Documentary festival FAQs: age ratings, subtitles, Q&As, refunds, and accessibility

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Documentary festivals do not share one standard rulebook. Age guidance, subtitle and caption formats, filmmaker Q&As, refund deadlines, and accessibility services can change by festival, venue, edition, and individual screening. Before paying, open the specific film or event listing and verify all five points, then contact the box office if anything is unclear.

What to check before booking

The word “documentary” tells you almost nothing about suitability, language access, or venue arrangements. Treat each screening as its own event. The film page, rather than a festival-wide homepage, is usually where the decisive information appears.

  • Age guidance: look for a rating code, an adults-only notice, or a children-and-youth designation.
  • Language access: confirm whether the screening uses English subtitles, open captions, closed captions, SDH subtitles, live transcription, or English dialogue without subtitles.
  • Q&A status: check whether a discussion follows the screening, whether it is included in the ticket, and whether it is available online.
  • Ticket conditions: note the refund, exchange, transfer, and cancellation deadline before checkout.
  • Accessibility: verify the route into the venue, seating, toilets, companion arrangements, assistive listening, audio description, sign-language interpretation, and captioning.
  • Request deadlines: some services require advance notice, especially ASL or other sign-language interpretation.

Save the confirmation email and the exact film-page wording. If an advertised accommodation is unavailable, that record helps the box office resolve the problem.

Age ratings and children’s admission

Festivals use different systems, and some films have no formal national rating at the time of screening. Never infer that a title is suitable for children simply because it is nonfiction.

  • TV, simplified: With setup that only takes minutes, a simple-to-navigate Home Screen, and an uncluttered remote control that does all you need—Roku makes it easier to watch the TV you love.

Festival-by-festival examples

  • Festival Film Dokumenter: every film carries its own rating code. The festival asks viewers to check that code before watching and says all films are available with English subtitles.
  • Open City Documentary Festival: all films and events are advised 18+.
  • Festival de Cannes: the event is reserved for adults because it is aimed at film professionals. Accompanied minors may be admitted by exemption. Because the films have not yet received age ratings, the accompanying adult is responsible for deciding whether a minor should watch.
  • Thessaloniki International Documentary Festival: official-selection films are intended for people over 18, with an exception for the NextGen children-and-youth program.

These examples show why a festival-wide assumption can fail. A child-friendly strand may sit beside adults-only titles, while a professional festival may handle minors through case-by-case permission. Ask the box office about accompanied-minor exceptions, identification requirements, and whether a specific film has content advice when the listing is silent.

How to make an age decision

  1. Read the film’s own rating code or age advice.
  2. Check whether the event is part of a youth or family program.
  3. Look for warnings about violence, sexual content, distressing themes, or strong language if the festival provides them.
  4. For an unclassified film, ask the accompanying adult, box office, or festival access team how admission is handled.
  5. Arrive with any required proof of age or proof of accompanying-adult status.

Subtitles, captions, and spoken language

“Subtitled” and “captioned” are not interchangeable. Subtitles normally translate dialogue for viewers who do not understand the spoken language. Captions also identify relevant sound, such as music, alarms, off-screen speech, or who is speaking, and are generally the better term when you need hearing access. Open captions are visible to everyone; closed captions require a screen, device, or selectable setting.

What published festival policies say

Festival Published language or caption policy
Festival Film Dokumenter All films are available in English subtitles; each film still has its own listing and rating code.
CPH:DOX Films have English subtitles and/or English dialogue without subtitles. The festival encourages English subtitles even when English is the primary language to improve access for people with hearing impairments.
Open City Documentary Festival Foreign-language films have subtitles, and all film Q&As are subtitled.
San Francisco Jewish Film Festival (SFJFF) Films screen in their original language; non-English films use English subtitles. The program identifies screenings with live transcription and closed captions.
FOFS All in-person film and video content has open English captions. Selected digital programs include ASL interpretation and closed captioning, including digital filmmaker Q&As.

