If you have to work on Christmas Day, your family can celebrate when you are together. Choose a date you can keep, tell your child calmly, and use a Santa note that names the plan clearly. Here’s a ready-to-adapt version.
Choose a plan your family can follow
Before writing the note, decide when your family will celebrate and what you can reliably arrange. CDC guidance recommends discussing routine changes when a child is calm, listening to their concerns, and explaining why the change is happening and whether it is temporary or permanent. The American Academy of Pediatrics (AAP) advises keeping holiday plans manageable, explaining them simply, and protecting familiar routines.
One visit on your family’s celebration date
Santa’s main visit happens on the day everyone can be together. This is the simplest option: it does not require an additional Christmas Day gift or event.
A small Christmas Day surprise, then the main visit
If you want two visits, the note can promise a small surprise on December 25 and the rest of the celebration on your chosen date. The commercial storybook Santa Stops Twice presents this kind of two-stop tradition, with a stocking and one special gift on December 25 followed by a main visit on a chosen day. That is one seller’s example, not a requirement or an independently evaluated approach.

Celebrate before Christmas
If you are available earlier, you can choose a date before December 25. The important thing is to state the date plainly and make the visit match what you have told your child.
Consider your availability, what will be easiest for your child to understand, your budget, and whether you can carry out the plan. There is no official alternate-date Santa program implied by this family tradition; the date is yours to choose.

Adapt this Santa note
Fill in the brackets with details that are true for your family. You can keep the explanation brief and include one small way your child can help get ready.
Dear [child’s name],
I know [parent’s name] will be working on Christmas Day, helping [people / the community / their team]. Your family can celebrate together on [day and date], so I’ll make a special stop for your family then. You can help get ready by [choose a simple ritual: leave a note, pick a story, or choose breakfast]. I’m looking forward to celebrating with you!

If you are planning two visits, you could replace the special-stop sentence with: “I’ll leave a small surprise on Christmas Day, and I’ll come back with the rest on [family date].” Only include that promise if you intend to arrange both visits. A predictable plan depends on following through; do not promise a gift, call, first visit, or precise arrival time you cannot deliver.
Tell your child in a calm, clear way
Share the change when your child is settled rather than in the middle of a rushed or emotional moment. Explain that the work schedule means the family will celebrate on a different day, say whether that is just this year or part of a continuing plan, and make space for questions. A short explanation is enough; familiar rituals such as a story, breakfast, or leaving a note can help the chosen day feel like your family’s celebration.

A child’s letter or note is an optional way to take part. You can use ordinary paper and household writing supplies; a special kit is not necessary.

USPS Letters from Santa
USPS’s Letters from Santa instructions describe a family activity: a child writes a letter, a caregiver prepares a personalized reply signed “From Santa,” and the family follows the listed envelope and postage steps. USPS also lists two writing utensils among the supplies.
USPS Operation Santa
Operation Santa is a separate USPS program, not a service for scheduling a family’s Santa visit on an alternate date. For 2026, USPS lists these program dates:
- September 14: letters accepted.
- November 2: adopter registration and ID verification begins.
- November 16: letter adoption begins.
- December 5: last day to mail a letter.
- December 12: final adoption date and recommended shipping date for expected arrival before December 25.
USPS says submitted letters may be published with identifying details redacted. Eligibility is limited to the continental United States, Hawaii, and Puerto Rico, and USPS does not guarantee that every letter will be posted, selected, or answered. Check USPS’s current program instructions before participating, since dates and requirements belong to that program, not to a private family note.
