An audience wants a speaker to make the time worthwhile: connect the subject to listeners’ needs, explain it clearly, earn their trust, and leave them with an idea, feeling, or next step they can use. The specifics depend on who is listening, what they already know, and why they came.

Start with the people in the room

Relevance begins before the first sentence. A speaker needs to understand who will be listening, what they know already, what interests or concerns them, and what the occasion calls for. A talk aimed at specialists will need a different level of detail from one for newcomers; a presentation meant to prompt a decision has different demands from one meant to introduce a subject.

Dan Strum’s Toastmasters article, “Who Are You Targeting?”, recommends identifying audience interests and anticipating possible objections. That shifts preparation away from an information dump and toward the listeners’ reason for being there.

  • Who is likely to be listening, and what experience do they bring?
  • What do they need from this occasion?
  • What concern, question, or objection might they have?
  • What should they understand, believe, feel, or do afterward?

These questions are a practical guide, not a formula that guarantees engagement. They help a speaker choose the right examples, depth, and purpose.

Give listeners a clear reason to pay attention

Once the audience and occasion are clear, decide what the talk is for. A useful purpose is framed around the audience: what should listeners understand, believe, feel, or do when the talk ends? A focused takeaway gives them a reason to follow the material and helps the speaker decide what belongs.

That focus also means leaving out material that does not serve the audience. Presentation coach Brian Krogh, quoted by Joel Schwartzberg in Toastmasters’ September 2025 article “Don’t Lose Your Audience’s Attention,” puts it this way: “As the expert, you should not attempt to tell [audiences] everything you know.”

Lead with the reason the subject matters to these listeners, then organize the talk around a small number of connected points. Explain unfamiliar terms instead of assuming everyone shares the same background. A clear structure lets people spend their attention understanding the ideas rather than guessing how each section fits.

Make the message believable and human

Listeners need reasons to trust a speaker and the message. Christine Clapp’s Toastmasters article “How to Persuade Others” describes persuasion through credibility, reasoning, and emotional connection—often called ethos, logos, and pathos. Evidence and examples can support an argument; a relevant human story can help listeners see why it matters.

Those elements work best together. Evidence without explanation can feel remote, while emotion without a sound basis can weaken trust. Choose examples that illuminate the point rather than distract from it, and be candid about what the evidence does and does not show.

Warren’s warning, quoted in Clapp’s article, captures the importance of adapting a message: “The mistake of a novice persuader is saying what you want to say rather than what the audience needs to hear.” Clay Warren is identified there as a Washington, D.C. university professor.

Hold attention without turning engagement into a trick

Relatable stories, thoughtful questions, authenticity, and changes in pace or format can help listeners stay with a talk. Cathey Armillas’s Toastmasters piece “8 Tips for Engaging Your Audience” offers practitioner advice on connection, empathy, variety, and powerful questions. These are useful options, not guarantees or proof that every audience prefers the same technique.

Use variety when it serves the idea: a brief story to make an abstract point tangible, a question to focus attention, or a change of format when a long stretch of similar material risks becoming hard to follow. The goal is not to keep people busy; it is to make the message easier to absorb.

Keep slides focused

For a slide presentation, Schwartzberg’s article summarizes the assertion-evidence approach associated with Michael Alley: make each slide’s headline state its main point, then use visual evidence to support it. Keeping to one main point per slide helps prevent slides from competing with the speaker or overwhelming the audience.

Choose interaction to fit the occasion

Participation can make a talk more responsive, but not every audience or setting calls for it. A reflective question, a brief discussion, or a poll may help when listeners have something useful to contribute and the format allows time. In another setting, a concise, well-organized talk may serve people better.

Lars Sudmann’s Toastmasters article “From Monologue to Dialogue: Inviting Audience Interaction” describes ways to involve listeners in a presentation. As the article puts it, “Modern technology now makes it possible for a speaker to develop thoughts and ideas together with the audience in real time.” That is an option, not a requirement; the right choice depends on the purpose, audience, and setting.

Adapt to the audience and the format

There is no single speaking style that works for every room. Before settling on examples, detail, pace, and interaction, consider the audience’s prior knowledge, interests, and concerns; the stakes and purpose of the occasion; whether people are together in person or joining virtually; and whether the goal is to inform, persuade, inspire, or prompt action.

Make each decision answer a listener need. A new audience may need background before a detailed argument. A group facing a decision may need the key evidence and a clear account of trade-offs. A talk intended to inspire may call for a story that connects the subject to people’s experience. The audience’s circumstances—not a fixed checklist of performance tricks—should guide the choices.