“All films” language is useful but does not remove the need to inspect the individual event. A festival may have separate in-person and digital versions, a special presentation with different equipment, or a venue whose projection setup changes what is available. English dialogue without subtitles may work for language comprehension but may not provide the sound information delivered by captions.

  • Say goodbye to batteries: Keep your remote powered for months on a single charge.

Questions to ask when the listing is vague

  • Are the captions open on the main screen or available through a personal device?
  • Do captions include sound effects and speaker identification, or are they translation subtitles only?
  • Are introductions, trailers, and the post-film discussion captioned as well as the feature?
  • Does the digital rental include captions throughout the rental window?
  • Will the caption format be the same at every venue screening?

Filmmaker Q&As and what your ticket includes

A Q&A may be part of the admission, a separate event, a bonus video, or absent altogether. Read the event description rather than assuming a premiere includes a discussion.

In-person screenings

DOC NYC says most in-person screenings have a Q&A immediately after the film. The film ticket admits the holder to that discussion; viewers should remain in their seats after the end credits. This is a practical instruction: leaving the auditorium can mean losing your place or missing the session.

Open City Documentary Festival offers filmmaker Q&As where possible. Its online rentals can include a Q&A as bonus content for ticket holders, so the digital version may provide a recorded discussion even when no live event is scheduled.

  • Shows on the go: Take your TV to-go when traveling—without needing to log into someone else’s device.

Online programs

DOC NYC states that online screenings do not include live or pre-recorded Q&As. That policy differs from Open City’s bonus-content approach, showing why a ticket page matters more than a general festival reputation.

Language and interpretation

CPH:DOX holds Q&As with non-Danish filmmakers in English. Open City says its film Q&As are subtitled. If you need captions, interpretation, or a particular spoken language, verify that the service applies to the discussion as well as the film.

Refunds, exchanges, cancellations, and late arrival

Refund rights are local policy questions. The same kind of ticket can be refundable at one festival and final at another, and accessibility-related remedies may be broader than ordinary cancellation rules.

Festival Refund or exchange rule
CPH:DOX Refund requests must be submitted at least one hour before the screening; tickets are not refunded after the screening has started.
FOFS Purchased tickets cannot be cancelled, refunded, or exchanged.
SFJFF If accessibility needs are not met for a screening, tickets may be refunded or exchanged on request.
AFI FEST Patrons with disabilities who bought tickets before accessibility information was posted are entitled to a full refund if accessibility concerns arise. The festival asks for ASL requests at least 14 days before the festival where possible.
Tribeca It promises a full refund on the same type of accessibility circumstance: a disabled patron purchased before accessibility information was posted and later encounters an accessibility concern.

These rules do not establish a universal right to a refund for a missed show, late arrival, or change of plans. If the problem involves access, a schedule change, or a duplicate booking, contact the festival before showtime and quote the order number. For a late arrival, ask the venue whether entry is delayed until a suitable point; do not assume that arriving after the start preserves refund eligibility.

How to protect a refund request

  1. Record the screening date, start time, venue, order number, and the exact problem.
  2. Contact the box office before the published deadline, preferably through the channel named in the confirmation.
  3. Explain whether you want a refund, an exchange, or a transfer to another screening.
  4. If an accommodation failed, name the promised service—such as captions, step-free access, or interpretation—and ask for the accessibility remedy.
  5. Keep the reply and any accessibility evidence until the transaction is resolved.

Accessibility planning checklist

Accessibility is more than a wheelchair route. A screening can be physically accessible while the film, introduction, or Q&A lacks the communication support a viewer needs. Check each part of the visit.

Communication access

  • Open or closed captions, including whether English-language films are captioned.
  • Live transcription for introductions, announcements, and Q&As.
  • ASL or another sign-language interpretation, with the request deadline.
  • Audio description for viewers who are blind or have low vision.
  • SDH subtitles, which combine dialogue translation with sound information.
  • Assistive-listening or amplification devices and the collection point for them.

