A phone on a tripod can be enough to begin; reliability, audio, rights and a workable backup plan matter more than an elaborate production.
Choose the kind of stream your congregation needs
Decide whether the service should be a public, one-way broadcast or a private, interactive gathering. The right choice depends on who needs access, whether viewers should participate, how you will handle captions and recordings, and what your team can operate. Check current platform terms and local licensing requirements before settling on a destination.

Choose the destination before completing rights checks: platform, audience access and jurisdiction can affect what permissions are needed. For a public broadcast, decide whether the recording will remain available afterward and include that replay in your rights review.
Build a setup your team can reliably run
Start with a stable camera and a clean audio feed
A smartphone on a stable tripod is a reasonable one-camera starting point if it can see the service and receive intelligible sound. A phone holder can keep the device secure. The Methodist Church’s UK Online Worship Toolkit says churches can begin with a phone, tripod and clip-on microphone for under £150; treat this as an illustrative UK example, not a current quote for your area.

Sound often needs more attention than picture. Yamaha’s Easter preparation guidance recommends auditing the complete stream chain and checking audio and video in advance. If you plan to take audio from a sound desk, verify the actual connection and levels in the room; adding a microphone alone will not fix a poor feed.
Add equipment only when it solves a real problem
The Methodist Church’s Platform Comparison Guide gives approximate UK equipment tiers: £20–50 for a simple setup, £100–300 for an intermediate setup, and £500–2,000+ for an advanced setup. These are the guide’s examples, not universal or current local prices.

Before buying, choose the camera position and test the sound path. The Methodist toolkit’s practical reminder is: “You do not need expensive equipment to begin.”
Give volunteers clear roles
Assign the service leader, stream operator and anyone monitoring audio or audience comments. Keep simultaneous duties within the team’s capacity; a volunteer who is operating the camera may not also be able to monitor sound and respond to comments reliably.

Clear rights for everything viewers will hear or see
Make an inventory of each item that will be transmitted: congregational hymns, choir anthems, lyrics on screen, liturgy or ritual, Bible text, prerecorded tracks, music videos and other video or text. For each item, check the specific license or rightsholder terms for the work, the way it will be used, the platform, whether access is public or private, and whether the service recording will remain available.
United Methodist Communications’ April 24, 2026 guidance says copyrighted material requires written permission or a streaming license that covers the work and use. It distinguishes reproduction rights from streaming permission, and explains that license catalogs and exclusions matter. Coverage can differ for congregational singing, choir material, instrumental performances and prerecorded content. A video being available on YouTube does not mean a church can rebroadcast it.

That guidance is U.S. United Methodist information, not universal legal advice. Confirm requirements for your own denomination, country, repertoire and license. It names CCLI, OneLicense and Christian Copyright Solutions (WORSHIPcast) as possible licensing options, but no provider should be assumed to cover every work or use. The guidance also discusses public-domain alternatives, including certain material published before January 1, 1931; check the status of the exact work and arrangement rather than assuming a familiar hymn is automatically cleared.
Plan consent, privacy and camera framing
Tell attendees in advance that filming will take place, explain how they can raise concerns or opt out, and identify whom to contact. Place and frame the camera to capture as few attendees as practical while still showing the service. Requirements vary by jurisdiction, so check applicable local rules and your church’s policies.

Prepare in stages so Easter morning is not the first full test
About a month before
- Audit the whole chain from camera and audio source through any computer to the platform. Ask volunteers what has previously failed or proved difficult, then address those issues.
- Choose the platform and access settings. Check current account requirements, privacy options, archive behavior and platform rules.
- Inventory copyrighted material and begin permission checks. United Methodist Communications notes that obtaining permissions can take weeks or months.
- Tell the congregation how filming will work, whom to contact with concerns and how camera placement will limit unnecessary attendee footage.
Around two weeks before
- Set the camera positions and likely scenes. Give the operator a simple cue sheet so shots do not have to be improvised during worship.
- Have volunteers rehearse on the exact system they will use. Yamaha recommends seeking an experienced system integrator to assess an installation if the equipment is new or the production exceeds the team’s experience.
- Test slides and media in the planned setup. Disable disruptive automatic updates only when it is safe and consistent with the church’s IT practices.
During Easter week and on the day
- Run a full sound check and dress rehearsal using the planned camera positions, audio, slides and stream destination. Check both picture and sound.
- Check for platform restrictions that could interrupt the service, and confirm rights for every item to be broadcast and left in an archive.
- Back up critical files in multiple locations where possible. Agree on what to do if internet access or power fails, or a microphone or sound console stops working.
- Confirm who leads worship, who operates the stream and who monitors audio or comments. Reduce duties if the number of simultaneous tasks is beyond the team’s capacity.
Troubleshoot the risks that can interrupt a service
- Viewers can see but not understand the service: Treat it as an audio-chain problem first. Check the source, connections and levels from the room through to the stream; test with someone listening from the intended viewing platform.
- The camera view is unstable or misses key moments: Secure the phone on a tripod, settle camera positions ahead of time and use a cue sheet for likely scenes.
- A song or video is flagged or cannot be included: Do not assume a regular reproduction license or the fact that a video is online grants streaming permission. Check the exact work, use, platform and replay rights with the relevant license provider or rightsholder.
- The stream or recording exposes attendees unexpectedly: Revisit camera placement and framing, tell attendees how to raise concerns, and follow the church’s consent process and local requirements.
- A file, microphone, console, computer, internet connection or power source fails: Keep critical files backed up, test the full chain before Easter, and agree in advance who takes each fallback action.
- A platform feature or account limitation blocks the plan: Verify current rules and account requirements early rather than assuming a prior year’s setup still applies.
