You can use Google Sheets to schedule changes to a YouTube playlist by having an authorized integration read due spreadsheet rows and call YouTube’s playlist-items API. This changes the playlist—not the active livestream, and not its start time. The guide below covers an ordinary playlist; a series playlist has additional restrictions.
What this workflow does—and what it does not
Google Sheets acts as the schedule and source of truth. An automation layer reads the rows that are due, authenticates to the YouTube channel, and sends the appropriate playlist-item request. YouTube’s API supports adding, updating, and deleting playlist entries; it does not provide a built-in Sheets-to-YouTube rotation feature. See Google’s PlaylistItems API reference.
A playlist change does not start a livestream, change the video currently being broadcast, or schedule a broadcast. If your goal is to run a continuous stream from uploaded videos, playlist rotation alone is not a streaming system.
Plan the schedule in Google Sheets
Create one row for each planned playlist change. These are practical fields for building a reliable integration, not fields required by YouTube:

- Scheduled date and time: when the automation should consider the change due. Set and document the spreadsheet’s time zone.
- Playlist ID: the destination playlist’s ID.
- Video ID: the YouTube video to add, or the video involved in another operation.
- Operation: for example, insert, reorder, or remove.
- Status: pending, completed, or failed.
- Error or status note: a short explanation useful for review and recovery.
For reordering or removal, also store or retrieve the playlist-item ID. It is a different identifier from the video ID. Keep the schedule limited to an existing playlist unless you specifically need to create one.
Connect the sheet to YouTube’s playlist API
The spreadsheet does not make the playlist change by itself. A script or other authorized integration must read the schedule and call the YouTube Data API. YouTube requires OAuth authorization for playlist write operations; an API key alone is not enough. Consult Google’s YouTube Data API reference and the PlaylistItems resource documentation when configuring authorization and requests.
- Authorize the channel. Configure the integration to obtain OAuth authorization for the YouTube account that owns or can edit the destination playlist. Protect refresh credentials and limit access to the sheet and automation.
- Read only due, unfinished rows. Compare each row’s scheduled time with the current time in the spreadsheet’s chosen time zone. Skip rows already marked complete.
- Check the intended change. Confirm the playlist and video are accessible, the requested operation is valid, and the item is not already present when inserting.
- Send the API request. Use the appropriate playlist-item method described below.
- Record the outcome. Mark a row complete only after a successful API response. On failure, record the error and leave the row available for deliberate review or retry.
The exact trigger setup and execution timing depend on the automation platform. Do not treat a spreadsheet trigger as a guarantee that a request will run at an exact minute; allow for delay and build the workflow to tolerate a late or repeated run.

Choose the playlist operation
Add a video
Call playlistItems.insert with the destination playlist in snippet.playlistId and a video resource identifier in snippet.resourceId. Google’s current API reference lists a cost of 50 quota units per insert call. An insert can fail if the video is already in the playlist, the playlist is inaccessible or full, or the operation is unsupported for that playlist.

First retrieve the playlist item and its playlist-item ID. Then use playlistItems.update with the supported position data. The update call costs 50 quota units according to Google’s current API reference. Do not send a video ID where the method requires the playlist-item ID.
Remove an entry
Use playlistItems.delete with the playlist-item ID for the entry to remove. Google’s current reference lists a cost of 50 quota units per delete call.

Make scheduled changes safe to retry
Automations may run late, fail partway through, or encounter a repeated trigger. Design for those cases rather than assuming every row runs exactly once.
- Check whether an item is already in the destination playlist before inserting it.
- Use a completion status so successful rows are not processed again.
- After a timeout or uncertain response, inspect the playlist before retrying a write.
- Keep the playlist-item ID for update and delete operations; look it up when it is not already stored.
- Log the row, operation, time, and API response or error so an operator can determine what happened.
Test with a noncritical playlist and a small schedule before relying on the automation for a public channel.

This guide targets an ordinary playlist. YouTube imposes extra conditions on series playlists: the channel must be verified, a video can appear in only one series playlist, and included videos must be uploaded by the playlist owner with rights to them. Review YouTube’s series playlist guidance before automating changes to one.

For routine rotation, editing an existing playlist is generally the relevant operation. YouTube Help notes a daily limit on creating public playlists across YouTube, YouTube Music, and the API; creating a new public playlist for each scheduled slot is not necessary for this workflow. YouTube Studio’s livestream scheduling features and playlist-item API calls solve different problems. A scheduled stream can appear as upcoming, and viewers may be able to select “Notify me.” YouTube also advises creators to communicate schedule changes. See its livestream upload schedule tips.
Creating a broadcast through the Live Streaming API is another workflow, with its own requirements. For example, the liveBroadcasts.insert reference describes scheduling requirements including a future start time, title, privacy status, and scheduled end time. Changing a playlist does not satisfy those requirements or start the broadcast.

Livestream eligibility is also separate from playlist API access: YouTube Help says a channel must be verified and have no livestreaming restrictions in the prior 90 days to livestream. This is an overall livestream requirement, not a playlist-write requirement. See YouTube live streaming tips on a computer.
Troubleshoot common failures

Google’s API references document duplicate, authorization, missing-resource, unsupported-operation, and maximum-size errors for playlist operations. Check the specific response against the relevant insert, update, or delete documentation.
