How to Organize a Terry Fox Run at School or Work

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To organize a Terry Fox Run, first choose the right format—school run, workplace team, workplace fundraiser or community Run—then use the matching Terry Fox Foundation registration or contact route. Set a date and accessible venue, assign a staffed committee, obtain local permissions, build a safe route, create fundraising pages and offline collection systems, promote with official materials, and reconcile donations after the event.

Choose the event format before you plan details

The format determines who registers, how much advance approval you need and which fundraising tools are available. Decide whether your event is primarily for a school, an existing workplace team, a new workplace fundraiser or the wider community.

Format Best for Foundation route Timing and fundraising
School Run Students, staff, families and, if appropriate, local residents Use the school-run registration and contact process. The form asks for school and organizer contacts, expected participation, a known event date, a fundraising goal and whether the event is school-only or open to the community. School events can be adapted to the school community and may take place at any time of year. Online fundraising, pledge sheets and a stated school goal can be combined.
Workplace team Colleagues joining an existing local Terry Fox Run Register colleagues as a team through the team path. The team receives a fundraising page, recruitment and engagement resources, and access to team merchandise. Use the local Run’s date and location.
Workplace fundraiser An employer-created event designed around the workplace Contact the Foundation to discuss the idea and ask which current registration process and policies apply. You choose the event type, date, location and fundraising approach with Foundation support.
Community Run organizer A new public Run serving a broader community Contact the Foundation about organizing in your community. Expect organizer support and compliance with current Foundation policies and guidelines. Confirm local requirements before announcing the event.

If you are unsure, describe your audience, proposed date, venue and expected attendance to the Foundation before committing to public promotion. A contact-first conversation is especially important for a new workplace fundraiser or community Run.

Register or contact the Foundation

For a school event

  1. Collect the school name, principal or administration contact, event organizer contact and an approximate participant count.
  2. Decide whether the event is limited to the school or open to families and the community.
  3. Choose a provisional date and fundraising goal, even if the date is not yet final.
  4. Submit the school-run registration or contact form and wait for current instructions, policies and materials.

The school-run route is intended to accommodate different school communities rather than force every event into one national-day schedule.

For a workplace team

  1. Ask a manager, human-resources contact or workplace volunteer group to sponsor participation.
  2. Recruit a team captain and estimate how many colleagues may join.
  3. Register the team for the appropriate local Run.
  4. Share the team fundraising page and the official recruitment resources with colleagues.

For a workplace fundraiser or community Run

  1. Write a short event outline: audience, date range, venue, route or activity, estimated attendance and proposed fundraising method.
  2. Contact the Foundation before publishing a public invitation.
  3. Ask which registration process, policies, insurance expectations, donation technology and organizer materials apply to your location.
  4. Record the Foundation’s instructions and assign one person to keep compliance documents and correspondence.

Set the date, venue and route

Use the correct calendar assumption

The 2026 Canadian Terry Fox Run is scheduled for Sunday, September 20, and registration opened April 12, 2026. These dates apply to 2026 only; confirm the next year’s schedule on the Foundation’s official site before publishing a date or printing materials. A school Run may be held at another time of year, while a workplace team normally joins the local annual Run.

Choose a venue that fits the participants

  • For a school, consider the campus, a track, a nearby park or a short loop that students can complete safely.
  • For a workplace, decide whether colleagues will meet at the local Run, use a company site or create another Foundation-approved event.
  • For a public event, confirm who controls the land, building, parking areas and access roads.
  • Check surface condition, shade, toilets, drinking water, shelter, drop-off points and accessible access.

The Foundation describes the Run as non-competitive. Participants choose a comfortable distance and may walk, run or wheel at their own pace. School events can also use activities such as riding, skating or paddling when the venue and current organizer guidance permit them.

Plan safety and permissions locally

Organizers are responsible for a safe route and a properly staffed site. The Foundation’s general guidance does not establish a single permit, insurance, safeguarding, road-closure or first-aid checklist for every jurisdiction. Confirm requirements with the venue, municipal or regional authorities, school administration, employer and the Foundation. Obtain written permission where your venue requires it, and keep copies with the event lead.

  • Walk or roll the complete route before announcing it.
  • Mark crossings, narrow sections, steep slopes, vehicle interactions and places where participants could become separated.
  • Provide a shorter option and a clear return point for people who cannot complete the full route.
  • Plan what happens in heat, heavy rain, lightning, poor air quality or unsafe surface conditions.
  • Set a check-in method for children, volunteers and participants who need assistance.

Build a committee with named owners

One organizer should not be the only person who knows the plan. The Foundation’s organizer-resource hub includes committee templates, job descriptions, organizational-chart resources, Run Day action plans and after-event materials. Adapt those roles to your event size and give each lead a written deadline.

For a school, include an administrator, teacher or safeguarding lead. For a workplace, involve HR or the employee-engagement contact early, particularly if the employer may match gifts or use a workplace giving platform.

Recruit participants and volunteers

Invite the right audience

School invitations can include students, teachers, families and community groups when the event is open to the public. Workplace invitations can explain whether colleagues are joining a local Run as a team or attending a workplace-created fundraiser. State the date, meeting point, participation choices, approximate distance, accessibility information and how to donate.

Do not describe participation as a race. Emphasize that people may walk, run or wheel at their own pace. The Canadian Run takes place rain or shine, according to the Foundation’s FAQ; still publish the weather and emergency plan that applies to your specific site.

