To promote a webinar effectively, define who it is for and what attendees will get, then build a campaign across a focused registration page, segmented email, relevant social and partner channels, reminders, and post-event follow-up. Start planning early, but keep promoting through event day: in Livestorm’s 2026 benchmark of its 2025 platform data, 49.6% of registrations came in the final seven days and 15.3% on the day itself. Treat registrations, live attendance, and qualified outcomes as separate goals.
Start with the audience and the outcome
Before choosing channels or writing invitations, decide whom the webinar should reach and what a useful result looks like for them. A session for existing customers who need product education calls for a different invitation and distribution plan than one intended to generate qualified prospects or build broad brand awareness.
Define the event promise
Write a specific promise that connects the audience’s problem to what the session will help them understand or do. Name the topic, the intended attendee, and the practical takeaway. Avoid a broad title that could describe almost any event; a focused promise gives the right people a reason to register and helps screen out poor-fit sign-ups.
Choose a goal and a few measures
Set the primary event goal before promotion. Possible goals include qualified registrations, live participation, customer education, product interest, or a downstream business action. Select a small number of measures that match that goal: for example, registrations from the intended segment, live attendance, engagement, or post-event conversions. Raw registration volume alone can mislead if the real objective is qualified attendance or action.

Build a page that makes registration easy
Use a dedicated event page with the details a prospective attendee needs to decide and sign up. Keep the content clear and the form focused on information you will actually use.
- State the webinar topic and who should attend.
- Show the date, time, and time zone clearly.
- Explain the practical benefit and what the session will cover.
- Introduce speakers with credentials relevant to the subject.
- Describe what will happen live, such as a demonstration or Q&A, only if it is genuinely planned.
- Use a mobile-friendly registration flow and ask only for necessary information.
- Track the source of registrations so you can identify which channels brought people to the page.
Make the page and invitation agree: a promise made in an email should be clearly reflected in the event details. If late registration is operationally possible, keep it open close to or until the start; people may decide to attend shortly before the session.
Plan promotion from launch through event day
Livestorm recommends about four weeks of promotion for B2B webinars. That is a planning starting point, not a universal rule. Its 2026 benchmark reports that 49.6% of registrations in its 2025 platform data occurred in the final seven days, while 15.3% occurred on event day. The practical implication is to create awareness early and still reserve meaningful promotion for the final stretch.

Adjust the number and timing of messages to your audience’s response and mailing preferences. Repeated promotion should vary the useful information, not simply send the same appeal more often.

Email is a strong starting channel when you have a relevant, permission-based list, but channel popularity is not proof of performance for your event. Livestorm’s 2026 Webinar Benchmark Report says 86.3% of teams used email for webinar promotion, 43.3% used organic social, and 20.4% used paid social. These are channel-use figures, not conversion or return-on-investment comparisons.
Email to relevant segments
Segment invitations by role, customer status, expressed interests, or another meaningful distinction in your list. Explain why the session matters to that recipient, use a subject line that accurately reflects the value, and make the registration link easy to find. Pauline Mura, Livestorm’s Senior Marketing Partnerships Manager, argues that email works well when it has a catchy subject line and a clear value proposition; treat that as vendor perspective, not an independent performance finding.

Social, speakers, partners, and communities
Use organic social where the intended audience is active, and give speakers and partners ready-to-share details they can adapt for their own networks. Relevant newsletters and professional communities can extend reach when promotion is appropriate to their audience and rules. Zoom’s webinar guidance recommends using speaker and partner networks and tracking registration sources. Paid social may be worth testing when the audience is defined and you can evaluate the resulting registrations against your goal.
Use source tracking consistently across links. Compare not only the number of registrations by source, but also whether those registrants attended and took the actions that matter to the event.
Turn registrations into live attendance
A registration records interest, not attendance. In the companion 2026 strategy guide, Livestorm reports an average of 175 registrants and 83 live attendees per webinar, with a 51.3% show-up rate, based on its 2025 platform data. Those figures are useful context, not a target or a prediction for every audience. Livestorm’s 2026 survey also found that 54.2% of practitioners said converting registrants into live attendees was their top challenge; this is survey-reported opinion.

Make joining straightforward
- Send a reminder the day before, another about one hour before, and a short message at the start, as Livestorm recommends.
- Include the correct access details and the scheduled time with its time zone.
- State what the attendee can expect and why joining live is useful.
- Promise a live Q&A, interaction, or demonstration only when it is part of the actual run of show.
The benchmark also reports 26 minutes as average viewing time in its 2025 platform data. Use duration as one diagnostic among others: viewing patterns can prompt a review of pacing or content, but the figure does not establish what any particular audience should watch for.

Plan follow-up before the webinar rather than treating it as an afterthought. Send attendees a thank-you and relevant resources. If a recording is available, send it to registrants who could not attend as well as attendees who may want to revisit the material. Give each recipient a clear next step that fits the event goal.
- Share the recording and promised resources in a timely, accessible format.
- Ask attendees for feedback while the session is still fresh.
- For a business webinar, offer a relevant next action without implying that every registrant is ready to buy.
- Reuse useful excerpts or insights in future promotion only when recording rights and speaker permissions allow it.
Zoom’s operational guidance recommends collecting feedback, reviewing recordings, making them available on demand, sending recordings and resources, and examining reports such as registrations, attendance, Q&A, and polls.

Review results against the original goal
After the event, compare results with the measures you chose at the start. Examine registration sources, the fit of registrants, live attendance, viewing duration, questions or poll participation where applicable, and downstream actions relevant to the goal. Then decide which parts of the campaign to keep, change, or stop. Your own history and audience response are more useful planning references than treating a general benchmark as a guaranteed result.
Livestorm’s numerical findings describe its own 2025 platform data and 2026 survey or report context; they do not represent every webinar organizer, industry, language, or event format. The benchmark’s attendance comparison also presents a separate 47.7% 2025 show-up figure, distinct from the 51.3% average summary cited above, so do not combine them as if they were the same measure.
Keep a webinar campaign checklist
- Audience, attendee benefit, and primary goal are defined.
- The registration page gives the topic, audience, date and time, speakers, practical value, and a focused form.
- Promotion is scheduled for the early period, middle of the campaign, final week, and event day.
- Email segments and external channels match the intended audience.
- Registration sources can be identified and compared.
- Access reminders are scheduled and the live experience is clear.
- Recording, feedback, no-show follow-up, and post-event measurement are planned.
- Permissions for recording and reuse are in place.
