A community screening is legal only when the film’s public-performance rights, venue requirements and local rules are cleared for your exact event. A personal streaming account or purchased disc is not automatically enough, even when admission is free. Start at least one month ahead: secure written permission, audit accessibility, test the complete playback chain in the room, and build a moderated discussion around the film’s purpose.
1. Define what the screening should achieve
Write a one-sentence outcome before booking anything. A local club may want to connect young athletes with mentors; a school may want a structured lesson; a charity may want donations; fans may want a shared cultural event; a filmmaker may want community feedback; and a post-film conversation may be the main objective. The outcome determines your guests, room layout, safeguarding plan, publicity and follow-up.
Choose the audience
- Club or league members: plan for team groups, a coach or athlete speaker and an informal discussion after the credits.
- Schools or youth groups: confirm age guidance, safeguarding responsibilities, teacher supervision and a discussion format suitable for the students.
- Fundraising audiences: state whether donations are optional or expected, who receives them and whether refreshments are included.
- General sports audiences: provide context in the introduction so people who do not follow the sport can engage with the film.
Set a realistic capacity
Capacity is not just the number of chairs that fit. You must leave clear routes, wheelchair spaces with companion seating, safe exits, a suitable sightline from every reserved space and room for a microphone or panel. Ask the venue for its permitted occupancy and emergency plan before publishing a capacity or selling tickets.
2. Clear the film for public exhibition
Watching a film at home and showing it to a group are different uses. GOV.UK states, “You need permission if you want to show a film or TV show in public.” The Independent Cinema Office similarly explains that any screening for a group requires licensing, whether the audience pays or not. A free community event therefore normally still needs written public-screening permission.

- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Who can grant permission?
Contact the filmmaker, production company, distributor or another authorized licensor. Do not assume that the person who supplied a screener controls every right. Ask who can authorize a public performance in your territory and keep the answer with your event records.
Request terms in writing
- Identify the exact film, edition, runtime and language version.
- Give the proposed date, start time, venue, city and country.
- Describe the audience, expected headcount and whether children or school groups will attend.
- State whether admission is free, ticketed, donation-based or bundled with food or another activity.
- Ask what delivery is authorized: disc, downloadable file, streaming link or DCP.
- Confirm whether you may use the title, stills, trailer, synopsis and artwork in promotion.
- Ask whether recording the film, audience, Q&A or live stream is prohibited or requires a separate agreement.
- Confirm whether the filmmaker or other guests may attend, and who covers travel or appearance arrangements.
- Record any age-rating, classification, territory, date-window or security requirements.
- Obtain a named contact and retain the permission email, invoice or licence document at the venue.
Do not advertise a confirmed guest, promise a particular format or publish the film title until the rights holder has approved those details. A licence for one date and venue does not automatically cover a second showing, an online broadcast, a recording or a school tour.
Free does not mean automatically exempt
Some jurisdictions have narrow exemptions or community schemes, but they do not create a universal rule. UK guidance describes a not-for-profit community-film exemption when stated conditions are met, including an audience of no more than 500 and a screening between 08:00 and 23:00. Check the current conditions with the relevant local authority and rights body; an event can still need other permissions even when it fits an exemption.
3. Check premises and local requirements separately
Copyright permission and premises licensing are different checks. Ask the venue and local authority what applies to your location, activity and audience. Confirm the answers in writing where possible.

| Check | Questions to resolve |
|---|---|
| Venue use | Is the room approved for public gatherings, and is your booking long enough for load-in, testing, screening, discussion and clearing? |
| Insurance | Does the venue require public-liability cover, and does your policy include volunteers, guests and equipment? |
| Fire and capacity | What is the legal capacity, where are exits, and who gives the emergency briefing? |
| Food and alcohol | Do refreshments require separate permission, food-safety controls or an alcohol licence? |
| Music | Will recorded music play before, during or after the film, and does that use require a separate music licence? |
| Classification and age guidance | Does your jurisdiction require classification, notification or advance submission for a public screening? |
| Fundraising | Are donations, raffles or charity collections regulated, and who is accountable for the money? |
Alberta’s current guidance, for example, advises contacting classification staff three to five weeks before a community screening. That lead time is jurisdiction-specific, but it illustrates why a last-minute booking can fail even when the filmmaker has approved the event.
4. Work to a one-month planning timeline
American Documentary’s event-planning guidance recommends starting at least one month before the screening so there is time for film delivery and promotion. Use that as a practical baseline; add more time if classification, school safeguarding, fundraising approvals or an overseas rights holder is involved.
Four or more weeks out
- Define the audience, outcome, date range and approximate capacity.
- Request written screening terms and identify any classification or reporting deadline.
- Shortlist venues and inspect access, sound, sightlines, toilets, transport and parking.
- Invite a moderator and potential speakers, making clear that attendance is not confirmed until they accept.
- Reserve enough time for setup, a full technical test, the screening and the discussion.
Two to three weeks out
- Confirm the licence, delivery method, guest list, running time and ticket or donation policy.
- Publish only approved title art, synopsis, trailer and guest information.
- Arrange volunteers, captioning or interpreting, hearing assistance and a quiet space if needed.
- Check local classification, insurance, food, alcohol and music requirements.
- Send the venue a written schedule and technical specification.
One week out
- Receive and verify the authorized film file, disc or DCP.
- Run the actual playback chain in the actual room, including subtitles and microphones.
- Confirm transport, parking, access instructions and emergency contacts with attendees and guests.
- Prepare a printed rights copy, contact list, seating plan, volunteer briefing and backup playback path.
Event day
Arrive early enough to repeat the critical checks, not merely to turn on the projector. Keep the screening permission, venue contact, technical checklist and emergency information at the welcome desk.
5. Select and audit the venue
A cinema is not automatically the best choice. A hall or library may be easier for a local club to reach and may provide a better discussion layout, but it may need more equipment and technical work.

