For YouTube creators, that means backing up not just finished videos but also original footage, editing projects, thumbnails, captions, and business records.
Build a backup plan around what you would need to recover
Start by listing the files that would be costly or impossible to recreate. A creator’s channel is built from more than its published videos: raw footage and project files may be needed for future edits, while captions and thumbnails can take time to reproduce. A small business may also need contracts, invoices, customer or operational records, and other working documents.
- Source footage: original camera files and audio.
- Editing projects: project files, linked assets, graphics, music licenses, and any files needed to reopen the project.
- Final exports: completed video and audio masters.
- Publishing assets: thumbnails, captions, transcripts, descriptions, and other channel materials.
- Business records: documents and data needed to continue operating.
Decide how quickly each category must be available after a loss. That recovery priority helps determine which files need the fastest local restore and which can be retrieved from an offsite copy. The consulted guidance does not prescribe a creator-specific retention period, so set retention according to your own production and business needs.
Use the 3-2-1 rule as a baseline
The 3-2-1 strategy means keeping three copies of important data, on two storage devices or media, with one copy offsite. It is a practical way to avoid making one computer, drive, or location a single point of failure. The Federal Trade Commission’s Cybersecurity for Small Business guidance puts the habit plainly: “Make it a habit to back up important files regularly.”

One workable arrangement is the working copy on your computer, a scheduled copy to an external drive, and a separate offsite backup. Keep one copy offline or otherwise isolated from routine access where feasible. An offline drive can be disconnected after the backup; a cloud copy should have recoverable history or deletion protection where available. These measures reduce exposure but do not make any storage medium immune to loss or attack.
Choose storage that covers both quick recovery and offsite loss
Individual creators
An external drive is useful for a fast local restore, especially for large video files. Pair it with an independent cloud backup or another offsite copy. Do not treat a single external drive as the whole plan: it can fail, be stolen, or be damaged along with the computer if stored in the same place.

Small teams and shared libraries
A NAS can provide pooled local storage for a team, but it is still a local destination and can be affected by deletion, malware, or a site-wide incident. Pair it with offsite backup. RAID or disk redundancy may help maintain availability after some drive failures, but it is not a substitute for a separate backup.
Evaluate the workflow, not just the device
When choosing a setup, consider local restore speed, geographic separation, recoverable versions or deletion protection, how reliably backups run automatically, capacity for source footage, and who is responsible for encryption and access. A cloud service can be part of a sound plan, but ordinary sync can propagate unwanted changes; cloud storage alone does not guarantee a safe, restorable backup.

Schedule copies and protect them from accidental or malicious changes
- Collect essential folders. Make a clear list of the locations holding footage, projects, exports, publishing assets, and records. Include any external media or project-linked files that are not stored in the obvious project folder.
- Set automatic backups. Use a regular schedule suited to how often the files change. Check completion notifications rather than assuming a configured job always succeeds.
- Keep an offsite copy. Store a separate copy away from the primary device and location so a local incident does not take every copy with it.
- Isolate or protect a copy. Disconnect an external drive when the backup is complete, or use cloud version history and deletion protection where available. CISA and partner agencies recommend considering version control and delete protection for cloud resources in their September 2023 ransomware guide.
- Encrypt sensitive copies. Protect copies containing private business or personal information, and keep recovery credentials somewhere separate and accessible to the people who need them.
Sync is not the same as backup
Sync is designed to keep locations aligned. If a file is deleted or overwritten, that change may sync to other devices. A backup should give you a way to recover an earlier or separate copy, through retained versions, deletion protection, or an independent offline copy. Check how your chosen service handles deleted files, overwritten files, account access, and retention before relying on it for recovery.
Test that restoration works
A successful upload or a green status indicator does not prove you can recover a usable file. Test the process by restoring a sample from each important backup destination. For a video workflow, open a restored project and verify that its media is available; also play a restored export and inspect related assets. For business records, confirm the restored files open and are usable.

- Check that the restored copy is complete and opens correctly.
- Confirm you can access the account, drive, encryption key, and permissions required for recovery.
- Note the steps and time required, then fix gaps such as missing linked media or inaccessible credentials.
- Repeat tests periodically and after material changes to the backup setup.
Protect channel access separately from media files
Backing up videos does not protect your YouTube login, and securing the account does not preserve your original footage or editing files. Treat those as separate recovery problems. YouTube recommends 2-Step Verification and choosing a passkey as the second verification method for stronger protection against threats such as phishing. Review its channel security guidance, and make sure account recovery options are current.
Common backup failures and how to address them
- A deletion appears everywhere: the copies may be synced rather than independently backed up. Restore from version history or an offline copy, then adjust the setup to retain recoverable versions.
- The backup reports success but a project will not open: linked assets or files outside the project folder may have been missed. Restore and test the complete project structure, not just the project file.
- Every copy is affected by ransomware: connected or writable destinations may have been reachable from the compromised system. Preserve an isolated copy and consider versioning or delete protection for cloud resources.
- A local incident takes out both computer and drive: the copies were stored together. Move an independent copy offsite.
- You cannot access a backup during recovery: credentials, encryption keys, or permissions may be unavailable. Store recovery information securely and test access before an emergency.
Keep a YouTube stream online without confusing it with backup
File preservation and live-stream continuity are different jobs. A cloud streaming service does not replace backups of footage, projects, or business records.
