A successful hybrid event is planned as one program with two audience experiences: the room and the stream. Decide first what remote attendees should be able to see and do, then choose the format, platform, AV workflow, staffing, access provisions, rehearsal plan, and fallbacks to support it. There is no universal platform, equipment list, network target, or budget; those choices depend on the venue and event.
1. Choose a format that fits the event
Start with the event’s purpose, audience, participant needs, and available resources. A hybrid event combines physical and virtual participation, but the balance can vary. IEEE Events identifies four formats to consider:
- Live in-person: the program takes place in a venue.
- Live online: participants join remotely as the program happens.
- Non-live online: participants access material asynchronously.
- Multiple-site: participation is coordinated across more than one location.
Decide whether remote access will be live, on demand, or both, and how the in-person and online audiences will share the program. Include time zones, registration, venue logistics, safety, and licensing in the decision. IEEE Events puts it plainly: “Hybrid events are not one size fits all; they meet a combination of needs.” See IEEE Events’ hybrid planning guidance.
2. Design the remote attendee’s experience
Plan the online experience as deliberately as the room experience. Map the attendee journey from registration through the event and follow-up: how will a remote guest find the program, join it, ask a question, follow changes, and get help?

Choose platform features to solve specific participation needs. AVIXA lists chat, Q&A, breakout rooms, polling, analytics, usability, and reliability as considerations. A panel may need moderated questions; a workshop may benefit from breakouts. Avoid selecting features simply because they are available. Assign a person to monitor the online audience, surface questions to the room, and respond to connection or access problems. No single vendor is established as best for every event by the available guidance.
3. Build the production plan for both destinations
The room audience and the remote audience do not automatically receive the same sound or view. Treat the stream as a distinct production destination, and confirm that camera framing, speaker audio, slides, and transitions work for viewers who are not in the venue.
Audio and video choices
AVIXA identifies cameras, microphones, and switchers as equipment used in hybrid production. A practitioner guide describes a separate room mix and stream mix, lavalier microphones for speakers, and a wired backup microphone path. These are examples to evaluate—not universal specifications. The right approach depends on the room’s sound system, speaker movement, wireless conditions, equipment compatibility, and crew skills. Check that remote viewers can hear audience questions as well as presenters.

Platform and signal path
Draw the signal path from microphones and cameras through the production equipment to the platform. Confirm compatibility among the room’s AV system, the production setup, and the platform. Decide who advances slides, switches views, watches the stream, and communicates with presenters. Put responsibilities in a run of show so that a question, presentation change, or interruption is handled consistently for both audiences.

Ask speakers and attendees about access needs while choosing the format, venue, platform, and participation methods. Rutgers’ Autumn 2025 guide discusses how hybrid participation can reduce barriers related to disability, caregiving, transportation, geography, cost, and time. Consider accessible registration and communications, accessible materials, and practical ways to participate for both online and in-person guests.
Hybrid delivery does not by itself establish that an event meets legal accessibility requirements. Those requirements depend on jurisdiction and setting, so check the rules that apply to your event.

5. Rehearse the complete workflow
Test in the actual event environment before doors open. A slideshow test alone is not a full rehearsal: run the sequence that attendees will experience, including speaker access and remote interaction.
- Check cameras, framing, microphones, room audio, and the stream mix.
- Verify platform access for presenters and attendees, including the planned interaction features.
- Run through the program transitions, slide handoffs, audience questions, and any remote contributions.
- Confirm that the people assigned to online moderation and technical support can communicate with the room crew.
- Test the planned fallback procedures and identify who can authorize each change.
AVIXA recommends pre-event checks, compatibility checks, backups, and technical support before and during the event. IEEE also emphasizes venue IT/AV, capacity, and support planning. The appropriate network, backup equipment, and support roster vary by venue, platform, and event scale; these sources do not establish one bandwidth target or budget that suits all events.

Name the person responsible for each audience and each critical part of the production: room AV, the stream and platform, online questions, and attendee support. Make sure they know how to reach one another during the event. A fallback plan is useful only when the crew knows when to use it and who makes that call.

- Presenter cannot connect: have a contact method and a way to adjust the run of show while support investigates.
- Audio or video fails: identify the backup equipment or signal path that is actually available at the venue.
- Venue connectivity is disrupted: establish which backup connection or alternate plan the venue can support; do not assume a generic connection target guarantees continuity.
- Remote interaction stops working: give attendees an alternative way to send questions or receive event updates.
These are planning branches, not guarantees that any particular backup will work in every venue. Confirm and test the specific equipment, connections, and support arrangements with the venue and production team.
