Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteThe reliable way to host a documentary screening is to clear public-performance rights for the exact film and event before advertising, then complete the venue’s approval process and test the entire presentation in the actual room. A university or local film group can make the event engaging with a moderator and discussion plan, but “free,” “educational,” or “small audience” does not by itself remove copyright obligations.
This guide uses U.S.-oriented campus and licensing guidance. Copyright law, institutional approvals, venue rules, and licensing practices can differ elsewhere, so confirm the requirements with the rights holder and the actual university or venue.
Understand when a screening is public
Swank Motion Pictures defines a public performance as “A movie screening that takes place outside a private home setting.” Under that definition, a screening in a lecture hall, student center, library, community room, or rented cinema is public even when no admission is charged. A home-use purchase, rental, or stream does not by itself authorize that exhibition.
The question is not simply whether the organizer owns a copy. The permission must cover the selected documentary and the planned use: the date or period, venue, audience, and any admission, publicity, or other promotional activity. Keep written confirmation from the rights holder or authorized licensor and provide it to the institution if its event process requires proof.

Why “educational” is not a blanket exemption
Swank describes the U.S. face-to-face teaching exemption as a narrow exception. Its conditions include an accredited nonprofit college, a classroom or instructional setting, use as an essential part of required curriculum, enrolled students and an instructor as the audience, an instructor present and teaching, and a legally obtained copy. A public campus program, a film-club meeting open to the community, or a post-film discussion does not automatically satisfy those conditions.
If your event sits near the boundary between a required class and a public program, ask the university’s copyright or legal office for a determination. Do not rely on the event’s educational purpose alone.
Use this planning sequence
1. Choose the documentary and a tentative date
Start with the exact title, edition or cut, preferred date, expected audience, and whether admission will be charged. Those details determine which rights are needed and whether the venue can support the event. Ask the university or film group whether it already has a preferred venue, an approval workflow, or access to titles carrying public-performance rights.
MIT’s campus guidance identifies Kanopy for titles with public-performance rights and names Swank and Criterion Pictures as licensing providers. That is an example of one institution’s routes, not a guarantee that your documentary is represented or available through any of them. Check title availability directly.

Before committing to publicity, ask the venue and the university or sponsoring group for every required approval. Possible steps include room reservation, event registration, proof of screening rights, insurance or staffing requirements, and rules for admission or food service. A local film group may have fewer formal steps than a university, but it still needs a written venue agreement and a person responsible for rights and event logistics.

MIT publishes the following planning examples:
| Approval item | MIT example lead time | How to use the figure |
|---|---|---|
| Space reservation | 30 working days | Use only as a planning illustration; your venue may require a different deadline. |
| Event registration | 10 working days | Confirm the actual campus or group registration process. |
| License proof | 5 working days | Ask when written rights confirmation must reach the approving office. |
These intervals apply to MIT’s process, not to every campus. Build your schedule backward from the event date and leave time for a rights holder to answer questions or revise a quote.
3. Secure rights before you promote
Swank states that buying, renting, or streaming a movie does not itself authorize public exhibition. Tufts’ student-event guidance likewise advises obtaining public screening rights before advertising. Contact the rights holder or an authorized licensing service and describe the complete plan:
- the exact documentary and running time or edition, if relevant;
- the proposed date, start time, and venue;
- whether the audience is limited to students, open to the public, or a mixture;
- whether admission is free, ticketed, or included in another event;
- where and how you intend to promote the screening; and
- the playback or delivery format you need.
Request a written license or confirmation that clearly matches those details. Save the document with the event records and submit it through the institution’s approval workflow. If the date, room, admission policy, or publicity plan changes, ask whether the permission must be amended.
4. Compare licensing routes by fit, not by brand familiarity
MIT names several possible routes, but its guidance does not establish a universal best option. Compare each route on the same practical questions:
| Route identified in campus guidance | Questions to verify for your event |
|---|---|
| Kanopy | Is the selected documentary available with public-performance rights for your institution, and does the delivery method work in the venue? |
| Swank | Does the license cover the exact date, venue, audience, admission plan, and publicity you propose? |
| Criterion Pictures | Is the title represented, what format will be supplied, and what institutional deadlines and conditions apply? |
Also compare the quote, response time, technical format, cancellation or date-change terms, and any discussion guide or publicity material supplied for that title. Availability and terms are title-specific.

