For most people who want a narrated slide deck as a video, start with PowerPoint’s built-in Record workflow. It captures narration and presentation elements slide by slide, supports preview and retakes, and can export a shareable video. Use screen recording for a software demo or desktop capture; use Zoom when you need to record the presentation as part of a live meeting.
Which software should you use?

Record a narrated slide deck in PowerPoint
PowerPoint Record is the most direct choice when the slides themselves are the structure of the video. The recording is attached to individual slides, so you can redo one or more slides without starting the entire deck again. It can capture voice, ink gestures, and presenter video; you can preview your work, and rearranging slides does not require re-recording them.
Before you record
- Confirm that your installed PowerPoint version and platform support the controls and export choices you intend to use. Microsoft’s instructions cover specific releases and applicability can vary.
- Connect and select your microphone and, if wanted, webcam. External devices are optional; Microsoft documents their use but does not endorse or compare specific models.
- Make a short test recording and preview it. Check that speech is clear and that camera video appears as expected before recording the full deck.
- Plan a brief pause at slide changes. PowerPoint does not record audio or video during slide transitions, so avoid speaking while advancing between slides.
Record, review, and export
- Open the presentation and choose Record. Depending on your version, you can record the full presentation or start with a single slide.
- Record your narration and any presenter video, ink gestures, or laser-pointer gestures you want included. The recording is associated with the relevant slide.
- Preview the result. Re-record any slide that needs a correction rather than repeating the whole presentation.
- Use the Record workflow’s Export screen to create a shareable video if it is available in your version. Microsoft describes Full HD 1080p MP4 as the default in the newer Record window; confirm the setting in your installed version.
In that newer workflow, slides without recorded timings display for five seconds by default. Microsoft says the export includes recorded timings, narration, animations, transitions, media, ink, and laser-pointer gestures. These defaults and controls should not be assumed to apply identically to every PowerPoint platform or release.

Higher video quality produces a larger file, so choose a resolution that suits the intended screen and the practical limits of sharing or storage. The available options depend on your PowerPoint version and platform; check the export screen rather than assuming every installation offers every setting. Some content may not carry into the generated video. Microsoft identifies certain older linked media, QuickTime media under specified conditions, macros, and OLE/ActiveX controls as items that will not be included. Review the exported file before sharing, especially if the presentation relies on embedded or linked content.

When Screen Recording is the better fit
PowerPoint’s Screen Recording command is for capturing what happens on the screen, not for recording a slide-aware narration across a deck. Use it for a demonstration where viewers need to see a software interface, a browser, or another desktop area.
- Open the PowerPoint slide where you want the capture to appear and choose Insert > Screen Recording. Confirm the exact label and availability in your version.
- Select the area to capture, or choose the full screen. Audio and pointer capture are selected by default on the documented control dock; check the controls before starting if you do not want either included.
- Start the capture and demonstrate the task. Stop recording when finished; PowerPoint inserts the clip into the slide.
- Trim the clip in PowerPoint if needed, or choose to save the recording as a separate file.
This produces a screen-capture clip that can be placed in a presentation; it is not the same as recording narration and timings slide by slide.

When to use Zoom instead
Choose Zoom computer recording when the presentation is happening in a meeting and the recording should retain that meeting context. Zoom documents local recording of meeting audio and video on a computer. For a shared presentation, documented layouts include the shared screen with an active-speaker thumbnail or without thumbnails; computer recordings also have a thumbnail-gallery layout.
Recording choices can depend on the Zoom client, host settings, and account. Check those settings before the meeting and make a short test if the exact layout matters. Zoom is a meeting recorder here, not a substitute for PowerPoint’s slide-by-slide retakes when you are producing a polished asynchronous deck.

Audio, camera, and recording quality
A microphone and webcam are optional. PowerPoint can use external audio and video devices, but the cited product guidance does not establish that any specific model is best or compatible with every computer. Check device compatibility with your operating system and PowerPoint version, then test the setup before recording.
For the finished video, choose an export resolution based on where it will be watched and how large a file you can share. Do not assume a higher setting fixes unclear narration: test the audio and review the exported result as well as the slides.

Common problems and fixes
- Voice or camera is missing: Check that the intended microphone or camera is connected and selected, then make and preview a short test recording before continuing.
- Speech disappears at slide changes: PowerPoint does not capture audio or video during slide transitions. Pause before advancing and resume narration after the transition.
- A slide stays on screen for too little or too long: Check its recorded timing. In Microsoft’s newer Record export workflow, a slide with no recorded timing displays for five seconds by default.
- The exported file is larger than expected: A higher export resolution creates a larger file. Select a lower supported resolution if file size matters more than detail.
- Media or controls are absent from the video: Some older linked media, certain QuickTime media, macros, and OLE/ActiveX controls are not included in the generated video under the conditions Microsoft describes. Review the export and replace or capture unsupported elements using a method suitable for your presentation.
- Screen Recording captures the wrong content: Re-select the capture area or full-screen option on the control dock before recording, and check the audio and pointer controls.
- A Zoom recording has the wrong layout or is unavailable: Verify the current client, account, and host settings, then test the meeting recording configuration in advance.
