How to Use Video for Employee Training

Use video for employee training when a demonstration clarifies the task. Pair it with practice, accessible alternatives, and a measure of job performance.

Use video for employee training when seeing a task, process, or scenario helps people understand what to do. Start with the job outcome, make the relevant action easy to follow, and pair viewing with practice and feedback. A completed view is not proof that someone can perform the task.

Decide whether video fits the training goal

Begin by defining the behavior or work task employees should be able to perform. Then ask whether moving images or a demonstration add something a checklist, job aid, coached practice, live demonstration, or text cannot provide as well.

  • Use a narrated demonstration or software walkthrough to show a sequence of actions.
  • Use a scenario to explore judgment, choices, or responses to a situation.
  • Use an expert demonstration when the technique itself is visible and important.
  • Use a short reference clip when employees need to revisit a step on the job.

Video is a delivery method, not a complete learning strategy. The European Training Foundation’s 2019 overview covers video-based teaching in vocational, professional-development, and corporate-training contexts, but does not establish that video universally outperforms other instruction: Video pedagogy for vocational education and training.

Design the video around a task

Make the action easy to follow

Organize each video around one coherent task or decision. Keep the relevant action visible, use narration to explain what is happening, and avoid competing visual or verbal detail. For software training, Hans van der Meij and Jan van der Meij’s 2013 research record describes design guidelines based on how people process visual and verbal information: Eight guidelines for the design of instructional videos for software training.

Choose a useful length without chasing a magic number

There is no universal ideal runtime established by the evidence here. Divide material according to the task and learning objective, not an arbitrary minute target. Where the player allows it, make pausing and replay straightforward. In its specific context of AI training, UK government research recommends modular units, flexible pacing, and follow-up; those findings are design examples, not proof of a universal video effect: What works for AI upskilling in the UK.

Turn viewing into learning and measure the result

  1. Prompt active thinking. Ask learners to predict the next step, spot an error, try a procedure, or explain a decision rather than only watch.
  2. Provide practice and feedback. Give employees an opportunity to apply the skill and correct misunderstandings. For safety-critical or regulated work, pair video with qualified instruction, supervised practice, local procedures, and current requirements.
  3. Offer a way to revisit key information. A follow-up reference or refresher can support tasks employees need to perform again. The UK AI-upskilling research specifically discusses follow-up check-ins and refreshers in that context.
  4. Assess the original work outcome. Choose a measure that fits the task, such as observed performance, error rates, decision quality, or later retention. Views and completion alone do not establish competence.

A 2013 study record by van der Meij and van der Meij reports three empirical studies comparing videos about Microsoft Word formatting options with a paper tutorial. The researchers reported more favorable motivation appraisals, higher immediate skill proficiency, and better retention after a one-week delay for video. The evidence is about software tutorial videos; it does not establish the same result for every industry or learning goal, and the record gives no cross-sector effect size.

Make training videos accessible

Plan accessibility during production. Section508.gov puts it plainly: “The best way to make content accessible is to plan for it from the beginning.” Its guidance is tied to applicable accessibility standards; requirements depend on the organization, jurisdiction, and platform.

  • Caption the audio. Provide synchronized captions that include meaningful non-speech sounds and identify speakers when needed. Review automated captions: they can contain transcription errors, omit speaker changes or meaningful sounds, and fall out of sync. See Section508.gov’s synchronized-media guidance.
  • Provide a transcript. Place an accessible text transcript near the video. A transcript is plain text without timing; captions are time-coded and synchronized. See Captions and Transcripts.
  • Explain important visual information. Include it in the narration or provide an audio-described version when learners need it to understand the content. Section508.gov describes audio description as narration of key visual elements.
  • Keep captions readable. Section508.gov says speech above approximately 180 words per minute may be too fast for captions. Treat this as a caption-readability planning marker, not a universal speaking-rate target. Its guidance recommends no more than two caption lines at a time and no more than 45 characters per line.
  • Keep the screen clear. Avoid placing important on-screen text where captions will obscure it, and avoid overlapping speech.
  • Check the player. Make sure controls can be operated by keyboard or voice, and avoid autoplay. The UK Home Office audio and video guidance recommends these practices, along with captions and transcripts.

Choose delivery that supports access and updates

When selecting a delivery method, check whether employees can find the video, use it on their devices, pause and replay it, and access captions, transcripts, audio description, and usable controls. Consider how often the process or interface changes: frequently updated material can create ongoing revision work. Also consider whether the delivery setup helps learners revisit content and lets you assess the target skill without mistaking views for learning.
