How to Document Hurricane Damage for an Insurance Claim

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Document the property exactly as you find it, notify every potentially relevant insurer, and keep a traceable record of damage, temporary repairs, expenses and conversations. Photograph and video before moving or discarding anything, then use your policy and your state’s rules—not a generic internet deadline—to determine what must be submitted and when.

Start with safety, then preserve the scene

Do not enter a building that officials have declared unsafe, walk through standing water near electrical systems, or approach downed power lines. The claims process can wait until local emergency officials say the area is safe. If you cannot safely inspect the property, tell the insurer why and document what you can from a safe location.

Once access is safe, resist the urge to clean immediately. The National Association of Insurance Commissioners (NAIC) states: “Before removing any debris or belongings, document all losses.” Capture the original condition before you move furniture, throw away soaked materials or begin demolition. If an item must be moved for safety, photograph it in place first and note where it was located.

Preserve damaged items for the adjuster when practical. If an item presents a health hazard or cannot be stored, photograph it from several angles, record its make and model if visible, and explain in your notes why it was discarded.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

A practical documentation sequence

  1. Make a safe initial inspection. Note hazards, areas you could not enter and any emergency orders. Do not make permanent repairs during this first pass.
  2. Capture wide views. Photograph each room, exterior elevation, roof section, yard area and detached structure so the adjuster can see location and scale.
  3. Capture details. Take close images of broken windows, lifted shingles, water lines, damaged wiring, ruined flooring, contents and labels showing model or serial numbers.
  4. Record a walkthrough video. Move slowly, identify the room and explain what the camera is showing. Keep the original file as well as any compressed copy you upload.
  5. Create a room-by-room list. Assign each damaged item a short description and location, then add age, purchase information and value evidence when available.
  6. Notify each relevant insurer. Homeowners, renters, auto and flood coverage may involve different companies or policies. Request a claim number and the insurer’s document checklist.
  7. Take reasonable temporary measures. After the initial evidence is captured, stop additional damage with measures such as tarping a roof or removing standing water when safe. Photograph the work and save every receipt.
  8. Keep a continuing file. Add adjuster notes, estimates, invoices, submitted inventories and follow-up dates until the claim is closed.

How to photograph and video damage so it can be evaluated

Begin with context

Take a sequence rather than a single close-up. Start outside with the street address or another recognizable landmark, then show each side of the building. Inside, photograph the doorway and the entire room before moving closer. Context helps connect an isolated broken item to the insured property and shows how far damage extends.

Use detail shots for cause and extent

For each affected component, take one image that shows the whole object and additional images that show the failure. For example, photograph the full roof slope, then missing shingles, exposed underlayment and interior staining beneath it. Include measuring tape, a ruler or a common object only when it can be placed safely; never create a hazard to obtain scale.

Identify contents

Photograph labels, serial numbers, receipts, tags and distinctive features. For electronics and appliances, capture the model plate. For furniture, clothing and other contents without a label, use several angles and write a description immediately so the image can be matched to your inventory.

Preserve originals and organize copies

The reviewed consumer guidance does not establish a required camera, app, file-name convention or metadata standard. As a practical safeguard, keep unedited originals, make a backup in a separate location and organize copies by address, date and room. Do not rely on a single phone that could be lost or damaged. A water-resistant document pouch or organizer can keep a policy copy, identification and receipts accessible, but no particular product is required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Build an itemized contents inventory

Insurers generally need more than a total dollar estimate. List each damaged or missing item separately, even when several items are in the same room. NAIC guidance recommends recording available make or model information, age or purchase date and evidence of value.

Inventory field What to record Useful evidence
Location Room, closet, garage, vehicle or other area Wide photograph and image number
Description Item type, material, color, brand and distinctive features Close photograph, video or old household photo
Identification Make, model, serial number or size when available Label, manual, warranty or retailer record
Age Purchase date or a reasonable approximate year Receipt, card statement, email confirmation or memory
Value evidence Original price, replacement cost information or other support Receipt, retailer listing, appraisal or comparable documentation
Condition and damage What is broken, contaminated, missing or unsalvageable Detail photographs and mitigation notes
Disposition Saved for inspection, moved, cleaned or discarded and why Date, photograph and disposal explanation

If receipts and records were destroyed, reconstruct the list from memory, older photographs, email accounts, retailer listings and household budgets. Mark estimates as estimates; do not present a reconstructed date or value as an exact fact. Ask the adjuster how long you have to submit additions and whether the company has a preferred spreadsheet or form.

Report the loss and confirm the rules that apply

Contact the insurer promptly even if the full extent of damage is not yet known. Give the policyholder name, property address, contact details and a concise description of what happened. Ask for the claim or reference number, the adjuster’s contact information, the required forms and the inspection process.

There is no universal hurricane-claim reporting deadline. The applicable period can depend on the policy, the state, the type of loss and whether a separate program is involved. Ask the representative to state the reporting deadline and any proof-of-loss deadline in writing. Read the policy’s notice, cooperation, loss-settlement and appraisal provisions, and contact your state insurance department if the wording is unclear.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep a call log with the date and time, person spoken to, direct contact information, documents requested, documents sent and the next promised action. Save confirmation emails, upload receipts and letters. Send copies rather than irreplaceable originals unless the insurer specifically requires an original and provides a receipt.

