How to Run a YouTube Live Replay Loop at a Trade Show Booth

A practical guide to looping a trade show recording through YouTube Live, from rights and encoder setup to venue testing, DVR, and archive planning.

If booth visitors only need to watch your recording on the booth screen, play the approved video locally; you do not need to send it through YouTube Live. Use a YouTube Live replay when you need a shareable watch page or remote audience. That route requires an encoder, a stable venue uplink, deliberate visibility and DVR settings, and an operator who can monitor the stream.

Choose local playback or YouTube Live

Decide first what the replay needs to do. Local playback from a display-connected device has fewer streaming dependencies. A YouTube Live broadcast adds a live watch page and can serve remote viewers, but it also depends on an encoder feed, venue internet, and stream management.

Compare the options against the booth’s actual needs:

Operator workload Manage the local player and display. Manage the encoder, Live Control Room, stream health, and the playback source.
Archive Keep the source file; a YouTube archive is not created by local playback. YouTube archives live streams by default, but streams over 12 hours may not be captured in full.

For a YouTube Live replay, prepare an authorized video file, create or schedule the broadcast in YouTube Studio, connect an encoder, test the preview and display, then start the stream. YouTube describes encoders as useful for overlays and production settings such as conferences. A dedicated hardware encoder is optional; an existing suitable computer-and-encoder workflow may be sufficient.

Prepare the recording, rights, and booth setup

Confirm you can rebroadcast the footage

Before sending a recording back through a live stream, confirm permission for both the video and every included audio track. A past public screening or ownership of a copy does not by itself establish rebroadcast rights. YouTube’s setup guidance does not determine licensing for a particular recording; get clearance from the relevant rights owner.

Check the display and venue requirements

The screen might be a smart TV, monitor, projector, or display driven by a laptop. Confirm with the venue or AV provider how that specific screen will play YouTube, reach the network, output sound, and receive power. Verify any required cabling and test the actual playback route before opening. YouTube’s streaming documentation does not specify how to connect a particular booth display.

Prepare a backup and assign an operator

Keep the source recording available locally, even if the stream is planned. YouTube recommends a local archive backup, and a separate local file also gives the booth team a fallback if the uplink or stream fails. Decide who will watch the preview and stream health and who can restart the source or contact the venue if a problem occurs.

Set up the YouTube Live replay

  1. Create or schedule the stream: In YouTube Studio, open Live Control Room and create a new stream or schedule one. Enter a clear title and description, then choose visibility: public, unlisted, or private. Unlisted is useful for sharing a link without broad discovery, but anyone with access to that link may be able to view it. YouTube’s live-stream setup guidance explains the workflow and visibility choices.
  2. Copy the connection details into your encoder: Copy the stream URL and stream key from Live Control Room and enter them in the encoder. Treat the key like a password: anyone who obtains it may be able to send a feed to your stream. If exposed, reset it in Live Control Room and update the encoder.
  3. Match settings to the source and connection: Select settings the encoder and booth uplink can sustain. YouTube recommends testing upload bitrate and using RTMPS. For H.264 at 1080p30, YouTube’s recommended bitrate is 5 Mbps; that recommendation does not guarantee the venue network can sustain it. Leave uplink headroom and test on the actual booth connection. See YouTube’s encoder settings and bitrate recommendations.
  4. Test before the show opens: Start a test feed with movement and audio similar to the replay. Confirm the preview appears in Live Control Room, inspect framing and levels, listen through the actual booth display, and check stream health. YouTube advises: “Make sure to test before you start your live stream. Tests should include audio and movement in the video similar to what you’ll be doing in the stream.”
  5. Start the broadcast: Start playback through the encoder and wait for the preview. When it is ready, start the broadcast from Live Control Room. Check both the local playback source and the YouTube preview or watch page: video can continue playing at the booth even when the network feed has failed.
  6. Supervise while the booth is open: Watch stream health and act on warnings. Confirm the loop has not stopped or drifted out of sync with the booth’s intended playback. Keep the local source and a responsible operator available.
  7. End and verify: End the broadcast in YouTube Studio and stop the encoder feed. Then check the archive’s playback and visibility in Studio and organize it as needed. YouTube says live archives are uploaded by default and can be managed there.

Plan the stream length, DVR, and archive

Keep archive needs within YouTube’s duration limit

YouTube says streams under 12 hours can be automatically archived and warns that a stream exceeding 12 hours may not be captured at all. This is YouTube’s stated platform threshold; the relevant Help page does not display a publication year. If a booth day runs longer and a complete archive matters, plan shorter sessions that you intentionally end, and retain a local recording backup. Do not assume one continuous all-day or multi-day broadcast will produce a complete YouTube archive.

Choose DVR behavior for booth visitors

DVR lets viewers pause, rewind, and continue during a live stream. For very long streams, rewind may be limited or unavailable, and viewers cannot seek to before the broadcast began. With DVR disabled, viewers cannot seek backward during the live broadcast; they can still watch the complete recording after an archive is available. Decide whether visitors should control playback or simply see the current point in the loop. See YouTube’s DVR guidance.

Troubleshoot before and during the booth run

  • No preview in Live Control Room: Check that the encoder is sending to the stream URL with the correct stream key. If the key was reset or exposed, update the encoder with the current key.
  • Preview is unstable or stream health warns of a problem: Test the venue uplink under real booth conditions, reduce the encoder settings to a quality the connection can sustain, and leave bandwidth headroom. A recommended bitrate is not a measurement of your venue connection.
  • The screen plays video but online viewers cannot: Check the encoder feed and Live Control Room, not just the local player. Confirm the broadcast is started and inspect the stream health and watch page.
  • Visitors cannot pause or rewind as expected: Check whether DVR is enabled and account for its limitations on very long broadcasts.
  • The archive is missing or incomplete: Check the stream’s total duration. A stream exceeding 12 hours may not be captured; use shorter planned sessions when the archive must be complete and preserve a local backup.
  • The archive is not visible to the intended audience: Inspect its visibility in YouTube Studio and confirm it matches the intended audience and link-sharing plan.
  • The display has no sound, no network access, or the wrong crop: Verify the actual screen’s sound output, network route, and cabling with the venue or AV provider, then repeat the test on that equipment.
