A webinar is an online presentation for an audience, usually led by one or more presenters to teach or inform. Attendees join over the internet to watch and listen, and may take part through host-enabled tools such as Q&A, chat, or polls. A webinar can be live, recorded for replay, or available on demand.
How does a webinar work?
The host sets up the event, chooses whether registration and other audience controls are required, and shares an invitation or registration link. Presenters then deliver the session using live audio or video and may share slides or other materials. Attendees watch and listen, and use whichever interaction features the host has enabled.
- Receive an invitation. Follow the event link and review the joining instructions, date, and time.
- Register if required. Submit the information requested by the host. The event may instead allow attendees to join directly.
- Join the event. At the scheduled time, use the invitation instructions on a supported desktop or mobile device with an internet connection.
- Watch and participate. Listen to the presenters and use available controls, such as chat, Q&A, or polls. Attendee access to microphones and cameras depends on the platform and event settings.
- Access follow-up material if offered. The host may share a recording or other resources after the event; this depends on the platform and configuration.
How is a webinar different from a meeting?

This is a common distinction, not a strict technical boundary. Platforms let hosts configure events in different ways, so a webinar can include substantial interaction and a meeting can have tightly managed participation.
Do you have to attend a webinar live?
No. Some hosts share a recording after the live session, while others offer on-demand access. Whether a replay is available depends on the host, platform, event configuration, and any applicable plan requirements.

Example: Zoom on-demand webinars
Zoom documents an on-demand setup that requires registration and automatic cloud recording for a scheduled webinar. Registration can remain open after the live event so later registrants can receive access to the recording. Zoom describes this feature as requiring a licensed user with the Webinars add-on; confirm current eligibility and settings in Zoom’s on-demand webinar documentation.

What do you need to attend or present?
As an attendee, you generally need the event link, a supported desktop or mobile device, and an internet connection. Whether you need to register or install an app depends on the host’s instructions and platform.
Presenters need a device and the inputs required for their session. Zoom describes a web camera and microphone connected to the presenter’s device as typical equipment, but a dedicated accessory is not a universal requirement for attendees or presenters. The format may also use shared materials such as slides. Check the event host’s instructions for specific requirements.

What should a host consider when setting up a webinar?
Choose a platform and configuration based on the event’s audience and format, rather than assuming every webinar service offers the same controls. Relevant questions include:
- Will attendees register, or can they join directly?
- What attendee, host, and panelist roles or permissions are needed?
- Should attendees interact through moderated Q&A, chat, polls, or another enabled control?
- Will the session be recorded, replayed, or made available on demand?
- Do the features you need depend on a paid plan, add-on, region, or particular event configuration?
Official guidance from Cisco Webex, Zoom, and Microsoft Teams describes webinar and event controls that vary by product and setup. Check the provider’s current documentation for the specific event and features you plan to use.
