The most reliable way to keep personal information out of an AI tool is to remove it before you submit anything. Share only the minimum facts needed, replace names and account details with neutral labels, inspect files and images for visible identifiers and metadata, and keep any re-identification key outside the chat. Settings that disable model improvement, memory, or history can reduce later use or exposure, but they cannot undo the fact that a service received your original prompt or upload.
Treat typed prompts, uploaded files, connected apps, browser tabs, and shared screens as separate data channels. Then check the exact account, product, region, retention policy, human-review terms, and administrator access that apply before sharing anything sensitive.
Start with data minimization, not a privacy toggle
A training opt-out is not a substitute for withholding unnecessary information. If a chatbot receives a client’s name, phone number, medical detail, password, or account identifier, the provider has processed that information even when a setting later excludes the conversation from model improvement. The strongest control operates at the moment of collection: do not send data the task does not require.
Use a minimum-necessary test
Before writing a prompt or attaching a file, ask three questions:

- What exact result do I need from the tool?
- Which facts are essential to produce that result?
- Can I provide a fictional, generalized, or redacted version instead?
For example, a request to rewrite a customer complaint usually needs the issue, timeline, and desired tone—not the customer’s name, email address, order number, street address, or payment details. A request to summarize a contract may need the relevant clauses and dates, but not every party’s direct contact information.
Replace identifiers with neutral labels
Use labels such as Client A, Employee B, Project North, or [account number]. Keep the mapping between a label and a real person in a separate, access-controlled document. Do not paste that lookup key into the same conversation later. Redaction lowers exposure; it does not guarantee anonymity, because combinations of dates, locations, job titles, rare events, or other details can still identify someone.
Remove secrets completely
Never paste passwords, one-time authentication codes, private encryption keys, recovery phrases, payment-card numbers, or full bank credentials into a consumer chatbot. If a technical task requires a token-shaped value, substitute a clearly fake value and explain its format. Rotate a credential immediately if it was sent accidentally.
Know what each privacy control does—and does not do
People often treat training, history, memory, deletion, and retention as one switch. They are different controls with different effects.

Read the product’s current terms for the account and region you are using. A setting can change by product edition, app version, workspace policy, or location.

A safe workflow before every AI submission
- Classify the material. Mark it as public, internal, confidential, personal, regulated, or secret. If you cannot classify it, treat it as confidential until your organization’s policy owner decides.
- Define the output. State the transformation you need—such as a summary, outline, formula, translation, or code explanation—without adding unrelated background.
- Strip direct identifiers. Remove names, email addresses, telephone numbers, home and workplace addresses, account and case numbers, exact birth dates, government identifiers, and embedded signatures.
- Generalize rare details. Change an exact date to a month or relative interval, replace a precise location with a region, and broaden an unusual job title or event when that precision is unnecessary.
- Inspect attachments. Search documents for comments, tracked changes, hidden sheets, revision history, headers, footers, QR codes, barcodes, and author fields. Check photographs and scans for faces, badges, screens, mail labels, GPS coordinates, and other metadata.
- Separate the lookup key. If you must reconnect the answer to a real record, keep the label-to-identity table in a system with its own access controls. Never upload it alongside the redacted material.
- Check indirect channels. Review connected drives, email or calendar integrations, browser-tab sharing, screen automation, plug-ins, and custom instructions. They can disclose more than the text you typed.
- Confirm the account. Verify whether you are signed into a personal account, an employer-managed workspace, or a school account. The protections, logging, and administrator access can differ.
- Set product controls. Review model-improvement, history, memory, personalization, and temporary-chat options before sending the material.
- Send the smallest useful version. Start with a short excerpt or synthetic example. Add detail only when the first answer shows that it is necessary.
- Clean up afterward. Delete the conversation or uploaded file if the product provides that option, and remove any saved memory separately. Deletion is an additional action, not a replacement for minimization.
ChatGPT: separate training, history, memory, and temporary chat
Disable model improvement for new conversations
In an individual ChatGPT account, open Settings > Data controls > Improve the model for everyone and switch the setting off. OpenAI’s Data Controls guidance says new conversations are then not used to train OpenAI models. The setting does not remove existing chats from your history or prevent the service from processing the conversation to provide the response.
Use Temporary Chat for a different history and memory behavior
Temporary Chat does not appear in chat history, does not create or update memories, and is not used to improve models. OpenAI says a Temporary Chat may nevertheless be retained for up to 30 days for safety purposes. That is a retention limit stated for this feature, not a promise of immediate deletion or confidentiality from every operational process.
Check personalization before starting
A personalized Temporary Chat may use existing memories, custom instructions, or plug-ins according to the account or workspace settings. If the conversation should not draw on those sources, turn personalization off before you begin and review connected tools. Also inspect and delete saved memories separately when appropriate; disabling model improvement does not clear them.

Turning off model improvement leaves saved chats in history. Delete individual conversations or account data through the available controls when that is your objective, while recognizing that safety, security, or legal retention can follow different rules.
Gemini Apps: Keep Activity, temporary chats, and shared context
Turn off Keep Activity when appropriate
Google’s Gemini Apps privacy guidance says that with Keep Activity off, future chats are not used to train models unless you send feedback. This setting still allows the service to retain chats for service and safety purposes for 72 hours. Temporary chats have the same 72-hour retention statement in the cited guidance.