| Venue type | Advantages | Questions and risks |
|---|---|---|
| Fixed cinema | Purpose-built projection, controlled light, strong sound and established audience seating. | Less flexibility for a panel, higher hire constraints and possible limits on food, recording or room access. |
| Community hall | Flexible seating, informal atmosphere and space for tables, activities or refreshments. | You may need a projector, screen, speakers, blackout measures and a technician; echo and ambient light can reduce clarity. |
| Library or cultural venue | Trusted community location, public transport access and a natural partner for discussion or outreach. | Check opening hours, noise limits, evening staffing, capacity and whether the playback system accepts the licensed format. |
Use an accessibility walk-through
Inspect the route from pavement or parking to the entrance, seating, toilets and discussion area. Confirm step-free access, door widths, lift availability, accessible toilets, wheelchair spaces with companion seats, unobstructed sightlines, lighting controls and a quiet area. Ask disabled attendees what would help rather than treating a ramp as the whole solution.
- Mobility: reserve spaces without forcing wheelchair users to transfer, and keep routes free of cables and chairs.
- Sight: make sure captions, the screen and speakers or panelists can be seen from accessible seats.
- Hearing: ask about hearing loops or other assistance, use a microphone for every speaker and repeat audience questions into it.
- Neurodivergence and sensory needs: provide content information, predictable timing, lower-stimulation seating and an exit route.
- Transport: publish public-transport options, accessible parking information and the distance from drop-off points.
- Participation: ensure the Q&A microphone can reach seated attendees or provide a roving microphone and written question option.
6. Build a programme that serves the film
A useful running order gives people context without competing with the documentary. A typical plan is:
- Welcome, access information and content guidance.
- A short introduction explaining why the community is gathering.
- The film, with captions or subtitles enabled as authorized.
- A moderated Q&A or panel.
- Clear next steps: a club activity, resource list, donation information or future meeting.
Choose discussion guests by relevance
A coach, athlete, journalist, filmmaker, researcher or community leader can work well when that person’s role connects directly to the film. Agree the format, speaking order, time limit, sensitive topics and compensation or travel arrangements in advance. If the filmmaker cannot attend, do not imply that they will answer questions; invite questions for a later written response only if the rights holder agrees.
Prepare the moderator
- Write three opening questions tied to the film’s central choices, evidence or people.
- Prepare a short explanation of how audience members can submit questions anonymously or in writing.
- Set ground rules against personal attacks, discriminatory comments and revealing sensitive information about participants.
- Plan how to handle allegations, safeguarding disclosures, political disagreement or a question outside the guest’s expertise.
- End with a specific action or resource rather than an unstructured sign-off.
7. Match delivery and equipment to the licensed format
Use only the delivery method authorized by the licensor. A file, disc and DCP are not interchangeable from a rights or technical perspective.

