A live stream run of show is the crew’s working plan for what happens, when it happens, who is responsible, and what viewers see. To make one, turn the audience agenda into timed segments and transitions, assign an owner to every action, write clear production cues, and document readiness checks and fallback decisions. The result should let the host, producer, technical operator, and moderator move the broadcast forward without stopping to settle basic responsibilities.
What a live stream run of show should do
An attendee agenda tells viewers what is planned. A run of show tells the production team how to deliver it. It connects each program moment to its timing, owner, technical action, and audience-facing experience. Nitro Media Group’s 2026 livestream checklist and Revel Entertainment’s 2026 production guide both emphasize clear timing, ownership, cues, and fallback plans.
Use the document during the broadcast, not just in planning. A person following it should be able to tell what is happening now, what comes next, who calls the transition, and what to do if a critical element is not ready.
Build the run of show in six steps
1. Set the event frame
At the top of the document, record the event date, time zone, planned duration, streaming platform, hard start or end constraints, key contacts, and program owners. Identify the current version and make it easy for the people using it to find. Vimeo’s guidance on shared event planning likewise stresses keeping the working plan coordinated.

2. Break the program into clear rows
Give every distinct segment and transition its own row. Include the planned start time or relative time, duration, segment name, presenter or owner, and a concise description of what happens. If a transition involves a separate cue or handoff, make it a separate row rather than hiding it inside a broad segment.
3. Add actionable production cues
For each row, state the relevant scene, camera or playback change, slide or graphic, and microphone or audio action. Name the operator or caller responsible. A cue should also make readiness and authority clear: who confirms the next item is ready, how a problem is reported, and who decides whether to hold, skip, or continue.

4. Plan the remote viewer’s experience
Include what the audience sees between segments, not only the main content. When relevant to the event and platform, add holding content, a countdown, captions, chat or Q&A moderation, support routing, and the message viewers should receive if a segment is delayed. Neptay’s YouTube and Twitch checklist and HeySummit’s virtual-event guide both treat audience interaction and support as part of production planning.
5. Mark readiness and fallback actions
For important speakers, assets, technical checks, and decisions, show whether each item is confirmed, pending, or unavailable. For a critical failure, specify the fallback and the person authorized to use it. “Backup ready” is not enough: say what the backup is and who calls for it.

6. Rehearse and keep one controlling plan
Walk through the plan with speakers and the production team. Test the path viewers depend on—from the source and audio through the program output to the streaming destination—and confirm the audience-critical cues. If the plan changes, tell every owner which version is current so that different people do not follow conflicting instructions.
Run-of-show fields to include
Use the columns that match the crew and complexity of the event. A solo stream may combine responsibilities; a multi-person or hybrid production needs explicit handoffs and a separate view of what is happening for remote viewers.

This is a structure to adapt, not a prescribed schedule. Add the real times, durations, owners, assets, and decisions for your event.

For a sponsor read, longer content sequence, or additional audience interaction, create separate rows and identify the relevant disclosure, owner, cue, and viewer-facing action rather than squeezing them into one general entry.

Common run-of-show problems and fixes
- The plan reads like an attendee agenda. Add owners, actionable production cues, and audience-facing transitions so it can operate as a crew document.
- A row contains multiple handoffs. Split it into separate segment or transition rows, each with its own timing and responsible person.
- A cue is ambiguous. Name the person who executes it, how readiness is confirmed, and who can hold or continue.
- A key element is not ready. Mark its status, write the fallback in the relevant row, and identify who can authorize using it.
- Viewers are left waiting without explanation. Add holding content and a delay message, along with the owner who will communicate it.
- Team members have conflicting versions. Identify the controlling version and notify all owners when a change is made.
- The rehearsal misses a technical handoff. Test the audience-critical path from source and audio through program output to the streaming destination, not just the speaking portions.