5. Build a realistic budget
Two university examples show why you should request a title-specific quote rather than assume a standard fee. Tufts Arts & Sciences student-event guidance reports $300–$950 per showing for popular titles from major distributors. MIT Division of Student Life reports $300–$1,000 as a general example when a rights holder grants the request. The pages do not state a year for either range, and neither figure is a market average or price guarantee.
| Published example | Amount | Qualification |
|---|---|---|
| Tufts Arts & Sciences student events | $300–$950 per showing | Popular titles from major distributors; year not stated on the cited page. |
| MIT Division of Student Life | $300–$1,000 | General example when a rights holder grants the request; year not stated on the cited page. |
Include other costs that apply to your plan: room or equipment charges, staffing, accessibility services supplied by the venue, printing, and refreshments. Ask the licensor whether the quoted amount is one-time, date-specific, or subject to a separate fee for repeat screenings. Do not treat either university’s range as a prediction for your documentary.
6. Select a venue that can support the audience
Compare candidate rooms on four practical dimensions:
- Availability and approvals: Can the room be reserved for setup, the screening, and cleanup within the required lead time?
- Capacity and access: Does seating match the expected audience, and can attendees reach the room comfortably?
- Included technology: What display, playback device, sound system, cables, adapters, and operator support are included?
- Audience suitability: Is the room appropriate for a focused screening and a discussion afterward?
Ask for the venue’s accessibility arrangements rather than assuming that a room’s standard setup meets your audience’s needs. Confirm entrances, seating, sightlines, sound, and any services that must be requested in advance.
7. Test the complete film and equipment
Do not test only a trailer or a short clip. Run the complete documentary on the same playback source, display, sound system, and connection path planned for the event, in the actual room whenever possible. This is the most reliable way to find problems with aspect ratio, subtitles, audio levels, file access, or adapters.

- Obtain the licensed delivery or approved copy and verify that it plays on the intended device.
- Connect the device to the venue display and sound system using the exact cables or adapters planned for event day.
- Play several minutes from the beginning, a middle section, and the ending; for a long documentary, schedule a full run-through if the venue permits.
- Check dialogue clarity, music levels, subtitles or captions supplied with the title, image framing, and visible controls or notifications.
- Confirm that the operator can pause, resume, and recover from a brief interruption without exposing an unlicensed source.
- Record a backup plan approved by the rights holder and venue, such as a second authorized playback device or a replacement cable.
If the venue cannot supply a suitable display, discuss rental or purchase options only after checking its inventory and testing compatibility. No particular projector model is established by the available guidance.
8. Design the audience experience
Set an arrival time that leaves room for check-in and seating before the scheduled start. Assign a host to welcome attendees and explain practical information, and appoint a moderator who can guide the post-screening conversation without turning it into an unstructured question period.
Prepare a small set of open questions tied to the documentary’s subject, evidence, historical or local context, and the choices made by its subjects or filmmakers. Questions should invite interpretation rather than test whether people remember facts. If the licensor or distributor supplies a discussion guide, confirm that it matches your exact title and license. Swank’s library program, for example, offers discussion guides and publicity materials for some customers and titles; availability is not universal.
9. Promote only what the license and venue allow
After rights and institutional approvals are in hand, make the public information match the approved plan. State the title, date, start time, venue, admission terms, and any age or content advisory required by your institution. Do not advertise a different room, add a second showing, or imply that a home stream is the source of public permission.
Coordinate the wording with the venue and rights contact when the license places limits on artwork, clips, logos, ticketing, or online promotion. If the event is free, say so accurately; free admission does not remove the need for public-performance permission.

10. Run an event-day checklist
- Open the room early enough to repeat the connection and sound check.
- Confirm the licensed copy is available offline or through the authorized delivery method, as permitted.
- Check seating, entrances, signage, lighting, temperature, and accessibility arrangements.
- Brief the host, moderator, projection operator, and any volunteers on start time and responsibilities.
- Welcome attendees, state the discussion format, and begin only when the room and playback are ready.
- Keep a staff member available to handle late arrivals, technical issues, or questions while the operator stays focused on playback.
- After the film, move deliberately into the prepared discussion and watch the clock if the room has a hard end time.
11. Close out the license and venue obligations
Review the license for limits on time, place, audience, copying, recording, and repeat use. Swank’s available guidance says licenses are for a designated timeframe. Do not assume that one approved showing permits another date, a livestream, a recording, or a second venue. Ask for written permission before adding any of those uses.
Complete the venue’s checkout, remove signs and equipment, return loaned media, and retain the license, invoice, approval records, and incident notes. A short internal debrief can document attendance, technical fixes, and moderator feedback for the next event without changing the rights granted for this one.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Common failure points and practical fixes
“We bought the DVD, so we are covered.”
That purchase generally supplies personal home-use permission, not public exhibition permission under the cited U.S. guidance. Contact the rights holder or authorized licensor for a license matching the event.
“It is on campus, so the teaching exception applies.”
A public or club screening usually lacks one or more conditions of the face-to-face teaching exemption, such as required curriculum, enrolled students only, or an instructor actively teaching. Ask the institution’s copyright office instead of making the assumption.
“The title is available on our streaming service.”
Streaming availability and public-performance rights are separate questions. Verify that the specific institutional access includes the right to show the documentary to your intended audience in the proposed venue.
“We can announce it while the license is pending.”
Tufts advises securing rights before advertising. Wait for written confirmation and required institutional approval, especially when the event will be ticketed or promoted beyond a private class.
“The room’s projector worked last semester.”
Equipment, cables, firmware, accounts, and room settings change. Test the complete film in the actual room and keep an approved backup plan for predictable failures.
“A discussion guide will solve the programming.”
A guide can help, but it must fit the selected documentary and audience. Assign a moderator, prepare questions specific to the film, and make the discussion length compatible with the venue’s closing time.