SFJFF lists ASL interpretation on request, live transcription at named screenings, and closed-captioned films. Thessaloniki lists accessible screenings with audio description and SDH subtitles. AFI FEST lists assistive listening and amplification, personal captioning devices in limited supply, companion access, and staff support. Availability is screening-specific, so match the service to the exact date and venue.

  • The Google TV Streamer (4K) delivers your favorite entertainment quickly, easily, and personalized to you[1,2]
  • HDMI 2.1 cable required (sold separately)
  • See movies and TV shows from all your services right from your home screen[2]; and find new things to watch with tailored recommendations for everyone in your home based on their interests and viewing habits

  • Up to 4K HDR with Dolby Vision delivers captivating, true-to-life detail[4]; and you can connect speakers that support Dolby Atmos for more immersive 3D sound

Physical and seating access

  • Step-free travel from the entrance to the auditorium and accessible toilets.
  • Wheelchair spaces, companion seats, and whether those places can be booked online.
  • Seat width, aisle access, and permission to remain in a mobility device.
  • Staff assistance at check-in, bag storage, and evacuation procedures.
  • Venue rules for service animals and other mobility equipment.

Ask whether a companion ticket is free, discounted, or simply reserved beside the accessible place. “Accessible venue” is not a guarantee that every screening room, restroom, or seat configuration meets your needs.

Request timing

Make requests as soon as you know your schedule. AFI FEST asks for ASL requests no less than 14 days before the festival where possible. Other services may have different lead times or limited device supplies. If a request is unanswered, call rather than waiting until the day of the screening.

How to compare two festivals

When choosing between programs, compare the same practical fields instead of relying on a festival’s general accessibility statement.

Comparison field What to record
Age classification Film-level code, adults-only advice, accompanied-minor exception, or youth-program eligibility.
Subtitle or caption format Translation subtitles, open captions, closed captions, SDH, live transcription, and whether the Q&A is covered.
Q&A inclusion Included with the film ticket, separate ticket, bonus recording, or no Q&A for online viewing.
Refund deadline Exact cutoff, such as one hour before the start, plus any accessibility exception.
Transfer and exchange rules Whether a ticket can be moved to another screening or transferred to another person.
Accessibility equipment Audio description, assistive listening, amplification, personal captioning devices, and staff support.
Companion policy Seat availability, pricing, and booking method for a companion.
Request lead time Deadline for ASL, live transcription, audio description, or other arranged services.

Policies can change by edition, venue, and screening. Keep this comparison beside the booking confirmation so a last-minute venue change does not catch you unprepared.

A practical booking and show-day workflow

  1. Choose the exact event: distinguish the in-person screening, livestream, rental, premiere, and repeat showing.
  2. Read the full listing: capture age guidance, spoken language, subtitle or caption format, Q&A details, venue, and accessibility notes.
  3. Arrange services: submit interpretation, transcription, seating, or equipment requests before the stated deadline.
  4. Buy with the refund rule visible: note the cutoff in your calendar and save the confirmation.
  5. Recheck before travel: festivals may update venue, timing, or access information after initial ticket sales.
  6. Arrive early: allow time for accessible entry, device collection, seating, and age checks.
  7. Stay for the advertised discussion: if the ticket includes a Q&A, remain seated after the credits unless staff direct you elsewhere.
  8. Report a failure promptly: if the promised accommodation is missing, contact the box office before or immediately after the event and request the remedy allowed by that festival.

When the information is missing

Do not substitute assumptions for a blank listing. Ask a concise set of questions: “What is the age guidance for this title? Are captions or subtitles provided, and in what format? Is the Q&A included and captioned? What is the refund deadline? Can you confirm step-free seating and a companion place?” Request a written reply when the answer affects a purchase.

If staff cannot confirm an essential requirement, choose another screening with explicit information or postpone booking. A clear listing is more useful than a broad promise that a festival is accessible or that documentaries are suitable for everyone.
