Best Webinar Platforms for Financial Advisors: How to Choose

Choose webinar software around your event format and approved compliance workflow. Compare what Zoom and GoTo document, then verify plan features, integrations, capture, retention, and retrieval with your firm.

The best webinar platform for a financial advisor depends on the event and the firm’s approved compliance workflow—not on an attendee-capacity claim or a generic “best” ranking. Zoom is worth evaluating when the firm already has an approved archiving stack and can configure its capture path. GoTo Webinar advertises a broad set of registration, engagement, analytics, and integration features, but its current plan limits and any compliance-archiving workflow need separate verification. For either platform, confirm the end-to-end process with your compliance team before inviting clients or prospects.

Start with the event you need to run

A prospect seminar, recurring client-education series, and multi-session firm event put different demands on registration, staffing, attendee interaction, reporting, and follow-up. Write down the event formats you expect to run before comparing vendors. A platform that suits a single presenter and a simple Q&A may not be the right fit for an event with several sessions, multiple hosts, or a formal post-event follow-up workflow.

Occasional prospect seminar

Prioritize a straightforward registration page, confirmation and reminder messages, reliable presenter controls, attendee questions, and a clear process for handling follow-up. Decide in advance who will monitor the Q&A and who owns the attendee list after the event.

Recurring client education

Check how registration and reminders work across repeated events, what attendee and engagement reports are available, and whether data can flow into the firm’s approved CRM or marketing tools. Confirm that the workflow fits the firm’s supervision and recordkeeping procedures, not just its marketing preferences.

Firm-wide or multi-session program

Ask vendors to demonstrate session scheduling, host and moderator roles, attendee movement between sessions, accessibility options, reporting across sessions, and the administrative controls your firm needs. Have them show the actual plan and configuration you would buy; feature availability and capacity may depend on the tier.

Which platforms merit a closer look?

The available evidence supports a feature-based shortlist, not a definitive ranking. Zoom has documented a configurable archiving path for Meetings and Webinars through an enabled third-party compliance or archive platform. GoTo Webinar advertises a wide range of general webinar features, but the reviewed materials do not establish a specific FINRA- or SEC-related archiving integration or retention workflow. ON24 and Webex may be candidates to ask about for complex programs, but the current primary-source evidence here is not sufficient to rank or compare their plans.

Platform What the available materials support What to verify before choosing
Zoom Meetings and Webinars Zoom documents a Meeting Archiving feature that can capture configured meeting and breakout-room artifacts and make them available to third-party compliance or archive platforms. Zoom names Zoom Compliance Manager powered by ThetaLake, Smarsh, and Global Relay as examples. Archiving is separate from ordinary recording. Whether your account is eligible and enabled; which artifacts are captured; the integration and retrieval path; retention settings; downstream retention; and how the setup fits your firm’s supervision requirements. Zoom says account administrators must contact Zoom Support to request archiving enablement.
GoTo Webinar GoTo advertises branded registration pages and forms, invitation and confirmation emails, reminders, polls, live Q&A, breakout rooms, analytics, CRM and marketing integrations, and pre-recorded Simulive events. Which features and attendee limits are available in the specific plan; how the intended CRM and follow-up flow works; and whether an approved archive vendor can capture, retain, and retrieve the required event materials. The reviewed GoTo pages do not establish that archive workflow.
ON24 and Webex Events A September 2026 secondary comparison names them among virtual-event candidates, but its plan, capacity, cost, and archive assertions were not verified against current primary vendor documentation. Ask each vendor for current plan documentation and a demonstration of the event, accessibility, reporting, security, and compliance-capture workflow your firm requires. Do not treat the secondary comparison as verified product or pricing evidence.

A September 2026 advisor-platform comparison also names Microsoft Teams, BigMarker, Livestorm, Demio, ClickMeeting, and Zoho Webinar. Its prices and limits were not independently verified, so use those names only as starting points for vendor research—not as validated recommendations or a basis for a current cost comparison. How to compare the finalists

Compare the same real event scenario in every demo. Ask each vendor to show the plan and configuration you would actually use, rather than relying on a feature list that may include capabilities unavailable in your tier.

