Organize a growing YouTube library in two connected ways: make related videos easy for viewers to browse, and group them consistently so you can compare performance and plan what to publish next. YouTube Studio playlists and channel shelves handle viewer navigation; Analytics groups help you inspect sets of videos. You do not need a particular physical storage product or a single universal taxonomy.
Choose categories that help you make decisions
Start with a small number of useful ways to group your published videos. YouTube suggests dimensions such as format, series, style or tone, intended audience, topic longevity, and production cost or budget. Pick categories that answer real questions about your programming, then apply them consistently enough to make comparisons meaningful. There is no required taxonomy. YouTube’s guidance on learning what content to create describes grouping videos and reviewing their performance.
- Series: useful when episodes belong together or share a recurring premise.
- Format: useful for comparing documentaries, interviews, explainers, or other recurring production types.
- Audience or topic: useful when you serve distinct viewer interests.
- Longevity: distinguish evergreen subjects from timely coverage if that affects planning.
- Production effort: compare projects by budget or production demands when that informs future decisions.
These labels are ways to organize and analyze, not proof that a category caused a video’s performance.
Use playlists to help viewers browse
Create playlists around a clear subject, series, or viewing purpose rather than treating them as miscellaneous bins. During upload, YouTube Studio lets you add a video to an existing playlist or create one. The documented upload workflow also includes metadata such as visibility, audience designation, captions and language, chapters, and related-video links; use the fields that suit each upload. - In YouTube Studio, begin an upload and reach the video details step.
- Choose an existing playlist or create one whose title clearly states its topic or series.
- Complete the relevant details, including visibility and audience settings; add language, captions, chapters, or related-video links where applicable.
- Review the playlist after publishing so its videos still fit the stated purpose.
A playlist is useful for viewer navigation, but it does not replace an internal record if your team also needs to track raw footage, project files, approvals, or rights. Those production assets are separate from the published-video organization covered here.
Use a show for a recurring program
If the channel has a genuine recurring program, YouTube’s show features add series-oriented presentation to a playlist. YouTube Help describes both serial shows, whose episodes are intended to be watched in sequence, and non-serial shows, where viewers can watch episodes in any order. A playlist can be converted to a show, and show playlists can be featured as shelves on the channel Home tab. When order matters
Manually arrange episodes in the intended sequence before using a serial show. YouTube assigns episode numbering based on that specified order, so an incorrect order can confuse viewers following a story or course.
When order does not matter
Use a non-serial show for standalone installments that share a program identity but can be watched in any order. The show shelf can then help viewers find the program without implying a required sequence.

Keep a lightweight video record
For each published video, record the details you will need to find it, maintain it, or compare it later. A simple spreadsheet or database can include:
- Video title and URL or video ID
- Series, playlist, or show assignment
- Format, topic, audience, or other chosen planning categories
- Visibility and publication status
- Language and caption status
- Relevant chapters or related-video links
- Any internal notes needed to distinguish versions or follow-up work
The first six items correspond to information available in YouTube’s documented upload workflow. Add records about source footage, project files, approvals, or rights only if your team needs them; these are not established as requirements for organizing published videos.

Compare groups without letting an outlier mislead you
Use YouTube Analytics to compare videos grouped by a consistent category, such as format or series. Review groups over the same broad period; YouTube gives 90 days as an example. Look at changes and group averages, then inspect individual videos that may skew an average. Useful measures and context include topics, thumbnails, titles, length, average view duration, percentage viewed, audience, and the subscriber versus non-subscriber split. YouTube’s content-planning guidance discusses these comparisons.
- Choose a question first, such as whether one format is holding viewers longer.
- Define the group using the categories you have applied consistently.
- Set a shared review window for the groups being compared.
- Review group averages and changes, then examine individual videos for unusually high or low results.
- Use the findings to shape future programming, while treating category labels as a way to organize the comparison—not as evidence that the label itself caused the result.
Automate inventory only when the library warrants it
For many channels, Studio and a lightweight record are sufficient. Teams with larger libraries or custom reporting needs can use the YouTube Data API: Google documents retrieving a channel’s uploads through the channel’s uploads playlist and the playlist-items method, as well as retrieving and updating video records.
