How to Manage Media in a Video Editor

A practical workflow for organizing footage, relinking offline clips, managing proxies, and collecting project media for handoff or archiving.

Manage video-editor media by keeping project assets in clear groups, storing source files in stable locations, relinking offline files carefully, and collecting the correct media before you transfer or archive a project. The exact controls differ across Premiere Pro, DaVinci Resolve, and Final Cut Pro, but the goal is the same: keep every clip identifiable and available through editing and handoff.

Build a structure that stays clear as the edit grows

Start with a small set of descriptive groups that matches the production. Useful categories include camera sources, audio, stills, selects, sequences, and project versions. Adjust them for the job rather than creating empty folders for every possible asset type.

In Premiere Pro, bins can hold source files, sequences, and other bins, so you can nest groups as a project expands. Adobe also describes using bins to organize project content and store main or backup sequences: Organize media with bins in Premiere.

DaVinci Resolve organizes footage in bins in the Media Pool. Its Media page is a workspace for importing, organizing, syncing footage, and adding metadata. See Blackmagic Design’s DaVinci Resolve Media page.

Use labels collaborators can understand without asking what “new,” “final,” or “misc” means. If versions matter, distinguish them explicitly, and keep the active sequence easy to identify.

Import and review footage deliberately

Resolve’s Media page lets you browse connected drives and preview footage before adding it to the Media Pool. It also supports viewing or editing metadata, syncing separately recorded audio and video, and extracting audio from clips. These are available workflow tools, not steps every project must use.

At camera ingest, make a backup where your workflow allows it. Blackmagic Design documents camera-media cloning and backup in Resolve’s Media page. Keep a record of which copy is the working copy and which is the backup; organizing clips in the project does not itself create another copy of the underlying files.

Keep file paths stable—and relink missing media carefully

Most editing projects refer to media files at locations on a drive rather than containing every original file within the project. Moving, renaming, or deleting an imported file outside Premiere can leave its project clip offline. Adobe documents the issue and Premiere’s Link Media workflow in Relink offline clips in Premiere.

  1. Locate the correct source. In Premiere, select the offline clip and use the Link Media or Locate workflow to point to its file. Check the previous path or folder when available.
  2. Check matching properties. Use the matching-file-property options in the dialog to narrow the match. A matching filename by itself is not proof that the file is the right take or version.
  3. Review the result in context. Inspect the relinked clip and its use in the sequence. Premiere’s relinking can replace the offline source throughout the project, so confirm identity before continuing the edit.

For other editors, use that application’s own relink controls and verify a known clip after paths change. Do not assume Premiere’s exact controls or matching rules apply to Resolve or Final Cut Pro.

Use proxies without losing track of originals

Proxies are editing media; full-resolution originals remain the sources for finishing. Keep the relationship between each proxy and original intact, and make clear which files are proxies in your storage and handoff plan.

Adobe documents reconnecting full-resolution media to specified video-only, audio/video, and offline proxy clips in Premiere. After proxy editing, Adobe recommends reconnecting full-resolution media for high-quality work such as color correction, complex effects or compositing, and audio mixing. Collect media before transfer or archiving

Before handing off a project, decide whether the recipient needs originals, optimized media, proxies, or a particular subset. Then use the editor’s collection or consolidation tools and verify the destination before deleting or disconnecting any source.

Final Cut Pro

Final Cut Pro can consolidate selected library, event, project, or clip media to a chosen library storage location. The consolidation dialog lets you choose original, optimized, or proxy media; if the selected optimized or proxy media is unavailable, Final Cut Pro can offer to generate it. Apple explains the process in Consolidate projects and libraries in Final Cut Pro for Mac.

Apple’s guide says consolidation can collect media for housekeeping or archiving. When consolidating into a managed library, Final Cut Pro copies media into the library and leaves the original undisturbed. Verify the collected copy and any other library dependencies before removing originals. Apple’s Manage Media with Final Cut Pro Libraries (November 2020) describes this managed-library behavior.

Choose the right collection for the handoff

  • For continued editing: confirm what media type the next editor needs and that the project can find it at the destination.
  • For an archive: collect the media needed to reopen the work, not just the project file. Keep originals when the selected collection contains only proxies or optimized media.
  • For a managed Final Cut Pro library: check the library storage location and the selected media type in the consolidation dialog.

Choose storage around the actual project

An external drive can be useful for active project storage or moving media between workstations. Resolve’s documented workflow includes browsing connected drives and cloning camera media, while Final Cut Pro lets you choose where consolidated media is stored. Those capabilities do not establish a universal drive capacity or speed recommendation. The appropriate choice depends on your footage formats, project size, editing setup, number of simultaneous streams, and backup needs.

Common media-management problems

  • Clips go offline after a folder change: the project may still point to the old path. Relink to the known correct file in the editor and check the match before accepting it.
  • A relinked clip shows the wrong take: a filename may be shared or misleading. Verify the clip’s identity and sequence use; do not trust a name alone.
  • The edit looks soft or effects behave differently during finishing: check whether the project is still using proxies. In Premiere, reconnect full-resolution media before the finishing tasks Adobe specifies.
  • A transferred project opens without its media: the project file may have been copied without collecting its referenced files. Reopen the source project, collect the required media to the intended destination, then verify the handoff.
  • The archive is unexpectedly large or incomplete: check whether consolidation selected originals, optimized media, or proxies, and whether unavailable media was generated. Confirm the collected files before removing anything from the source location.
