Choose the recording method that matches what you need to deliver: use PowerPoint to make a narrated slide video, a screen recorder for a software demonstration, or Zoom or Teams to capture a live meeting. Google Slides users may be able to record through Google Vids, depending on their account and setup. Before sharing any recording, preview it and confirm the saved file opens and its audience has access.
Choose the right recording workflow
First decide what the recording must show. A narrated deck, a walkthrough of software, and a live meeting are different deliverables, even if each involves slides on screen.

If the finished video will be distributed as a standalone presentation, recording in the slide or screen-capture workflow is usually more direct than capturing a live meeting. A meeting recording is the better fit when the event itself—including its shared content or presenter layout—is what you need to preserve.
Record narration and slide timings in PowerPoint
Use PowerPoint’s slide-show recording when you want your voice, slide progression, and optional camera or on-slide annotations associated with the deck. Microsoft’s current help describes controls for pausing, stopping, replaying, and marking up a recording, as well as previewing and redoing individual slides.

- Open the presentation in the PowerPoint desktop app and go to the slide where you want recording to begin.
- Select Record and wait for the countdown before speaking.
- Deliver the slide narration and advance through the deck at the intended pace. Pause speaking while a slide transition runs: Microsoft says narration is not recorded during transitions.
- Use the recording controls to pause or stop when needed. Preview slides and redo any segment with a mistake.
- Save the PowerPoint file or export the recording as a video, then open the exported file to confirm the result.

Capture a software demonstration in PowerPoint
For a browser walkthrough, product demo, or other desktop activity, use PowerPoint’s separate screen-capture feature rather than slide-show narration.

- In PowerPoint, select Insert > Screen Recording.
- Choose the smallest useful screen area, or select the full screen if the demonstration needs it.
- On the control dock, check whether audio and pointer recording should be enabled.
- Start the capture, perform the demonstration, and stop recording when complete.
- Keep the captured recording embedded in the slide or save it as a separate file, as appropriate for your handoff.

Record a Google Slides presentation through Google Vids
Google’s documented Slides recording flow uses Google Vids and offers camera plus screen, audio only, or screen only. Do not assume the control is available on every account: Google says it may be limited to certain work or school accounts.

- Confirm that the account has the recording feature and edit access to the presentation.
- Open the recording flow in Chrome or Edge. Google’s cited instructions limit recording to those browsers.
- Choose camera plus screen, audio only, or screen only. Select an external microphone or camera in recording settings if you want to use one; built-in equipment is also an option.
- Record the presentation. Each recording is limited to 30 minutes, and recording cannot be created when Drive storage is over quota.
- Find the recording in Drive, review it, and check sharing access before sending it to viewers.
Google describes removing a recording from a presentation separately from moving its Drive file to Trash, so check which action you intend before deleting. Google says recordings can be viewed, shared, and deleted from other supported Drive browsers, although recording itself is limited to Chrome and Edge in the cited guidance. Capture a live presentation in Zoom or Teams
Zoom
Use Zoom when the live session or its presentation layout is the deliverable. Zoom documents sharing a PowerPoint presentation and presenter layouts for shared content. Its presenter-layout guidance specifies a computer recording made with Zoom’s desktop app version 6.3.0 or higher. Check the version and layout options before the meeting rather than discovering a limitation during the session.

Microsoft Teams
Teams supports presenting a screen, desktop, or PowerPoint file in a meeting. On a Mac with the latest operating system, Microsoft says screen-recording permission must be granted before presenting. Confirm the right screen or presentation is being shared and that the required permission is enabled before the session starts.

- Define the deliverable. Decide whether viewers need narrated slides, a software demonstration, or a live meeting capture.
- Choose what appears. Decide between voice only, camera with slides, or screen only, and confirm the chosen app and account offer that mode.
- Check the setup. Test the microphone and camera, confirm the browser or app version, allow required screen-recording permissions, and make sure enough storage is available. For Google Slides recording, check browser, account eligibility, edit access, the 30-minute limit, and Drive quota.
- Make a short test. Listen for clear microphone audio and inspect the slides or screen area, camera framing, and pointer. This is a practical check, not a vendor-mandated test protocol.
- Record the presentation. For PowerPoint slide recording, stop speaking during transitions because transition narration is not captured.
- Review and correct. Preview the full recording or relevant segments; redo a problematic slide or section before exporting.
- Confirm the handoff. Open the saved or exported file and verify that the intended audience can access it.
Optional microphone
A dedicated external microphone is optional. Google documents choosing an external microphone in recording settings, but a built-in microphone remains a valid route; the cited guidance does not identify a particular model or establish a measurable improvement from one.
Common problems and fixes
- No Record control in PowerPoint: The web app does not support slide-show recording in Microsoft’s cited documentation. Try the desktop app and check whether the feature is available in your installed version.
- Voice disappears at slide changes: PowerPoint does not record narration during transitions. Pause speaking until the transition finishes.
- Google Slides recording is unavailable: Check that you are using Chrome or Edge, have edit access, and are signed in to an eligible work or school account. Feature availability is not guaranteed for every account.
- Google recording will not start: Check whether the recording would exceed the 30-minute limit or Drive storage is over quota.
- Camera or microphone is wrong or missing: Review the recording settings and selected input devices before restarting the take.
- Screen sharing fails on a Mac in Teams: Grant the screen-recording permission required by macOS, as Microsoft’s Teams guidance specifies.
- Zoom presenter layout is missing: Check that you are recording on a computer with Zoom desktop app version 6.3.0 or higher and that the intended layout is available.
- The file plays for you but not the audience: Verify the export or Drive file opens, then check its sharing permissions and location before sending the link.