Mitigate further damage without destroying evidence

After the initial photographs and video, take reasonable steps to prevent additional loss. Examples can include covering a roof opening, boarding a broken window, placing a tarp over exposed contents or arranging safe water extraction. Only do work you can perform safely; use emergency professionals when necessary.

Photograph the condition before, during and after temporary work when practical. Keep dated invoices, rental charges, receipts for materials and notes describing who performed the work. NAIC guidance indicates that temporary repairs may be reimbursable when the underlying loss is covered, but coverage is policy-specific. Ask the insurer whether it wants prior approval and whether a spending limit applies before committing to non-emergency work.

Do not authorize permanent reconstruction, dispose of widespread debris or sign an assignment of benefits before understanding the agreement and giving the adjuster a reasonable opportunity to inspect, unless safety or local orders require immediate action. Keep samples or damaged components when feasible.

Separate wind, flood and other causes of loss

A hurricane can produce wind, wind-driven rain, storm surge, inland flooding, sewer backup and power-related damage. The cause matters because different exclusions, deductibles and policies may apply. A standard homeowners or renters policy generally does not cover flood damage. Check the actual policy and determine whether an NFIP or private flood policy covers the property.

Situation Policy question to ask Documentation to emphasize
Wind or wind-driven damage What wind coverage, exclusions and hurricane or named-storm deductible apply? Roof and exterior sequence, interior entry points, contractor estimates and mitigation receipts
Floodwater or storm surge Is there a separate flood policy, and which flood-policy procedures apply? Water-line height, source and direction of water, photographs before removal and flood-policy forms
Vehicle damage Does the auto policy’s comprehensive coverage apply, and is the vehicle safe to inspect? All sides of the vehicle, interior, license plate, tow or storage receipts
Renter’s contents Does the renter’s policy cover personal property and additional living expenses? Contents inventory, receipts and lodging or displacement records

The Federal Emergency Management Agency’s National Flood Insurance Program (NFIP) has its own Standard Flood Insurance Policy and claims procedures. The NFIP Claims Manual, June 2025 edition, should not be treated as a source of general wind-claim deadlines. Follow the instructions for the actual flood policy and current FEMA communications.

Prepare for the adjuster’s inspection

Give the adjuster access to the documented areas and provide a copy of your photo index, video files, inventory and temporary-repair records. Point out damage that is no longer visible because it had to be stabilized, and explain when and why that work occurred.

Ask how the adjuster’s estimate handles items that cannot be repaired, matching materials, code-required upgrades, debris removal and temporary living expenses. Coverage decisions depend on policy language, exclusions, deductibles and the established cause of loss; an adjuster’s estimate is not automatically a guarantee that every listed cost will be paid.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Compare the estimate line by line with your inventory and photographs. If a room, component or item is missing, ask for the reason in writing and submit supporting evidence. A contractor’s estimate can help identify construction scope, but it does not by itself determine coverage.

Choose repair help carefully

Storm damage attracts urgent sales pitches. Do not sign documents you do not understand, especially agreements that transfer insurance benefits or give a contractor control of claim payments. NAIC advises checking references and obtaining more than one bid.

  • Verify the contractor’s identity, license or registration requirements and insurance under your state’s rules.
  • Request a written scope that separates emergency mitigation from permanent repairs.
  • Compare bids on materials, quantities, labor, permits and timelines, not just the total.
  • Keep copies of contracts, change orders, invoices and proof of payment.
  • Do not let a contractor promise that the insurer will approve a particular amount.

A public adjuster is another optional professional category. Licensing, fees and contract requirements vary by state. Check credentials, understand the fee calculation and read the agreement before hiring; no professional can guarantee a particular settlement.

Common documentation mistakes and fixes

Cleaning before photographing

Problem: The original extent and location of damage become difficult to prove. Fix: Stop, photograph what remains, write a chronology and explain any emergency disposal with photographs and receipts.

Submitting only a total estimate

Problem: The insurer cannot match a lump sum to individual belongings or building components. Fix: Use a separate inventory line for every item and attach the evidence available for each one.

Assuming one policy covers everything

Problem: Flood, auto and renters coverage may be separate, and deductibles can differ. Fix: Identify every relevant policy and ask each insurer which cause and expense categories it handles.

Waiting for a complete loss calculation before reporting

Problem: A policy or state rule may impose a notice period. Fix: Report promptly, state that the assessment is continuing and request the applicable deadlines in writing.

Relying on one device or account

Problem: A damaged phone, lost password or failed upload can erase evidence. Fix: Keep originals, make an independent backup and maintain a simple index.

Signing under pressure

Problem: You may accept obligations or transfer rights without understanding them. Fix: Request time to read the document, ask questions, check references and obtain another bid or professional advice when appropriate.