Recruit enough people for the route

  • Place a trained or fully briefed volunteer at every significant crossing or decision point.
  • Assign a lead to the front and another to the back of any moving group.
  • Staff registration, donation questions, first response and lost-participant procedures separately where attendance warrants it.
  • Schedule setup and cleanup crews rather than expecting route marshals to do every job.
  • Give every volunteer the event map, meeting time, escalation contact and instructions for stopping activity.

Set up fundraising that works online and offline

Online fundraising

Online registration creates fundraising pages. A workplace team receives a team fundraising page, and a school can communicate its fundraising goal through the school event process. Share the page in class or staff announcements, email signatures, internal channels and event reminders.

Pledge sheets and offline gifts

The Foundation FAQ describes pledge sheets for cash and cheques. Decide in advance who may accept money, where it is stored, when two people count it, and how each amount is recorded. Keep donor names and totals legible, separate event expenses from donations, and follow the Foundation’s current instructions for submitting funds.

Workplace giving and matching

Ask HR whether the employer offers gift matching. Check whether the employer uses Benevity, YourCause or CanadaHelps, and explain any documentation employees need to claim a match. Matching rules, deadlines and eligible gifts belong to the employer or platform, not to the Run organizer, so confirm them before promising a matched total.

Cashless tools and event-specific codes

Organizer resources identify the cashless Pllenty system and custom Run QR codes as options. Ask the Foundation which tools, account setup and current fees or restrictions apply to your event. Test every QR code and payment flow from a phone before Run Day, and keep an offline donation option for participants who cannot use a mobile device.

Entry fees and minimums

For the 2026 Canadian Run, the Foundation states that there is no entry fee and no minimum fundraising amount. It encourages registrants to fundraise or donate. That statement is specific to the 2026 Canadian event; a school, workplace or future-year event should follow the current instructions provided for that format.

Promote with official materials

The Foundation provides promotional materials, social graphics, media resources and customizable team resources. Use the assets that match your location and year, and replace outdated dates or meeting points before publishing.

A practical promotion schedule

  1. Launch: announce the purpose, format, date, venue, participation options and registration or donation link.
  2. Recruit: explain the route length, accessibility, volunteer needs and whether families or community members may attend.
  3. Remind: send the arrival time, parking or transit information, weather approach, what to bring and the fundraising deadline.
  4. Final check: confirm any route change, cancellation decision or venue instruction through the same channels used for registration.

The Foundation displays figures of 3,000,000 annual participants, more than 30 countries worldwide and $950 million raised for cancer research to date; the visible pages do not state a year for those figures. Its participant page also says the event has taken place in more than 650 communities, without a publication year. If you use these figures in a poster or speech, preserve those qualifications rather than attaching a new year.

“There can be no reason for me to stop. No matter what pain I suffer, it is nothing compared to the pain of those who have cancer, of those who endure treatment.”

— Terry Fox, as attributed on the Foundation’s participant page

Prepare the site and run the event safely

Before participants arrive

  • Inspect the route and confirm that signs, cones, accessibility adjustments and volunteer posts are in place.
  • Set up check-in, donation, information, water, first-response and merchandise areas so they do not obstruct movement.
  • Brief every volunteer on the route, communication method, weather plan, participant support and escalation procedure.
  • Secure cash, cheques, devices, pledge sheets and merchandise inventory.
  • Confirm that the event lead can reach the venue, Foundation contact and emergency services.

During the Run

Keep the event non-competitive. Let each person choose a comfortable distance and pace, and direct anyone who needs a shorter route or rest area to the appropriate volunteer. Monitor crossings and changing conditions rather than relying only on pre-event inspection. If a condition makes the route unsafe, pause or end activity under the plan agreed with the venue and authorities.

After the last participant

  1. Account for participants and volunteers, then confirm that no one remains on the route or at a remote activity station.
  2. Remove signs, cones and temporary equipment without leaving hazards or waste.
  3. Count cash and cheques with the assigned fundraisers, record totals and secure the paperwork.
  4. Count merchandise, note sales or donations and separate remaining stock.
  5. Report incidents, unresolved donations or missing items to the event lead and Foundation contact.

Close out donations and document the event

Use the Foundation’s after-event resources and follow the submission instructions supplied for your event. Reconcile the online total, pledge sheets, cash, cheques, workplace gifts and any employer-match paperwork. Keep a simple ledger showing date, source, amount, person responsible and hand-off confirmation.

Send participants a thank-you message with the final amount only after the figures have been checked. Record what worked, route issues, accessibility feedback, volunteer gaps and weather decisions while they are fresh. That file will make the next school year or workplace campaign easier without treating an old date, policy or payment method as current.

Quick decision checklist

  • Have you selected school, workplace team, workplace fundraiser or community Run?
  • Have you used the matching Foundation registration or contact path?
  • Have you confirmed the date, venue, route and local permissions?
  • Is the route safe, accessible, non-competitive and staffed?
  • Are registration, fundraising, pledge sheets, QR codes and matching instructions clear?
  • Have you assigned promotion, volunteer, route, donation and merchandise owners?
  • Do participants know they may walk, run or wheel, and what happens in bad weather?
  • Do you have a Run Day action plan and an after-event reconciliation plan?
