For a small or solo documentary-focused business, that means aligning your portfolio, outreach, client experience, offer, and operating model—not simply buying more equipment or taking every project.
Choose the work you want to be known for
Growth is easier to direct when you can describe the projects and clients you want more of. A company that wants to make documentaries for nonprofits, for example, should make that intent visible in its reel, website, project descriptions, and outreach. A portfolio that mainly showcases unrelated work can attract inquiries that do not fit the direction you are trying to build.
Make your portfolio support your offer
- Choose a few strong examples that resemble the work you want to win. Explain the subject, your role, and what the finished piece was made to do.
- Keep the reel and site focused enough that a prospective client can recognize the kind of work you offer.
- If you do not yet have a sample in a desired format, consider making a proof-of-concept piece. Vimeo’s marketing guide recommends relevant samples and describes this as one way to demonstrate a format you want to pursue: Vimeo’s guide to marketing a video production business.
- Review incoming inquiries periodically. If they consistently concern work you do not want, check whether your portfolio and messaging are inviting that mismatch.
This is practitioner guidance published by a video platform, not evidence that a particular portfolio format guarantees new work. Treat it as a useful positioning test: does the work you show make the work you want to sell believable?
Find buyers who are likely to need your work
Broad promotion can consume time without reaching a buyer who has a documentary or video need. Start with organizations whose audiences, programs, or communications make video a plausible fit. Depending on your capabilities, those might include nonprofits, cultural organizations, public-interest groups, educational institutions, or businesses with a clear documentary-style story to tell.

Make outreach specific and easy to assess
- Identify a relevant organization and the likely person responsible for communications, marketing, fundraising, or programming.
- Write a concise note that explains who you are and why you are contacting that organization in particular.
- Link to one or two relevant samples rather than sending an undifferentiated reel. Briefly explain what you did on each project.
- Suggest a conversation about the organization’s needs instead of assuming it is ready to commission a production.
- Keep a simple record of who you contacted, when, and whether a follow-up is appropriate. Stop if someone declines or asks not to be contacted.
Christopher Hoerdemann’s Vimeo account of growing Prime 312 describes contacting organizations that could plausibly need video, sharing relevant work, and building on word of mouth. His experience included an initial free project that led to a year-long contract and a referral through an event. That is one company’s story, not a typical conversion rate or a reason to routinely work for free. If you consider a pilot or discounted scope, define the deliverables, usage, timeline, and what happens after it ends.
Turn good delivery into a reason to refer you
Referrals are more likely when clients can describe both the finished work and how the process felt. In Hoerdemann’s account, clients praised “how much easier [we] made [their] projects feel.” That bracketed wording is his phrasing in the context of customer feedback, not a promise of a specific outcome.

Build reliability into the client experience
- Agree on the audience, purpose, deliverables, schedule, approval points, and budget before production starts.
- Tell clients what decisions or materials you need from them, and when.
- Raise schedule, scope, or budget risks early rather than surprising the client near delivery.
- Make feedback rounds and final delivery clear, including file formats and any agreed usage requirements.
- After a successful project, ask whether the client would be comfortable introducing you to another organization with a similar need.
A lean crew or portable setup can be part of your positioning if it fits the assignment. Explain what that approach means for the client, and make sure it can still meet the brief, quality expectations, and production requirements. A smaller footprint is not automatically the right choice for every project.
Price and scope work from your actual costs
The sources behind this guide do not establish a universal rate, profit margin, or revenue target for production companies. Your price needs to reflect the work you are agreeing to do and the costs of delivering it; a figure borrowed from another company may not fit your market, project, or operating model.

Build a project estimate before committing
- List the work from discovery and research through production, editing, revisions, delivery, and project administration.
- Account for your own time as well as crew, collaborators, travel, locations, rentals, music or other licensed material, storage, and relevant overhead.
- Define what the quoted scope includes: deliverables, duration or versions, feedback rounds, schedule, and any usage terms you have agreed to discuss.
- Set out how changes beyond that scope will be handled. A project that expands without a corresponding adjustment can occupy capacity without contributing the return you intended.
- Review completed projects against the estimate. Use the difference between planned and actual time or cost to improve future estimates.
As the business grows, budgeting and cost management become a larger part of the owner’s job. Vimeo’s profile of director Ibrahim Zafar describes a shift from doing producing, directing, shooting, and editing himself toward directing and leading a team, alongside the need to pay attention to budgets and costs: Vimeo’s profile on growing a production company. The profile is an individual practitioner example, not a universal hiring threshold.
Expand services only when they fit your audience and capacity
A wider menu can help serve more client needs, but adding an offer also means being able to sell, plan, produce, and deliver it reliably. Vimeo’s growth article lists possibilities including explainers, animation and 3D, interactive video, live action, commercial and corporate work, documentaries and nonprofit videos, and motion graphics. These are options to assess, not a checklist every company needs to adopt.

Use a fit test for a new service
- Buyer need: Have clients or likely prospects asked for it, or is there another credible reason to believe your intended audience needs it?
- Capability: Can you deliver it with your skills, or do you have reliable collaborators who can cover the gaps?
- Economics: Can you estimate the time, costs, and project risks well enough to price and schedule it responsibly?
- Positioning: Does this offer support the kind of company you want to build, or make your message harder for buyers to understand?
Test a new service at a manageable scope before making it a central promise. Keep your core offer visible while you learn whether the new work is a genuine fit.

More work does not automatically mean you should hire a permanent team. Depending on the projects and cash flow, a company might remain solo, bring in project collaborators, or gradually build a team. The appropriate choice depends on sustained workload, the budget available, the kind of work sold, and the owner’s desired role.

Choose the next capacity step
- Stay solo when the workload is manageable and clients are receiving the agreed work on time. Protect time for sales and administration as well as production.
- Use collaborators when a project needs additional skills or hands but the demand is not yet consistent enough to justify a larger standing team. Account for their availability and costs in the estimate.
- Build a team when recurring demand and finances support a more sustained commitment, and you are prepared to spend more time directing, coordinating, budgeting, and managing.
Zafar’s Vimeo profile describes growth as adding help as workload increases. He says, “We’ve naturally needed more help as we’ve grown, which I think is the proper way to handle transitioning from a solo director to a company.” It is a practitioner’s view, not a rule that every company should grow in the same way or to a particular size.
Use workflow tools where they solve a real bottleneck
Software can support particular parts of production, but adopting tools is not itself a growth strategy. Vimeo’s article discusses AI script-writing, teleprompters, text-based editing, and video platforms, including hosting, branding, and analytics capabilities. Those are examples from a vendor-published article; no particular tool or vendor is required for growth.
Decide whether a tool earns its place
- Name the task or delay it is meant to improve.
- Consider whether the tool saves enough time or adds enough client value to justify its cost and learning curve.
- Check that it fits your existing workflow, collaborators, and client requirements.
- Review whether it actually helped after using it on a suitable project.

Review growth by fit, not by a borrowed benchmark
The cited practitioner accounts offer useful approaches but do not establish industry-wide conversion rates, ideal company size, or target prices. Set your own review points around the business you want to build.
- Are the inquiries you receive closer to the work and clients you want?
- Do estimates account for the real effort and costs of delivery?
- Are projects being delivered to the agreed brief and schedule?
- Is demand consistent enough to justify collaborators, new services, or a larger team?
- Are tools or workflow changes producing a benefit that matters to clients or your capacity?
Use those answers to adjust the portfolio, outreach, scope, or operating model. Growth can mean a better-aligned and more sustainable company, not necessarily a larger crew.
