How to Use Screen Recordings at Work Safely

A practical guide to making focused work screen recordings, protecting coworkers’ and personal information, and handling monitoring and meeting recordings with care.

Use a work screen recording only for a defined purpose, capture the smallest area and amount of audio needed, tell affected people what you are recording and why, then review, restrict, store, and delete the file deliberately. A task demonstration or training clip is different from monitoring employees or recording a meeting; the applicable workplace policy and privacy rules depend on your location and the use.

Decide whether a screen recording is necessary

Start by writing down what the recording needs to accomplish: for example, show a colleague how to complete a task, document a software issue, or create internal training. Decide who needs to see it and how it will be used. If notes, a written procedure, a still image, or a live demonstration would do the job with less exposure, use that instead.

This distinction matters particularly when recording is part of employee monitoring. The UK Information Commissioner’s Office (ICO) says employers should be able to justify monitoring and consider less intrusive means. NIST’s virtual-meeting guidance says, “Don’t record the meeting unless it’s necessary.” That advice is about meetings, not a universal legal rule for every work recording.

Tell people what will be captured and how it will be used

Before recording, explain what the recording may capture, the purpose, who will be able to access it, and how it will be used or shared. Consult workers or their representatives when appropriate, especially when planning a monitoring practice rather than making a one-off training clip. Follow your organization’s policies for notice, approval, and recording indicators.

Do not assume that asking an employee to consent always resolves the issue. The ICO warns that the power imbalance in employment can mean a worker does not have a genuine choice, though consent may be appropriate in circumstances where a real choice exists. Legal requirements vary by jurisdiction and context.

Meeting recordings need separate care if they include voices, participants, chat, or meeting content. New Zealand’s Office of the Privacy Commissioner says, “Generally, it is best to voice record a meeting with consent, so that both sides have an accurate record of what occurred.” This is guidance from New Zealand, not a rule that applies everywhere. A U.S. Department of Labor recording policy cited in its interview guidance applies to covered agency work; it should not be treated as a general rule for all U.S. employers.

Prepare a narrow, clean recording

Before you press record, set up the desktop so it reveals only what the task requires. These are practical precautions based on official warnings about excessive capture and inadvertent exposure; they are not a substitute for your organization’s recording policy.

  • Close unrelated browser tabs and applications, and sign out of personal accounts.
  • Pause notifications and hide message previews so private messages do not appear mid-recording.
  • Choose a single application window or the smallest useful screen region rather than capturing the whole desktop.
  • Check whether the tool will capture microphone audio, webcam video, meeting participants, chat, or system audio. Disable anything unnecessary; if audio is not needed, leave it off.
  • Remove or obscure customer, colleague, or personal information that is not essential to the demonstration.
  • Make a brief test recording and check that the text and cursor are legible and that the right window is being captured.

At home, a personal device may show personal communications or other private activity alongside work. The ICO specifically cautions that monitoring a worker’s device can collect excessive information and advises against capturing private use on employees’ personal devices. Keep work and personal activity separate, and do not use a broad capture method that exposes private use.

Record the task, then review before sharing

  1. Start only after setup. Confirm the correct window or region is selected and that unnecessary audio or camera capture is disabled.
  2. Demonstrate the task in sequence. Keep the recording focused on the steps a viewer needs to follow. Avoid switching to unrelated accounts, messages, or files.
  3. Stop promptly. End the recording as soon as the needed task or explanation is complete; do not leave capture running while you move to other work.
  4. Review the entire clip. Check the beginning and end as well as the main section for notifications, personal information, unintended conversations, confidential data, or windows exposed during a transition.
  5. Edit or discard if needed. Trim irrelevant sections or use an approved redaction method where appropriate. If sensitive information cannot be reliably removed, do not share the file; make a safer recording.
  6. Share only with the intended audience. Confirm the recipient list and permissions before sending a link or uploading the file.

Use extra safeguards for employee monitoring

A worker making a task walkthrough for training is not the same as an employer taking repeated or random screenshots to assess worker activity. Monitoring can reveal personal communications, sensitive information, and activity unrelated to the stated purpose. The ICO notes that workers may have higher privacy expectations when working remotely at home.

For UK employers, ICO guidance calls for a clear purpose, an identified lawful basis, appropriate information for workers, and consideration of less intrusive alternatives. It says a data protection impact assessment (DPIA) is needed before processing likely to create high risk; even where one is not mandatory, it can help assess risks and plan safeguards. The ICO also describes continuous audio and video monitoring as highly intrusive and unlikely to be justifiable in most circumstances. These are UK data-protection considerations, not a global legal checklist. For a decision about monitoring, check the rules and workplace requirements that apply where the people being recorded work.

Avoid covert recording except in tightly constrained circumstances permitted by the applicable authority and policy. If you are unsure whether a proposed recording is training, documentation, meeting capture, or worker monitoring, pause and ask your manager, privacy lead, or legal team before proceeding.

Store, share, and delete the recording deliberately

  • Use approved storage. Save the file in an organization-approved location with access controls, rather than a personal account or an unapproved file-sharing service.
  • Limit access. Give access only to people and systems that need the recording for its stated purpose; check link permissions before sharing.
  • Set a retention reason. Keep the file only as long as its purpose and applicable records rules justify. Delete it when it is no longer needed, following your organization’s retention process.
  • Know where related material goes. For an online meeting, check where the recording, transcript, chat log, and shared files are stored, who can access them, and for how long. This is also emphasized in UK National Cyber Security Centre guidance on securing online meetings.

Choose the right approach for the job

Use case First question Safer approach
One-off task demonstration Could written steps or a still image explain it? Use the least intrusive format that teaches the task; if recording, capture only the relevant app or region and review before sharing.
Training or documentation Who needs the material, and how long will it remain useful? Plan the audience and retention period before recording; store the finished file in an approved location.
Employee activity monitoring What specific purpose justifies monitoring, and can it be achieved less intrusively? Check local law and policy, inform workers, restrict collection and access, and assess privacy risks before starting.
Meeting record Is recording necessary, and will it capture voices, participants, chat, or shared content? Follow meeting policy and applicable local rules; tell participants as required and minimize unnecessary capture.

Common problems and what to do

  • A notification or private message appears. Stop sharing, restrict access to the file if it has already been shared, and make a clean recording. Do not assume that simply trimming the visible moment is enough if the content remains in the file.
  • The recording contains information that should not have been captured. Do not circulate it. Follow your organization’s incident or privacy process, remove or securely delete the file as directed, and recreate the recording with a narrower capture area.
  • A colleague or meeting participant objects. Pause. Explain the purpose and intended audience, check policy and local requirements, and consider notes or a demonstration without recording instead.
  • The recording tool captures more than expected. Stop and review its capture settings for desktop, window, microphone, webcam, system audio, chat, and notifications before trying again.
  • You do not know where the file is saved or who can access it. Do not share it until you confirm its storage location, permissions, and retention arrangements with your organization.
  • You are asked to record workers continuously or covertly. Do not treat this as an ordinary screen-recording task. Escalate it through the appropriate privacy, HR, or legal channel and check the relevant jurisdiction’s requirements.