  • Registration and communications: Can you create the required registration form and page, send confirmations and reminders, and manage attendee communications through approved channels?
  • Attendee experience and access: What is the join experience for attendees, and what accessibility features are available? Verify the details that matter to your audience rather than assuming they are equivalent across platforms.
  • Live interaction: Test polls, Q&A, chat, breakout rooms, and moderator controls if your event needs them. Confirm what can be exported or captured for your records.
  • Replay and event format: Ask whether the workflow supports a live event, a pre-recorded presentation, or a multi-session program. GoTo advertises Simulive; confirm its availability and limits in the plan you are considering.
  • CRM and follow-up: Have the vendor demonstrate the actual integration and data flow you expect to use. Confirm who can access attendee details and how the firm governs follow-up.
  • Reporting: Inspect the reports for attendance and engagement, including what is measurable, exportable, and available after the event. Do not assume that a dashboard is an archive.
  • Administration and security: Review account controls, user roles, and the vendor documentation your firm needs. GoTo’s webinar compliance documents page provides security and control materials, including technical and organizational security measures, subprocessor disclosures, and a 2024 UCC SOC 3 document. Those materials do not, by themselves, establish an event-archiving workflow.
  • Cost and operating burden: Request current plan and add-on pricing directly from each vendor. Include integration, archive, and internal administration needs in the comparison. The material available here does not establish a reliable, current like-for-like price table.

Make compliance capture a separate buying decision

A platform’s ability to record an event is not proof that the firm has captured and retained the communications it needs. Zoom expressly distinguishes ordinary recording from Meeting Archiving. Its archive feature is configured at account level, requires enablement, can capture specified artifacts for regulated users even when recording is disabled, and relies on a configured Marketplace app or another third-party platform. Zoom’s feature covers Zoom Meetings and Webinars; artifact scope and retention settings need configuration. That describes a possible technical workflow, not a determination that a particular firm satisfies its obligations.

FINRA Rule 2210 classifications depend on the communication and its distribution. FINRA’s filing guidance defines a retail communication as written or electronic communication distributed or made available to more than 25 retail investors within a 30-calendar-day period, and correspondence as communication to 25 or fewer in that period. Those categories do not mean every webinar receives the same treatment. The firm must assess the specific content, audience, format, procedures, applicable rules, and any other regulator’s requirements. Review FINRA’s current filing guidance with compliance counsel or staff.

FINRA Regulatory Notice 12-29 states that “scripts, slides, handouts or other written (including electronic) materials used in connection with public appearances are considered communications for purposes of FINRA Rule 2210.” The notice, dated June 14, 2012, also discusses supervision and recordkeeping; consult current rule text and your firm’s compliance team rather than treating the notice as a complete statement of today’s requirements. Read FINRA Regulatory Notice 12-29.

Compliance workflow checklist

  1. Classify the event. Ask compliance to assess the audience, distribution, content, format, and applicable review or approval process. Do not presume every webinar is a retail communication or that every webinar requires principal preapproval.
  2. List the records to capture. Determine whether the firm’s process requires the presentation, slides, script, chat, Q&A, polls, captions or transcript, attendee communications, and replay. The exact scope is for the firm to determine.
  3. Trace capture through retrieval. Identify how each required artifact moves from the webinar platform into the approved archive, who can retrieve it, how long it is retained, and how supervision is performed.
  4. Test the actual configuration. Run an internal test event and verify that required materials are captured, searchable or retrievable as expected, and handled under the firm’s retention procedures.
  5. Assign ownership. Name the people responsible for platform setup, live moderation, archive checks, and follow-up so a working event does not depend on an assumed or undocumented handoff.

Questions to take into a vendor demo

  • Can you demonstrate our exact event format and the plan tier required to run it?
  • Which registration, reminder, polling, Q&A, breakout, replay, and reporting features are included in that tier?
  • What can our administrators configure, and what requires vendor or account-level enablement?
  • Which artifacts can be captured, how are they transferred to our approved archive, and how does retrieval work?
  • What retention controls apply inside the platform and in any connected archive? Who is responsible for each step?
  • Can you show the CRM data flow and attendee follow-up process we intend to use?
  • What current costs, add-ons, limits, and support arrangements apply to our proposed configuration?
