that help a listener understand names, places, organizations and events.
  • Interview outlines, question lists, follow-up notes and corrections supplied by the narrator.
  • Photographs, letters, diaries, certificates, maps or other documents discussed in the recording, with permission information for each item.
  • Technical and descriptive metadata: file names, formats, duration, device, settings, operators and any transfer or migration history.

Store these records together as one collection, while protecting sensitive personal information according to the narrator’s agreement. If a photograph or document cannot be shared publicly, note that limitation rather than removing the item from the collection without explanation.

Choose formats with future migration in mind

The Oral History Association states that “the obsolescence of all media formats should be assumed and planned for.” No file type, drive or service is guaranteed to remain usable indefinitely. Prefer cross-platform, nonproprietary electronic formats where practical, and keep enough technical information to migrate the files later without losing their identity.

Preserve before you optimize

Do not discard the original because a compressed version is easier to upload or edit. Derivative files can improve access, but the preservation copy should remain as close as possible to what the recorder produced. If you migrate to a new format, retain the earlier file when it remains readable and document the date, software and reason for the change.

Watch for warning signs

Plan a migration when a device, connector, operating system or application needed to open the file is becoming difficult to obtain. Warning signs include repeated playback errors, a storage medium that is no longer sold, or a file that works only on one obsolete computer. Migration is safer when the file is still readable and a second copy can be compared with the new one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Add transcripts, captions and time-linked indexes

A transcript makes spoken content searchable and can support readers who cannot hear the recording. Captions improve access to video. An index with time tags lets a viewer jump to a person, place or subject. The Archiving Oral History manual treats these as aids that complement the original, not substitutes for it.

Access aid What it helps with What to preserve alongside it
Transcript Reading, searching, quotation and translation The complete recording and a note identifying the transcript version
Captions Following dialogue and relevant sounds in video The video master and caption file, with timing information
Time-linked index Finding subjects, names and events quickly The file name or identifier to which each time tag refers

Mark uncertain words, inaudible passages and editorial additions clearly. If the narrator reviews a transcript, retain the reviewed version and note substantive corrections rather than silently overwriting the earlier text.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Compare preservation routes before committing

The right destination depends on the narrator’s wishes, the project’s purpose and the level of preservation support available. Compare each option on five questions: Can it keep the original and related records together? Can it honor the consent and access terms? Does it have long-term preservation capacity? Does it support discovery and accessibility? Does its mission fit this story and community?

Route Strengths to assess Questions to settle first
Personal or family stewardship Direct control over access, timing and related materials Who will maintain copies, document restrictions and handle future format changes?
Library or archive Potentially professional preservation, description and public-access systems Will the institution accept the media and accompanying records, and can it enforce the narrator’s conditions?
StoryCorps submission A named destination identified by the Library of Congress family-story guide for people interested in formally recording interviews Confirm current eligibility, submission requirements, consent expectations and access terms before sending anything
Veterans History Project submission A destination identified for veterans’ histories Confirm that the narrator and interview meet its veteran-focused eligibility and current submission rules

A submission program is not automatically the best home. Read its current terms, ask how originals and derivatives are handled, and make sure the narrator’s restrictions can be honored. Keep your own verified copies unless the receiving organization explicitly explains a preservation arrangement you understand and accept.

  • Simple and Efficient File Management: The recording files are named by the specific time when you start recording, which is easy for you to identify and find quickly, and the numbers of the file names correspond to the year, month, day, hour, minute and second in order (YYYY-MM-DD-HH-MM-SS). You can delete all recordings with one click or transfer the recording files to your computer with the included Type-C cable. (Windows and Mac compatible)

Manage access without losing the original

Separate preservation from publication. You can preserve a complete interview while releasing only an approved excerpt, delaying access, or limiting listeners. Keep a rights note with every derivative so a future editor does not mistake a public clip for the full permission granted.

Use a clear access record

For each session, record whether access is open, restricted, delayed or subject to narrator review. Identify the person or institution responsible for applying the rule. If a restriction has an end date or a condition, write it in a form that another custodian can understand without asking the original interviewer.

Respond when the narrator changes a preference

Do not delete the preservation master immediately because a narrator requests a change. First document the new instruction, identify which copies or derivatives it affects, and update the access record. If a public copy cannot be withdrawn from every location, explain that limitation honestly and follow the agreed process.

Troubleshoot common failures

The recording is hard to hear

Keep the untouched file. Note the problem, make a listening copy for any restoration work, and identify which sections remain intelligible. Do not present a cleaned derivative as though it were the original.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The file will not open

Try another verified copy and the software or device originally used to create it. If one copy plays, duplicate it before experimenting. Document the recovery and migrate to a practical cross-platform format while the source remains readable.

Consent paperwork is missing

Do not assume that a friendly conversation equals permission for public release. Restrict access until the narrator or authorized contact can clarify the terms, and preserve a note explaining the uncertainty.

A repository rejects the collection

Ask whether the issue is format, scope, restrictions or mission fit. You can continue personal stewardship or approach a different library or archive, but carry the complete consent and context records to any new conversation.

The narrator wants a correction

Preserve the original statement and add the correction to the descriptive record or a later recording. If an edit is approved for a specific public version, keep that edit separate from the master and document what changed.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A durable handoff plan

Before the project leaves your care, assemble a short handoff document. Identify the collection, list the files and related materials, explain the consent terms, name the current storage locations, describe the format and any known playback requirements, and state who should be contacted about access. Give the recipient both the materials and the explanation needed to interpret them.

Preservation succeeds when a future custodian can locate the original, understand the narrator’s wishes, open the file, and connect the voices to the people and circumstances that produced them. The interview is therefore not just a recording: it is the recording plus its rights, context, descriptive information and a plan for keeping all of those parts together.
