Live Video Meeting Tools vs. Live Streaming Software: Which Do You Need?

Live meetings are built for participation; streaming software is built to deliver a controlled program to viewers. Some meeting services can bridge the two.

Use a live meeting tool when people need to join and participate in a shared conversation; use live streaming software when you need to produce a controlled video feed for an audience that mostly watches. The workflows can connect: some meeting services let eligible users stream a meeting to YouTube, while a broadcast can also include chat or moderated questions.

What is the difference between video conferencing and live streaming?

Decision Meeting-centered workflow Broadcast-centered workflow
Audience role Participants join a shared conversation and may speak, appear on camera, or present. Viewers receive a produced feed; interaction may happen through chat or moderated Q&A.
Production control The host manages the meeting and participant experience. A producer selects or curates what the audience sees and hears; an encoder or mixer can be part of the workflow.
Typical destination A meeting room or collaboration service. Some plans and configurations can send the meeting to an external platform. A streaming platform or event destination, using a webcam, mobile device, console, or encoder.
Setup emphasis Joining the meeting and using its built-in controls. Production roles, a connected channel, permissions, and sometimes separate audio or video hardware.

These are not mutually exclusive categories. A meeting can be streamed outward, and a broadcast can offer audience interaction. The deciding question is whether attendees need to take part as meeting participants or mainly watch a program you control.

Can you livestream a video meeting to YouTube?

Yes, but availability depends on the service, account edition, administrator settings, channel eligibility, and who is allowed to start the stream. Google Meet documents a YouTube streaming option for listed Google Workspace editions—including Enterprise Starter, Enterprise Standard, Enterprise Plus, Education Plus, Teaching and Learning Upgrade, Workspace Individual, and qualifying Google One subscribers. Check the current eligibility and setup requirements in Google Meet’s instructions for streaming to YouTube.

  • The YouTube channel must be approved for live streaming and linked to the meeting.
  • Depending on host management settings, only hosts and co-hosts—or people in the host’s organization—may be able to start the stream.
  • The stream must be started from a computer, not a mobile device.
  • A Meet-initiated YouTube stream cannot be paused, though it can be ended and restarted. It may be uploaded to YouTube for later viewing.

Zoom also documents livestreaming meetings to selected destinations, including Facebook, YouTube, Twitch, and custom live-streaming services. Its instructions describe account-level controls, administrator permissions, and access for Pro, Business, or Enterprise accounts; administrators can restrict which destinations are available. Because plans and account configuration can change, verify the current controls in Zoom’s meeting livestreaming guidance before planning an event.

When do you need streaming software for a webinar or conference?

You may not need separate streaming software if a meeting service already provides the audience experience and production controls you need. A meeting-only setup is often the simpler choice for a small discussion, class, or webinar where attendees may speak or present. Consider a broadcast-centered workflow when you need to curate a program feed, coordinate production roles, or deliver to a streaming destination where most people watch rather than join a room.

YouTube identifies mobile, webcam, encoder, and console as ways to go live. Its guidance describes encoder-based streaming as common for gameplay, sporting events, concerts, and conferences. An encoder workflow can involve hardware such as cameras, microphones, and preamps, but those are possible components—not requirements for every host. YouTube’s current instructions also describe horizontal and vertical dual streaming from Live Control Room: the vertical output is center-cropped by default, with options to adjust the layout. Check YouTube’s live-streaming setup guidance for the applicable workflow and settings.

For documentary screenings, talks, or panel events, choose based on the audience’s role: if people must converse or present, start with a meeting workflow; if a producer must control a program feed for a mostly viewing audience, use a broadcast workflow. A hybrid may be appropriate when speakers meet in a room but the audience watches on YouTube, provided the accounts and destination support it.

What do you need to stream a conference?

  1. Decide how the audience participates. Choose a meeting room for attendee conversation, a broadcast destination for a mostly viewing audience, or a supported meeting-to-platform connection for a hybrid event.
  2. Confirm account and destination access. Check that the meeting plan or streaming method supports the intended destination, that the channel is eligible, and that hosts or administrators have enabled the required controls.
  3. Assign production responsibility. For a meeting, decide who hosts and manages participants. For a broadcast, decide who controls the program feed and who handles audience interaction.
  4. Choose the capture setup that fits the event. YouTube supports mobile, webcam, encoder, and console workflows. Add cameras, microphones, or preamps only if the production requires them.
  5. Check platform-specific behavior before going live. Confirm who can start the stream, whether it can be paused, and what viewers will be able to access afterward. For example, Google Meet says a Meet-started YouTube stream cannot be paused.

What about Microsoft Teams live events?

Do not treat legacy Teams live events as a general current option. Microsoft states that Teams live events retired on June 30, 2026, and directs organizers to the unified Teams events experience. Microsoft documents support through February 28, 2027 for events scheduled before the retirement date. Common planning problems and fixes

  • The livestream option is missing: check the account edition, administrator-level streaming controls, and whether the organization allows the destination.
  • The host cannot start the YouTube stream: verify the channel’s live-stream approval and link to the meeting, then check whether the host’s management settings limit starting to hosts, co-hosts, or organization members.
  • You planned to pause a Meet stream: Meet-initiated YouTube streams cannot be paused. Plan to end and restart if necessary, and account for the possibility that the stream may be uploaded for later viewing.
  • The vertical YouTube view crops the wrong content: YouTube describes a center crop by default for dual streaming from Live Control Room. Review the layout options in its current guidance and frame key subjects accordingly.
  • You are planning around an old Teams live event: use the current unified Teams events experience for new planning and verify eligibility for any event already scheduled before the retirement date.