Understand what can be saved when activity is on
With Keep Activity on, the service can save chats and shared files, images, videos, screens, audio, and some connected context. Google says activity may be used to improve services and may be reviewed by humans. Material selected for review may be retained for up to three years after it is disconnected from the account. These periods are service-specific statements and can change, so check the current privacy controls before relying on them.
Audit screen and browser sharing
Gemini’s Chrome and screen-automation features can process page content and URLs from tabs you choose to share, and screen automation can capture screenshots. Close unrelated tabs, share only the necessary window, and hide notifications, password managers, customer records, and private messages before starting. Google specifically advises users not to enter login or payment information into Gemini chats during screen automation.
Microsoft Copilot: personal accounts versus work and school accounts
Consumer Copilot
Microsoft’s consumer privacy-controls documentation describes controls for model-training opt-out, memory and personalization, and conversation-history deletion. The cited page says it covers an older app and directs users to updated guidance for the version available from August 18, 2026. Menus and eligibility can vary by location and product version, so verify the controls in the Copilot product you are actually using rather than following an old screenshot.
Microsoft’s consumer privacy FAQ explains that training use depends on eligibility, opt-out status, and location. Do not infer from a training choice that conversations are not processed, retained, or accessible through other product functions. The older-app guidance describes an 18-month conversation-history retention period; treat that as version-specific and confirm the current term.
Copilot Chat for work or school
When you sign in with an organizational account, Microsoft says Copilot Chat provides enterprise data protection and that prompts and responses are not used to train foundation models. That protection does not mean zero retention or private use from the organization. Prompts, Bing queries triggered by prompts, and responses are logged and can be accessed by an IT administrator through Microsoft search and audit tools.

Before using work or client information, check your employer’s approved-tool list, the account shown in the product, retention schedules, audit practices, and rules for regulated data. A personal account and a work account can have materially different protections.
Indirect disclosures are still disclosures
Uploads and document metadata
A PDF can contain hidden text, comments, revision history, embedded spreadsheets, author names, and document paths. Images can reveal faces, addresses, badges, whiteboards, screens, or GPS metadata. Export a clean copy, remove metadata with an approved local tool, and inspect the rendered pages before uploading. Cropping a visible name does not remove the same name from embedded metadata or OCR-readable layers.
Connected applications
An assistant connected to cloud storage, email, calendars, project systems, or plug-ins may retrieve information that never appears in your typed prompt. Review each connection’s scope, revoke integrations you no longer need, and avoid broad “search everything” permissions for a narrowly defined task.
Browser tabs and screens
Screen sharing can expose notifications, browser history, open documents, customer dashboards, and authentication prompts. Prepare a dedicated window, close unrelated tabs, disable pop-up notifications, and stop sharing as soon as the task ends.
Feedback and corrections
Some services treat feedback differently from ordinary chats. Gemini’s guidance specifically says chats with Keep Activity off are not used to train models unless the user sends feedback. Do not include personal details in a thumbs-up explanation or correction unless they are essential.

How to handle common high-risk scenarios
Rewriting a customer email
Replace the customer’s name, contact details, order number, and address with labels. Provide the complaint text with unnecessary signatures and tracking links removed. Ask for a tone and structure change, then reinsert the real details in your own system after reviewing the draft.
Summarizing a medical or human-resources record
Use only the fields required for the summary, remove direct identifiers and exact dates where they do not affect the analysis, and use an organization-approved account. If policy prohibits external processing, use a locally approved system or perform the summary without uploading the record.
Debugging code that contains secrets
Replace API keys, database passwords, internal hostnames, customer IDs, and production data with synthetic values. Test the redacted example locally, then share only the smallest reproducible error and relevant code path. Revoke any secret that has already been exposed.
Analyzing a spreadsheet
Copy only the necessary columns into a new file, convert names and identifiers to labels, remove hidden sheets and formulas that reveal other records, and inspect file properties before upload. Keep the original dataset in its controlled repository.
A decision framework for choosing whether to send data
- Public or synthetic data: Usually suitable for a consumer tool after checking ordinary account settings.
- Internal but non-personal data: Use the organization’s approved workspace and confirm retention and administrator access.
- Personal or confidential data: Redact first; if the task cannot work without the real values, obtain policy approval and use the specifically authorized product.
- Secrets or regulated records: Do not place them in a consumer chatbot. Use a controlled system designed for that data or complete the task without external processing.
Do not rank services by a single phrase such as “not used to train.” Compare model-improvement use, retention duration, human review, memory, connected-app and browser access, deletion behavior, account type, and administrator visibility together.
What regulators’ findings mean for users
In a May 6, 2026 release, the Office of the Privacy Commissioner of Canada reported that a joint investigation found concerns in ChatGPT’s initial development and deployment, including overcollection of personal information, inadequate consent and transparency, inaccuracies involving personal information, difficulties with access, correction, and deletion, and accountability issues. The release also described subsequent measures and a conditional resolution of the federal complaint under Canada’s Personal Information Protection and Electronic Documents Act; provincial regulators’ conclusions varied under their own laws.
The commissioner, Philippe Dufresne, said: “Appropriate safeguards are the cornerstone of responsible innovation.” The findings do not establish that all current ChatGPT use is unlawful, and they do not apply automatically to every AI service or jurisdiction. For individuals and organizations, the practical lesson is to minimize collection, use the correct account and controls, and maintain a clear process for access, correction, deletion, and incident response.