| Delivery | Strengths | Checks before booking |
|---|---|---|
| Authorized downloadable file | Fast setup and easy backup if the file is supplied in a compatible format. | Confirm download deadline, device restrictions, offline playback, file resolution, subtitles and whether copying to a backup drive is permitted. |
| DVD or Blu-ray screener | Simple for a compatible player and useful when the licensor supplies a physical copy. | Verify region, disc condition, player compatibility, menu language, subtitles and whether the disc is permitted for public exhibition. |
| DCP | Designed for cinema playback and usually suited to a fixed cinema’s system. | Confirm ingest deadline, key or access requirements, aspect ratio, audio layout and a technician who can validate the package. |
Minimum hall setup
- Projector bright enough for the screen size and the room’s ambient light.
- Screen or suitable projection surface with correct aspect ratio.
- Playback device authorized for the supplied format.
- Speakers positioned for even coverage, with a mixer or volume control if needed.
- Microphone for the moderator and every panelist, plus spare batteries or a wired fallback.
- Correct cables, adapters, power distribution and cable covers.
- Backup playback path that the licence permits, such as a second approved device or duplicate disc.
A portable projector is the most direct purchase when a temporary venue lacks projection. A DVD or Blu-ray player is a secondary need when the licensor supplies a physical screener. Do not buy equipment until you know the film’s authorized format and the venue’s inputs.
8. Test the complete playback chain
- Use the exact file, disc or DCP that will be screened, not a different trailer or sample.
- Connect the planned playback device, projector, screen, speakers and microphone in the actual room.
- Check resolution, aspect ratio, focus, brightness, black levels and visible subtitles from the back row.
- Listen from the back, side and accessible seating positions; speech must remain intelligible without distortion.
- Play a section with captions or subtitles and confirm that text is not cropped or hidden.
- Test pause, resume, menu navigation and any access key or internet requirement.
- Run the microphone while the film audio is playing to identify feedback and confirm that the moderator can be heard.
- Secure cables, label controls and document the correct startup and shutdown sequence.
- Run the backup path for long enough to prove that it works, then keep it ready without making unauthorized copies.
Ask someone who has not operated the system to follow the written instructions. That exposes unclear steps before the audience arrives.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.9. Promote accurately and lawfully
Use only title art, stills, trailers and synopsis text that the rights holder or licensor permits. Promotion should state the date, venue, access information, age guidance, runtime, transport options, ticket or donation policy and whether guests are confirmed.
Build a partner network
Clubs, schools, libraries, leagues and local media can reach the right audience, but partnership is not endorsement. Obtain written permission before using a sports body’s logo or implying that the filmmaker, team or league supports your event.

Set expectations
- Say whether the event is seated, timed-entry or capacity-limited.
- Explain captioning, interpretation, quiet-space and wheelchair arrangements.
- State whether photography or recording will occur.
- Tell attendees when the Q&A begins and how to submit questions.
- Update every listing promptly if a guest, venue, runtime or delivery format changes.
10. Brief staff, volunteers and guests
Assign one person for each critical responsibility: access welcome, admissions, technical operation, guest care, safeguarding and emergency liaison. Give everyone the same schedule and escalation contacts.
- Review accessible routes, reserved seating and how to offer help without moving someone’s mobility equipment.
- Explain admission, donation handling, late arrivals and capacity counting.
- Identify who responds to a medical issue, fire alarm, lost child or safeguarding concern.
- Tell volunteers not to photograph, record or livestream without the required consent and licence.
- Give speakers the microphone, timing signals, content boundaries and the name of the person who can pause the discussion.
11. Run the event with a clear sequence
- Open the access route and check toilets, lighting, seating, exits and quiet space.
- Place the rights copy, venue contact, running order and technical checklist at the desk.
- Complete the full technical test before doors open.
- Welcome attendees with access information, content guidance, emergency exits and the Q&A format.
- Start on time, monitor the room and keep a volunteer available for late arrivals without blocking sightlines.
- After the film, bring up the moderator and test every microphone again.
- End the discussion with agreed resources or next steps, then explain how attendees can give feedback.
- Shut down equipment, secure the licensed material, check the room and record any incident or technical failure while details are fresh.
12. Manage recording, photography and privacy
Recording the audience or Q&A creates a separate consent and rights question. Tell attendees before they enter if photography or recording is planned, provide a non-camera area where feasible and obtain specific consent from speakers. Do not record the film itself, capture it in a livestream or upload clips unless the rights agreement expressly permits that use.
13. Troubleshoot the common failures
| Symptom | Likely cause | Action |
|---|---|---|
| No picture | Wrong input, loose cable, unsupported resolution or locked file. | Switch to the documented input, reseat connections, use the authorized device and contact the licensor rather than converting or copying the film. |
| Picture is cropped | Incorrect aspect-ratio setting or projector zoom. | Restore the film’s intended aspect ratio and test from accessible seats. |
| Dialogue is unclear | Room echo, poor speaker placement or excessive volume. | Reduce reflections, reposition speakers, adjust equalization and retest from the back. |
| Subtitles are missing | Wrong track, disc menu selection or incompatible player. | Select the authorized subtitle track, verify the delivery version and use the backup path. |
| Microphone feeds back | Microphone too close to a speaker or excessive gain. | Move the microphone, lower gain and keep the speaker facing away from the loudspeaker. |
| Guest cancels | Travel, illness or scheduling failure. | Use the pre-agreed substitute format, such as a local expert panel or moderated audience discussion, and update publicity honestly. |
14. Close the loop after the screening
Send attendees the resources, actions and contacts promised during the discussion. Share feedback with the filmmaker or licensor only in the way your agreement allows. Record attendance, accessibility requests, technical issues, questions that need follow-up and any rights or venue deadlines for a future event. If you plan another showing, treat it as a new date and confirm that the existing permission covers it.
