Choose the sharing method according to what the recipient needs: viewing, commenting, or editing. For a small, known audience, invite people by email; for broad viewing, use a link and check who can open it. For feedback tied to specific moments, use a review link with comments enabled. Before sending, verify the access, download, password, and expiration settings.
Choose the permission the recipient needs
Viewing, commenting, and editing are different levels of access. Give each person only the capability needed for the task.
- Viewer: The recipient can watch the video, but does not need to change it.
- Commenter: The recipient can leave feedback. A video review tool may attach comments to timestamps.
- Editor or manager: Use this only if the recipient needs to change the file, its settings, or the associated project.

Pick an audience and a sharing method
Share with specific people
For a small, known audience, invite the recipients by email or add them as team members. Check whether they must sign in with a particular account or belong to your organization. This is generally easier to limit than a link intended for anyone who obtains it.

Share with a link
A link is convenient, but its reach depends on the access setting. Google Drive offers an “Anyone with the link” option and lets the owner assign a role. Anyone who obtains a link set up this way may be able to open it, so do not treat the link as private merely because you sent it privately. Check the video’s privacy setting
Video hosts can offer different privacy modes, including unlisted sharing and organization-restricted access. Read the selected mode’s conditions instead of assuming that every video link works the same way. Vimeo documents several privacy options; the actual audience depends on the setting you choose. Share a video for timestamped feedback
When a collaborator should comment on particular moments rather than simply watch, use a review workflow and deliberately configure its controls.
- Create or open the review link for the video in your hosting or review service.
- Allow comments if you want feedback. Check whether recipients can also download the video, change its status, or view earlier versions.
- Set access controls such as a password or expiration if the service offers them and the material calls for them.
- Send the link and explain the expected identity or sign-in so the recipient knows how to open it and leave feedback.
- Test the link in a separate browser or account when possible, and confirm the recipient sees the intended video and controls.
Vimeo says review links support private, time-coded feedback and can be shared with recipients who do not have a Vimeo account or team seat. A guest is prompted for a name and email before posting feedback. Vimeo also says review-link privacy is separate from the video’s ordinary privacy setting: a recipient with the review link can view the video regardless of that individual setting. Treat the review link as its own access path, and manage its password, permissions, and disabling controls carefully. Vimeo states that review links require a Standard, Advanced, Pro, Business, Premium, or Enterprise plan; check current plan eligibility and availability before relying on the feature. Check access before you send
- Confirm the recipient can open the link with the expected account, identity, or password.
- Check that viewing, commenting, and editing permissions match what the recipient needs.
- Check whether downloads are allowed and whether the link expires.
- If you used link-based access, send it only to the intended audience and disable or revoke it when it is no longer needed, if the service allows.
- Remember that access controls cannot prevent an authorized viewer from capturing or redistributing content they can see. “Unlisted” and password-protected do not mean impossible to copy.
Which services fit which sharing task?
Google Drive for file sharing
Google Drive is a route for sharing an existing video file with Viewer, Commenter, or Editor access, or through link-based access. Take account restrictions and the owner information visible to recipients into account. Google Drive file sharing
